Admins find every submission on the Manage Submissions page: hover over Data Management (the clipboard icon) in the left menu and select Submissions. Search by submitter name, email, submission name, ID, status, group, division, label or submitted date, then click the eye icon next to a submission to open it. An open submission shows the full form, plus tabs for its submitters, attachments, evaluations, supplemental forms and activity log.
This applies to event admins. Reviewers open their assigned submissions from the Evaluation Portal, and submitters see their own submissions in the Submitter Portal.
How do I open the Manage Submissions page?
In your Reviewr admin account, hover over Data Management (the clipboard icon) in the left menu.
Select Submissions. The Manage Submissions page opens and lists every submission in your event.
How do I search for or sort submissions?
The search fields at the top of the Manage Submissions page filter the submission list. You can search by:
Group or Division
First Name, Last Name or Email of the submitter
Submission Name or ID
Status or Label
Submitted Date
You can sort the Manage Submissions list by ID, Name, Group, Status, Labels, Organization, Submit Time, Created Date or Updated Date.
How do I open a submission?
On the Manage Submissions page, find the submission in the list.
Click the eye icon next to the submission. It opens in view mode on the Form tab.
When you're done, click the blue back arrow on the top right of the Form tab to return to the full submission list.
What can I see on an open submission?
An open submission has tabs along the top. Which tabs appear depends on what's enabled for your event.
Tab | What it shows |
Form | All of the submitter's answers |
Submitters | Everyone linked to the submission, with their role |
Attachments | Files uploaded to the submission |
Evaluations | Reviewer evaluations of the submission (open one with the eye icon) |
This includes any supplemental information that is requested by a third party as it relates to the submitter and directly tied to this submission. For example, letters of recommendation, letters of reference, acceptance forms, etc. | |
Activity Log | A log of activity on this submission, including status changes and each time the form is saved or submitted. |
A right-hand panel on an open submission can also show Questions/Comments (if enabled), Notes, Group/Division and Custom Labels.
What else can I do from an open submission?
Edit the answers for the submitter: see Admin - How do I edit an applicant's submission on their behalf?
Add or change who the submitter is: see "Add or change submitters" below.
Upload or replace a file: see Admin - How do I upload or replace a file on someone's submission?
Leave internal notes or comments: see "Notes and Questions/Comments" below.
Change a submission's group or division: see Admin - Assigning Submissions to Groups.
Add labels: see Admin - Custom Labels.
To add a new submission yourself, click Add Submission on the Manage Submissions page: see Admin - How do I manually add a submission for an applicant?
Add or change submitters
Open the submission and select the Submitters tab to see everyone linked to it.
Someone who already has a Reviewr account: click Add Existing Submitter, enter their first name, last name and email to search for them, select them and click Save.
Someone new: click Assign New Submitter, enter their first name, last name and email, choose owner, editor or viewer, and click Save.
Owner, editor and viewer currently have the same access. Admins can replace or remove anyone in any role. Adding someone doesn't email them: click Invite to send them an invitation.
Notes and Questions/Comments
Notes are internal. In the right-hand Notes panel, click Add Note, type your note and click Save. Tick Share with other reviewers if reviewers should see it. Use View and then Edit to change a note later.
Questions/Comments lets admins and reviewers communicate with submitters. It's turned on by the checkbox Questions/Comments From Reviewers are Shared with Applicants under Configurations, on the Judge tab. When it's on, submitters can see the comments, so use Notes for anything internal. To add one, click Add Question/Comment, write your message and click Save.
If that didn't work
A change I made to a submission doesn't show yet
The Manage Submissions page can show an older version of a submission until it reloads. Log out of Reviewr and back in, then open the submission again from Data Management › Submissions.
A tab or panel such as Questions/Comments is missing
Submission tabs and right-hand panels only appear when that feature is enabled for your event. For example, Questions/Comments only shows when it has been turned on.
