How to Prepare Your Files for Uploading

A Step-by-Step Guide to prepping your csv files for uploading

In this article, we will guide you through the process of preparing your CSV (Comma-Separated Values) file for uploading to our platform.

We'll show you how to properly prep your data so you can standardize this process for all future uploads.

Please note: files must be .csv file type in order to upload

Understanding Data Standardization

Each data provider labels their column headers slightly different and provides different information. Some may provide more information than you need, while others might be missing some information for uploading, or for the records to be considered clean.

​The REISift CSV template is broken down into three sheets:

  1. Records without numbers or non-skip traced data

  2. Records with numbers or skip traced data

  3. All possible fields to upload to

Mandatory Columns for Uploading

When uploading new data (Adding to a new or existing list) the following columns are required:

  • Property Street Address

  • Property City

  • Property State

  • Property ZIP Code

  • Mailing Street Address

  • Mailing City

  • Mailing State

  • Mailing ZIP Code

Even if you don't have all the address information, you can still upload the records. The columns are required, but the information can be left blank. We recommend cleaning your list as much as possible before uploading, but missing mailing addresses won't be an issue. You can always add them later.

​We can populate some missing address information on upload:

  • If you have the correct Street Address, City, and State, we can typically populate the ZIP Code.

  • If you have the correct Street Address, State, and ZIP Code, we can populate the City.

Requirements for Clean Records

For records to be considered clean, they must include the following information in separate columns:

  • Owner's First Name

  • Owner's Last Name

  • Mailing Address, City, State, & Zip

  • Property Address, City, State, & Zip

Records missing this information can still be uploaded but will be located under the incomplete tab after uploading. For entities like LLCs or trusts, where the owner's names may be unavailable, the missing information can be added later, but cleaning the file before uploading is recommended.

Uploading Skip Traced Data

If your records have already been skip traced, check out the "Records with numbers" sheet in the template. Include separate rows for each phone number and phone type (if available).

Phone Types:

  • Unknown

  • Mobile

  • Landline

  • VoIP

Additionally, phone statuses and tags can be added during the upload process. If you know which phone numbers are Do Not Call (DNC), correct, wrong, or dead, include phone status columns next to each phone number column.

​Phone Statuses:

  • Correct

  • Correct DNC

  • Wrong

  • Wrong DNC

  • Dead

  • No Answer

  • DNC

  • Unknown (this will be the default phone status for any phone numbers that are not uploaded with a status)

Phone tags allow you to add additional information such as "relative," "husband," "wife," or to tag DNCs as "litigator" when scrubbing against Do Not Call lists. These tags are fully customizable, enabling you to create any phone tag that fits your processes.
