Step 1: Getting your Contact List into Perchwell


Meet Paul, a top-performing agent who's already using Perchwell to streamline his business. After a smooth onboarding, he's ready to take his client relationships to the next level. His client Pattie, a savvy buyer searching for a single-family home in Orange County, is actively engaged in her home search. Paul knows that by empowering her with Perchwell's collaborative tools, he can deliver an exceptional experience that matches her enthusiasm.


Now, let's help Paul bring his clients into Perchwell with confidence. Our streamlined Bulk Upload feature makes transferring your client list a breeze.

Adding Contacts into Perchwell:

  1. Navigating to Contacts.

  2. Click on ‘Add New Contact’

  3. Enter the required information

    1. If you want to invite this client to Perchwell, toggle on the option and include the default email template to help get your clients up and running.

  4. Once the information is complete, click Save.

Things to Remember and Best Practices:

  1. If you used a previous system, export your contacts to a spreadsheet or CSV file for a smooth process.

  2. Use our CSV Template to ensure your information is properly structured. Copy and paste the required columns for a seamless transition.

Inviting a Client who is already on your Contact List

  1. Navigate to Contacts

  2. Locate the client you want to invite to Perchwell

  3. click on their name to head over to their details page.

  4. In the Account Status select ‘Reinvite Client to Perchwell’

  5. Head over to Messages and begin the new message with your invited client including the Message Template to get them started.

Using this workflow users are unable to reinvite a client with an included message without going through the steps of creating a new client.

Inviting a Client who is not on your Contact List

  1. Navigate to Contacts

  2. Click on ‘Add New Contact’

  3. Enter required information

    1. First Name

    2. Last Name

    3. Email Address

    4. Toggling On if you want to invite the client to Perchwell.

      1. A great time to include the Message Template to let your clients know what to expect.

    5. Save

  • Checking for Active Clients

    • Navigate to Contacts > Filters > Active and review the active clients in Perchwell. Active clients are those who have accepted the invitation and have access to the Perchwell platform.

  • When to invite clients to Perchwell?

    • When sharing listings for the first time.

    • Sharing reports

    • Sharing saved searches

Step 3: Sharing Saved Searches with Clients


With Pattie now on Perchwell, Paul is excited to showcase his curated property picks that align perfectly with her dream home vision. By sharing a saved search, he'll empower Pattie to explore properties on her own time while staying seamlessly connected for feedback and questions.

Steps to sharing a saved search:

  • Navigate to the saved search

  • select the ‘settings icon’

  • Navigate to the Add Contacts section, to add the client you want to include on the search.

  • Toggle on ‘Allow added contacts to see and edit this search

    • Any contacts you add will be able to see search results and edit filters and charts. Any tag filters you have applied will remain visible only to you.

  • Contact your agent and walk them-through how to access the saved searches via messages

  • 1. On your Perchwell mobile app:

    • Tap the Search tab at the bottom

    • Select Saved Searches

    • Feel free to add notes or questions about any property

3. Want to customize the search?

  • Tap SaveSave As... to create your own version

    • You can adjust any filters to refine the results

  • From Searches: Select multiple listings from search results to share in bulk

  • From Listings: Share properties directly from listing pages using the action menu

  • From Tags: Share either individual listings or entire tag collections to keep communication organized

  • Quick Reactions: Help clients express their preferences using simple reactions - ❤️ for favorites, ❓ for questions, and ❌ for properties to skip

  • Detailed Discussions: Encourage meaningful conversations by clicking into listings to discuss specific features or concerns

Pro Tip: Keep the conversation flowing by being responsive and proactive. Regular engagement helps clients feel supported throughout their property journey.
