Import your school data with AI

Upload the spreadsheet you already use and let Teach 'n Go set up your students, teachers and classes for you.

Instead of filling in a template, you can upload the spreadsheet you already run your school from. Teach 'n Go reads it and shows you everything it found, so you can check it before anything is saved.

This is a new feature and it is marked Beta in the app. It works well, but if anything looks wrong, contact our support team and we will sort it out with you.


Before you start

  • You need to be an admin on your school.

  • Your file can be Excel or CSV (.xls, .xlsx, .csv, .txt). You can also paste a list straight in.

  • You can upload up to 5 files at once, which is handy if your students, teachers and classes live in separate sheets.

  • You do not need to tidy the file up, rename columns, or match a template first. Upload it as it is.


Start the import

  1. On your dashboard, find the "Import your school data" step in the getting started checklist.

  2. Click "Import".

  3. Drag your file in, or click to choose it. To paste instead, use the paste box on the same page.

  4. Click "Read my data".

Reading a file usually takes under a minute. A large file can take a little longer. Nothing is saved to your school while this is happening, and you can cancel at any point.


Review what we found

This is the important step. You will see everything we read from your file, split into students, teachers and classes, with two groups at the top:

  • Look good are rows we are confident about.

  • Need attention are rows where we would like you to check something before saving.

Every box on this screen can be edited. If a name is split in the wrong place, or an email has a typo, just click into it and type. Your change is kept when you approve.

You may also see:

  • "We guessed at..." means we were not certain about one piece of information. Where we can, we show you our guess right there so you can correct it or leave it as is.

  • Already in your school means we found a student who is already on your system. We link to their existing record rather than creating a second copy of them.

  • A graduation cap button appears next to anyone we filed as a student without being sure. If they are actually a teacher, click it to move them across.

  • A bin icon removes a row you do not want to import at all.

If your file has columns we do not have a home for, such as "Nationality" or "T-shirt size", we list them near the bottom of the page and offer to create them as custom student fields. Remove any you do not want before you approve.


Approve the import

When you are happy, click "Approve and import data". This is the point where records are created in your school. Until you click it, nothing has been saved.

Once it is done you can go straight to your people list or your timetable from the buttons on screen. If teachers were created, you will also be offered the chance to email them an invite to their portal.


Changed your mind?

Click "Undo this import" on the same page. This removes the students, teachers and classes that this import created, along with any custom fields it added for you. Anything that was already in your school before the import is left untouched.


How we handle your data

  • The file you upload is only accessible to administrators of your own school.

  • Nothing from it is saved to your school until you approve the import. If you cancel while it is being read, or discard it on the review screen, nothing is kept.

  • Your file, and everything read from it, is deleted if your trial ends.

  • After importing, "Undo this import" removes the records that were created, as described above.


Good to know

  • You can only run one import at a time. Finish or discard the one you have open before starting another.

  • There is a daily limit on how many files can be read, so that the feature stays fast for everyone. If you reach it, it resets the following day.

  • Students who are already in your school are linked, not duplicated, so it is safe to upload a file that overlaps with what you already have.

  • Prefer the older column by column method, or need to update existing students in bulk? The student import template is still available from the students page.
