Object Codes

How to create, edit, and organize financial object codes for compliant state and district reporting in Edlio Accounting.

Object Codes are standardized accounting codes used to describe the specific nature of expenditures and revenues (e.g., Classroom Supplies, Travel & Lodging, Dues & Fees, Uniforms). They categorize financial activity independently of which fund account is spending the money.

Viewing and Managing Object Codes

Navigate to Settings > Object Codes. The object codes manager displays the active list of codes, category mappings, and descriptions:

💡 Best-Practice Adoption Tip: Align your Edlio Accounting object codes strictly with your state Department of Education or district standard accounting manual. Avoid creating redundant one-off codes (such as "Pizza for Math Club")—use generic standardized codes ("Food Supplies") and specify the event details in the transaction description instead.

Adding a New Object Code

  1. Click the blue + New Object Code button in the upper right corner.

  2. Code: Enter the numeric or alphanumeric identifier required by your district (e.g., 5100, 5610).

  3. Description: Enter a clear title describing the expenditure or revenue type (e.g., "Supplies - Instructional").

  4. Category: Assign whether this code applies to Revenue (Receipts) or Expenditure (Disbursements).

  5. Click Save to make the code immediately available in receipt and invoice allocation dropdowns.
