Why is there missing availability for showings

Overview

If prospects aren’t seeing available times, something in your property or agent setup is restricting availability. This guide walks you through the key settings to check so showings appear correctly to renters.

The first place to check is in the Showing Availability view. This will show you why every upcoming time slot is or is not available for showings:

  1. Go to the Properties tab

  2. Click Take Action > Edit Property

  3. Go to Step 2 (Showings)

  4. Scroll down to see the Showing Availability view

Each showing slot is color-coded:

  • Green indicates that time slot is available for showings

  • Red indicates that time slot is not available for showings

  • The dots indicate the number of reasons why that time slot is not available. Hover over the time slot to see an explanation. Then use that to troubleshoot.


1. Confirm the property is not on hold

A property with On Hold status won’t show any available showing times.

  • Go to Properties

  • Find the property

  • If it’s marked On hold, click Take action → Mark unit available to reopen it for scheduling. More about On hold here


2. Check for blocked times

You can block specific times on the showings calendar to prevent bookings.

  • Open the Showings calendar

  • Select Blocked Times

  • Make sure no dates or time ranges are blocking availability for this property.

Blocked time ranges will remove slots from the availability prospects can book.


3. Review property-level overrides

Properties can override showing windows, but overrides do not expand an agent’s personal availability — they only restrict it further.

To check overrides:

  1. Open the property

  2. Click Take action → Edit property

  3. Go to Step 2 (Showing setup)

  4. Click Weekly Showing Windows and review the settings

Make sure the showing windows overlap with the agent(s)'s personal availability.

Example: If the assigned agent isn’t available on Saturdays in their personal settings, Saturday will not be available for showings, regardless of the Weekly Showing Windows.


4. Consider Smart Scheduling limits

If you use Smart Scheduling, additional rules may impact displayed availability:

  • Drive time buffer

  • Max visits per day/week

  • Stacked (multiple at once) or piggybacked showings

Review your Smart Scheduling configurations to make sure they aren’t overly restrictive.

5. Confirm agent availability

Accompanied showings depend on agent availability — so check both property assignments and personal settings.

Assigned showing agent(s)

  • Go to the Properties tab

  • Hover over the Showing method column to see which agent(s) are assigned

Personal showing settings

  1. Go to Settings → Showings → Personal

  2. Search for each assigned agent

  3. Confirm each agent has set up their Showing windows (days/times they are available)

RentEngine uses these windows — along with calendar availability — to populate showing slots.


6. Confirm calendar availability

If an agent’s personal calendar is linked (Google or Outlook), that calendar also influences availability.

  • Go to SettingsShowingsPersonal

  • Confirm only one calendar is connected (Google or Outlook — not both)

  • Ensure the linked calendar has free time during the agent’s showing windows

If there are busy calendar events that cover all available windows, no slots will appear.

If you use Outlook and availability still seems missing, try disconnecting and reconnecting the calendar.
