Manage promotional campaigns (Admin Panel)

Learn how to stop unwanted promotional messaging, verify what is scheduled to go live, and find where each campaign type lives in your Admin Panel.

Overview

Promotional campaigns in RepeatMD can span several tools: Done-For-You Promos, Special Offers, Sitewide Promotions, Custom Shop Categories, and Text Messaging. This article helps you opt out of seasonal Done-For-You campaigns, verify what is scheduled, and confirm where related offers and messages live when something looks active (or missing) in the app.

This article is for practice owners, managers, and marketing staff who oversee campaigns across MedCommerce Engine.

Before You Start

  • You need Administrator or Manager access to opt out of Done-For-You Promos and edit most campaign assets.

  • Opting out of a Done-For-You promo stops patient messages and archives related special offers. Confirm with your team before opting out mid-season.

  • A campaign may appear in more than one place (for example, a sitewide promotion plus a text message). Check all surfaces listed in How It Works before assuming a campaign is fully stopped.

  • Have your campaign name or season (for example, “New Year, New You”) ready when searching the Done-For-You list.

Why It Matters

Effective campaign management helps you:

  • Stop patient messages you no longer want to send without guessing which backend record controls them.

  • Avoid duplicate or conflicting promos when seasonal assets overlap with your own Special Offers.

  • Verify schedules before a sitewide promotion or text blast goes live.

  • Keep your team aligned when archived offers still appear in reporting or admin lists.

How It Works

Done-For-You Promos: Seasonal campaigns provided by RepeatMD. Opting out stops messaging and archives the related special offers. Use the Done-For-You Promos list to opt out.

Special Offers: Individual discounts (public, private, in-app, in-office). Check Special Offers (including Archived) when a Done-For-You opt-out archived offers or when you run your own parallel promotions.

Sitewide Promotions: Homepage and in-app takeover campaigns tied to a Custom Shop Category, with or without an attached special offer. Check Sitewide Promotions when patients see banners or pop-ups.

Custom Shop Categories: Curated service groupings promoted on Discover. A sitewide promotion often points here even when the category exists independently.

Text Messaging: Scheduled or one-time texts paired with offers or sitewide campaigns. Check Text Messaging when patients receive SMS but you do not see an active Special Offer.

Opt-out impact: When you opt out of a Done-For-You promo, related special offers are archived. Messaging stops. Verify Archived tabs if you need confirmation.

Step-by-Step Instructions

Opt out of Done-For-You promos

  1. Log in to your Admin Panel.

  2. Open the Done-For-You Promos list.

  3. Find the campaign you want to stop (for example, a seasonal “New Year, New You” promo).

  4. Click Opt-Out on that promotion.

  5. Confirm that patient messages have stopped and related special offers moved to Archived (check Special Offers if needed).

Verify scheduled promotions

  1. Log in to your Admin Panel.

  2. Check each relevant surface:

    • Special Offers — individual discounts and date windows

    • Sitewide Promotions — scheduled or active homepage/category campaigns

    • Custom Shop Categories — linked category still published

    • Text Messaging — paired SMS still scheduled

  3. Open each record and confirm start date, end date, locations, and status (active, scheduled, archived) match your intent.

Find a campaign that is not in Done-For-You

If the promotion does not appear in Done-For-You Promos:

  1. Search Special Offers (active and Archived).

  2. Open Sitewide Promotions for banner or pop-up campaigns.

  3. Review Custom Shop Categories tied to the promotion.

  4. Check Text Messaging for scheduled announcements.

Best Practices and Pro Tips

  • Verify status before peak season. Review scheduled sitewide promotions and texts a few days before go-live.

  • Communicate opt-outs to your team so front desk staff know which seasonal offers are no longer valid.

  • Check Archived after opting out — archived offers do not show to patients but remain visible to admins.

  • Avoid stacking conflicting campaigns on the same services; coordinate Done-For-You windows with your own Special Offers.

  • Use one source of truth per season — either opt into Done-For-You or run your own sitewide campaign, not both on the same dates without planning.

Common Mistakes and FAQs

Q: I opted out but patients still received a text.

A: Check Text Messaging for a separate scheduled message not tied to the Done-For-You record. Opting out archives Done-For-You offers but may not cancel unrelated texts.

Q: Where did my special offer go after opt-out?

A: Done-For-You opt-out archives related special offers. Look under Archived in Special Offers.

Q: How do I prioritize one promotion over another?

A: RepeatMD does not expose a manual priority queue across offer types. Avoid overlap by scheduling non-conflicting date windows and not running sitewide promotions on the same services as conflicting Special Offers.

Q: How do I stop a sitewide promotion I created myself?

A: Open Sitewide Promotions, edit or end the campaign, or follow Editing a sitewide promotion. Done-For-You opt-out does not affect self-serve sitewide campaigns.

Q: A campaign is missing from Done-For-You. Is it still running?

A: It may be a Special Offer, Sitewide Promotion, or Text Message you or a teammate created separately. Use the verification steps above.
