Overview
Your services catalog is where you manage everything patients can see, book, and purchase — treatments, packages, and memberships. The fastest way to build it is to upload your existing service menu and let AI generate draft catalog items. Review, edit, and publish when ready.
This article is for practice owners, managers, and admins setting up or expanding their catalog during onboarding or menu updates.
Before You Start
You need Administrator or Manager access to upload menus and publish catalog items.
Prepare your service menu files: PDF, DOCX, CSV, XLSX, JPEG, or PNG (up to 5 MB per file).
You can upload multiple files at once (treatment menu, membership brochure, package list).
Retail products are not extracted by the services uploader — use the MyProducts uploader for retail.
Why It Matters
A complete, accurate catalog unlocks the rest of your RepeatMD platform:
AI-generated rewards and automated offers depend on published services.
Shop, memberships, and packages require catalog items before patients can purchase.
Pricing accuracy prevents checkout errors and patient confusion.
How It Works
AI menu uploader: Uploads your files → AI scans content → generates draft catalog items with names, descriptions, pricing, tags, and images. Nothing goes live until you publish.
Draft review: Every generated item lands as a Draft. Review pricing especially — the AI may not capture ranges or outdated rates accurately.
Extraction rules:
What’s in your menu | What gets created |
Bundled offering with multiple distinct treatments (e.g., “Glow Package — facial + LED + peel”) | Package |
Multiple quantities of the same treatment (e.g., “3 Botox sessions for $X”) | Treatment bundle (not a package) |
Membership with benefits, frequency, and pricing (e.g., “Gold Membership — $199/mo, includes 1 facial + 10% off”) | Membership |
Sparse membership listing (e.g., “Gold Membership — $199/mo” only) | Not extracted — insufficient detail |
Retail products | Not extracted — use MyProducts uploader |
Manual creation: Add items directly in Catalog → Services when the uploader misses a service or you need a custom item.
Step-by-Step Instructions
Upload your service menu
Log in to your Admin Panel.
Navigate to Catalog → Services.
Find the menu upload option at the top of the Services section.
Drag and drop or browse to select your files. Upload multiple files if needed.
Wait for the AI to scan your content and generate draft catalog items.
Every item appears in Drafts — nothing is published automatically.
Review and publish drafts
Open each draft item generated from your upload.
Verify and update these fields:
Name — match how your practice refers to the service
Description — patient-facing summary; edit for your voice
Price — verify against your current rates
Concern tags — patient concerns the service addresses (fine lines, hyperpigmentation, etc.)
Body area tags — face/body areas targeted (forehead, jawline, abdomen, etc.)
Image — replace AI-assigned image with practice photos if desired
Status — set to Active when ready to publish
Click Publish (or equivalent) when all required fields are complete.
Published items appear immediately in the Patient App.
Warning: Deleted drafts cannot be recovered. Leave items as drafts if you are not ready to publish.
Add items manually
In Catalog → Services, create a new item.
Fill in name, description, price, tags, and image.
Select the correct item type (treatment, package, or membership).
Publish when ready. Manually created items also start as drafts.
Best Practices and Pro Tips
Upload your most complete menu file first. Sparse menus produce sparse drafts.
Verify pricing on every draft before publishing — AI may misread ranges or outdated rates.
Add concern and body-area tags thoughtfully — they drive personalized recommendations in Shop.
Use practice photos instead of AI-assigned stock images when possible.
Do not delete drafts you might need later. Deleted drafts cannot be recovered.
Common Mistakes and FAQs
Q: A service I offer wasn’t included in the generated drafts. What do I do?
A: The AI extracts what it can identify. Services described in shorthand, using internal naming, or missing from the file may be skipped. Add manually in Catalog → Services or re-upload a more complete menu.
Q: The AI created a package when I wanted individual treatments. Can I change it?
A: Yes. Drafts are fully editable. Delete and recreate as the correct type if needed.
Q: Why wasn’t my membership extracted?
A: Memberships need enough detail — benefits, frequency, and pricing structure. A line like “Gold Membership — $199/mo” alone is insufficient. Add detail to your source file or create manually.
Q: Do patients see drafts?
A: No. Drafts are admin-only until published as Active.
Q: How do I add retail products?
A: Use the MyProducts uploader, not the services uploader.
