Set up sales tax (Admin Panel)

Learn how to assign tax attributes to treatments and packages so RepeatMD and Avalara calculate, collect, and remit sales tax on in-app purchases correctly.

Overview

RepeatMD partners with Avalara to calculate sales tax on in-app purchases of treatments and packages. You assign tax attributes to each item in the Admin Panel. At checkout, RepeatMD sends item and location data to Avalara, applies the correct tax to the patient, and handles collection and remittance for U.S. marketplace sales.

This article is for practice owners, managers, and admins responsible for catalog setup and tax compliance.

Before You Start

  • You need Admin Panel access to edit treatments and packages.

  • Sales tax applies to in-app purchases only. In-office transactions outside the app follow your practice’s normal tax processes.

  • Each treatment and package needs a tax attribute selected before it goes live.

Why It Matters

Correct tax attributes protect your practice from misclassified sales and surprise audit issues. When attributes are wrong, patients may see incorrect tax at checkout or your practice may collect the wrong amount. Setting attributes up front keeps checkout accurate without manual tax math on every sale.

How It Works

In-app purchases only: Sales tax is calculated when patients buy treatments or packages through your RepeatMD app. Tax is based on the patient’s location and the item’s tax classification (U.S.).

Five tax attributes - When creating or editing an item, select one of:

  • Requires a Medical License to Administer

  • Is Prescription Drug

  • Always Tax-Exempt

  • Always Taxable

  • Decide For Me

Automatic tax codes: RepeatMD maps your attribute selection to an official tax code for Avalara.

Avalara at checkout: On purchase, RepeatMD sends Avalara the item tax code, your practice location, and the patient’s location. Avalara applies state marketplace facilitator rules, economic nexus thresholds, and the item classification to determine whether tax applies and at what rate.

Collection and remittance (U.S.): When tax is required, the patient sees the amount at checkout. RepeatMD collects and remits sales tax on qualifying in-app purchases so your team does not file separately for those marketplace sales.

Tax Editor: The Tax Editor gives a catalog-wide view of tax attributes so you can review and bulk-edit classifications without opening each item.

Step-by-Step Instructions

Assign tax attributes when creating a treatment or package

  1. Log in to your Admin Panel.

  2. Open Treatments or Packages in the Catalog → Services section of the left-side navigation.

  3. Create a new item or open an existing one for editing.

  4. Locate the tax attribute fields (Requires a Medical License to Administer, Is Prescription Drug, Always Tax-Exempt, Always Taxable, or Decide For Me).

  5. Select the attributes that match how the service is classified from a medical and compliance standpoint.

  6. Click Save or Publish to apply the classification.

Review and bulk-edit tax attributes in Tax Editor

  1. Open the Tax Editor in your Admin Panel.

  2. Review the list of treatments and packages with their current tax attributes.

  3. Select one or more items that need updates.

  4. Apply the correct tax attributes in bulk.

  5. Save changes and spot-check a few items in Treatments or Packages to confirm.

Verify tax at checkout

  1. Publish or confirm the item is live in your app.

  2. Complete a test purchase (or review a recent patient transaction in Shop Summary).

  3. Confirm tax appears correctly at checkout for a taxable item in a taxable jurisdiction.

  4. If tax looks wrong, recheck the item’s tax attributes and contact support@repeatmd.com if the issue persists.

  • Select attributes that reflect medical and compliance classification, not what you wish the tax rate were.

  • Use Decide For Me when you are unsure; RepeatMD and Avalara apply rules based on the other attributes and jurisdiction.

  • Audit your catalog after menu changes. New treatments and packages default to needing attribute review.

  • Use Tax Editor for bulk updates after uploading a large menu or migrating from another system.
