Transfers let you move money between funds or between bank accounts. Because all of your money lives in different funds — a class fund, an athletic fund, a club account — there are times you need to shift money between those buckets in accordance with your district policy.
Key distinction: A fund transfer moves the allocation of money between funds — the cash stays in the same bank account, you're just reassigning which fund it belongs to. A bank transfer moves actual cash between two different bank accounts in your ledger.
Fund transfers
A fund transfer reallocates money from one fund to another. The money stays in the same bank account — you're just changing which fund it's assigned to.
To create a fund transfer - required fields are marked with a red asterisk (*):
Go to Transfers → Fund to Fund.
Date: Defaults to the current date.
Transaction ID: A unique identifier is generated for the transfer.
Reason for Transfer: Why the money is being transferred.
Transfer From: Select the source fund. Click “Add Source Fund” for additional lines.
Transfer To: Select the destination fund. Click “Add Destination Fund” for additional lines.
Amount: Enter the amount to transfer.
Click Post Transfer. Print the document for your records.
Example: You accidentally recorded a $50 receipt to the Field Trip fund when it should have gone to the General fund. Create a fund transfer: source = Field Trip, destination = General, amount = $50. The cash never moves — only the allocation changes.
Bank transfers
If your school has multiple bank accounts, you can post a transfer that happens between them.
Most transfers at schools are fund-to-fund, not bank-to-bank. If it becomes necessary to move money between bank accounts, you do that through your bank directly and use this entry to record the transfer.
Go to Transfers → Bank to Bank.
From Account: Select the source fund.
To Account:: Select the destination fund.
Date: Defaults to current date.
Amount: Enter the amount to transfer.
Memo: Enter the reason for the transfer.
Click Post Transfer. Print the document for your records.
When you'd use a transfer
Correcting a misallocation — money was recorded to the wrong fund and needs to be moved.
Reallocating between funds — shifting money from one class fund to another, or from a parent fund to a sub-fund (e.g., Athletic Fund → Basketball sub-account).
Moving cash between bank accounts — transferring actual funds from checking to savings (bank transfer).
Transfers and reconciliation: Fund transfers don't affect your bank reconciliation because the cash stays in the same account. Bank transfers do appear in reconciliation since cash moves between accounts affecting the overall balance.
