AI fee recovery finds every overdue balance in your school and prepares a polite reminder email for each family. It is part of the Teach 'n Go Pro plan.
Nothing is ever sent without you. A scan only prepares a draft chase. You review every family, untick anyone you don't want to remind, and confirm before a single email goes out.
Your school may use different names for students, teachers and classes. If you don't see the menu items below, ask your admin to check your permissions.
What the scan looks at
The scan finds unpaid fees that are past their due date, using the same definition as your overdue screens. It then groups them so each family gets one email:
Families: brothers and sisters who share a parent or contact are grouped together, and the reminder goes to that contact with the combined amount
Self-paying students: an adult student who pays for themselves gets a reminder addressed directly to them about their own balance
No contact on file: students with no reachable contact are never emailed; they are listed separately on the review screen so you can fix their details
Each reminder is pitched to the age of the family's oldest unpaid fee: gentle for recent balances, firmer for older ones, and a final notice for the oldest. Names, amounts and a pay link are filled in per family when sending.
A family you have already reminded is left alone for 14 days, so nobody is chased twice about the same balance. Very large chases are capped at 50 families at a time; the next scan picks up the rest.
Reviewing and approving a chase
Go to Pro in the left-hand menu and open Chase overdue fees. If a scan has already found something, you land straight on the review screen.
Check the list of families. Each row shows the students, the amount owed and the reminder level. Untick any family you don't want to remind.
Read the email wording for each level. You can edit it and save your own versions as school templates, so future chases use your phrasing.
Click send. A confirmation shows how many reminders will go out and the total amount they cover.
If you don't want to send anything, dismiss the chase instead. Nothing is sent, and the next scan starts fresh with current balances.
Running a scan yourself
Teach 'n Go scans for overdue fees automatically each week and prepares a chase when there is something worth chasing. You can also click Find overdue fees on the Chase overdue fees page to run one on demand.
A new scan replaces the previous unsent chase. Balances move, so an old draft chase is retired rather than left with stale amounts. An automatic scan never replaces a chase you are still reviewing.
