How to manage team roles and permissions

This article explains the default roles in Stora, how to change a team member’s role, and how to create and manage custom roles so you can control what each person can see and do.

Roles help you align Stora access with the way your team works in real life.

What roles are in Stora

Every team member in Stora has a role. Roles control:

  • Which sites they can access.

  • What actions they can take, such as updating subscriptions or changing settings.

  • Whether they can manage billing and other sensitive information.

Use roles to keep your account secure while giving each person the tools they need to do their job.

💡 You can use roles together with site access control to decide both what a team member can do and which locations they can work with.

Default roles in Stora

Stora includes a set of default roles you can use straight away. These give you a quick starting point for common responsibilities.

Owner

Owners have full control of your Stora account. They can manage every area, including billing, account settings, team access, API connections, and all day to day operations across every site.

⚠️ Only account owners can manage roles and permissions for other team members.

Manager

Managers run your sites and daily operations. They have full access to bookings, subscriptions, invoices, reports, Storefront, and most settings, but they cannot manage account billing or act as full team admins.

Staff

Staff focus on helping customers day to day. They can handle bookings, subscriptions, invoices and basic site tasks, but have limited access to reports and settings, and cannot manage billing, company details, team members, or API and integrations.

How to change a team member’s role

You can update a team member’s role at any time from the Team page.

⚠️ Only account owners can change another team member’s role.

To change a role:

  1. Go to Settings in the sidebar.

  2. Select Team.

  3. Find the team member whose role you want to change.

  4. Click their name to open their details.

  5. Open the Role dropdown and select the new role.

  6. Click Save to confirm.

The new role takes effect straight away. The team member’s access and permissions will update based on the role you choose.

💡 You can also update which sites a team member can access. For details, see How to limit access to specific sites.

Custom roles in Stora

You can create custom roles that give you more control over what different team members can see and do. Custom roles let you tailor permissions beyond the default Account owner, Manager and Staff options.

To learn how to set up and manage custom roles, see How to use custom roles in Stora.

Note: Please contact support if you are interested in the Custom Roles feature.
