Account Setup: Chart of Accounts

Configure your account number format, fund segments, and sub-account structure.

Account Setup is where you configure your chart of accounts — the numbering structure that organizes all funds and sub-accounts in your accounting system.

Account number format

Your account number is made up of segments, separated by a delimiter. By default, Edlio Accounting uses dashes as the separator, but you can also use periods or slashes.

A typical account number looks like this:

`2000-01`

Where `2000` is the main fund account and `01` is the sub-account.

Main fund account segment

For the main fund segment, you configure:

  • Segment Name — what this segment represents (e.g., "Fund Type")

  • Type — numeric or alphanumeric

  • Fixed length — the number of digits (e.g., 4 digits)

  • Description — optional, for your reference

  • Default value — used when a new account is created without a custom value

Sub-account segment

The sub-account works the same way — you define its segment name, type, length, description, and default value. If you create a new account with a fund number but no sub-account, the system uses the default sub-account value (typically all zeroes).

What sub-accounts are for

Sub-accounts let you break down a fund into smaller categories while still rolling up to the main fund total. Examples:

  • Athletics fund with sub-accounts for Varsity, Junior Varsity, and Freshman teams

  • Field trip fund with sub-accounts for different teachers' classes (Mrs. Fields = 01, Mrs. Johnson = 02)

  • Volleyball fund broken down by team level

When you run reports, you can see the total for the main fund as well as the breakdown by sub-account.

Permissions

Account setup also includes a Permission section that controls who has access to specific accounts. This ties back to the Users and Permissions settings.
