Edit a package (Admin Panel)

Learn how to edit packages in your Admin Panel, what changes apply to future purchases, and when you must archive and create a new version instead of editing in place.

Overview

You can edit packages at any time from Catalog → Services → Packages. Edits let you update names, descriptions, pricing, included treatments, concerns, body areas, images, and optional pre/post-care instructions.

This article is for practice owners, managers, and admins who maintain bundled offerings in the patient app.

Before You Start

  • You must have Admin access with one of the following roles: Marketing, Manager, or Administrator.

  • Open Catalog → Services and select the Packages tab.

  • Edits affect future purchases only. Patients who already purchased a package keep what they bought.

  • If the package has already been purchased, the Admin Panel may require you to archive the current package and create a new version for major changes. Read How It Works before editing a popular package.

  • Archiving an included treatment elsewhere in your catalog removes it from packages (and memberships, rewards, and offers). Confirm included treatments are active before saving.

Why It Matters

Keeping packages current helps you:

  • Align bundles with your live menu when treatments, quantities, or pricing change.

  • Protect patient trust by understanding which edits apply going forward vs. to existing purchases.

  • Avoid checkout errors by fixing missing or archived included treatments before patients buy.

  • Iterate safely by archiving and re-versioning when a package needs a structural overhaul.

How It Works

Who edits affect: Package edits apply to future purchases only. Patients who already purchased the package retain the version they bought. Their wallet and redemption history do not retroactively change.

Purchased packages and re-versioning: When you edit a package that patients have already purchased, the Admin Panel may prompt you to archive the existing package and create a new version instead of applying the change in place. This protects patients mid-redemption. Anyone who purchases after you publish the new version gets the updated package.

When to edit vs. archive and recreate:

  • Edit in place for small updates: description wording, images, concern tags, modest price adjustments on unpurchased or low-volume packages.

  • Archive and create a new package when included treatments, quantities, or bundle structure change materially, especially if patients have already purchased.

Archived included treatments: If a treatment included in a package is archived, it is removed from the package automatically. The package may become incomplete or unpublishable until you replace the treatment. If you unarchive the treatment later, you must manually add it back to the package (and to any membership, reward, or offer it was originally part of).

Draft vs. Active: You can edit packages in Draft freely before first publish. Active packages follow the edit-impact rules above.

Single price: Packages keep one bundle price. You cannot apply bundled pricing logic or per-treatment line pricing inside a package.

Step-by-Step Instructions

Edit a package

  1. Log in to your Admin Panel.

  2. Click Catalog → Services in the left-side navigation.

  3. Open the Packages tab.

  4. Find the package you want to edit.

  5. Click the three dots on the right side of the package row.

  6. Select Edit Package.

  7. Update any fields:

    • Name and description

    • Locations and maximum quantity

    • Price

    • Images

    • Concerns and body areas

    • Included treatments and quantities

    • Pre & post-care instructions

  8. Click Save Package.

Archive and create a new version (when prompted)

If the Admin Panel notifies you that the package has been purchased and cannot be changed in place:

  1. Archive the current package. Archiving hides it from new purchases without affecting patients who already bought it.

  2. Click + Create new package and rebuild the bundle with your updated treatments, quantities, and price.

  3. Publish the new package as Active.

  4. Confirm the archived package no longer appears in the shop and the new package is live for future patients.

Best Practices and Pro Tips

  • Check purchase history before major edits. Know whether patients are mid-redemption on the package you are changing.

  • Prefer archive + new version for structural changes. Swapping included treatments or quantities is safer as a new package listing.

  • Audit included treatments after catalog changes. When you archive a treatment globally, open affected packages the same day.

  • Coordinate with front desk. Price or contents changes on high-volume packages generate patient questions.

  • Edit drafts freely. Use Draft status to stage changes before the first publish.

Common Mistakes and FAQs

Q: I edited a package but existing patients still see the old version. Why?

A: Edits apply to future purchases only. Patients who already purchased the package keep the version they bought.

Q: The Admin Panel told me to archive and create a new version. Do I have to?

A: Yes, when the product requires it to protect patients who already purchased the package. Archive the old listing, create a new package with your updates, and publish the new version for future sales.

Q: An included treatment disappeared from my package. What happened?

A: Archiving a treatment removes it from every package, membership, reward, and offer that included it. Unarchiving does not restore it automatically. You must add the treatment back manually.

Q: Can I edit package price for patients who already purchased?

A: No. Price changes apply to future purchases. Existing purchases keep the price and contents at time of purchase.

Q: Is the edit flow the same for Draft and Active packages?

A: The same Edit Package menu opens both. Draft packages can be edited freely before publish. Active packages follow the future-purchase and re-versioning rules in How It Works.

Q: Who can edit packages?

A: Marketing, Manager, and Administrator roles can edit packages.
