(Note: This feature is only available to New Zealand WHS customers.)
Golf Genius offers a streamlined solution for New Zealand event/league managers to process prize payments with automated ABA file generation. An ABA file is a standardized format used by Australian banks (and accepted in New Zealand) to process bulk payments. This feature eliminates manual file creation and reduces the risk of errors. Managers are provided with a clear visualization of how prizes are calculated for each golfer through two reports in the Report Center:
ABA File: A standardized batch transactions text (.txt) file managers use to distribute the payments to award golfers.
Tax Breakdown: A spreadsheet providing a detailed breakdown of prize calculations for each golfer, factoring in applicable taxes.
In this article, we will discuss the required setup and printing of the available files.
Setting Up for Automated ABA File Generation:
Before you can generate ABA files and Tax Breakdown reports, you will need to ensure the following setup is in place:
Tournament with Purses: You must have a single or multi-round tournament with purses configured (as shown below).
Custom Roster Fields: Your event/league roster must include the following custom fields using these exact names:
Exporting the ABA File:
The ABA file is a comma-separated value (CSV) file that provides details for each prize payout transaction. Your bank processes this plain text file to distribute prizes to golfers. These files organize data in rows and columns, each representing a single transaction record. To access the ABA File export, follow these directions:
Within your event/league, navigate to Rounds > Report Center.
Select the "Basic Reports" tab or search "ABA."
Hover your mouse over the report and click "Download." Note: The download button is initially hidden until a tournament with purses is created.
In the pop-up, select the following (as shown below):
Click " Download."
Once the report is created, click "Download XLS." The file will be downloaded as a TXT file.
ABA File Structure:
Row 1: Control row (starts with "1").
Rows 2 - N+1: Where N is the number of transactions, contain “2” in the first column and specify the following details for each transaction:
Whole Bank Account Number
The number “50” (this means this is a “deposit”)
The payment amount is in cents
The players name in this format
Transaction description - this should be asked of the user in the report criteria. The description should be no longer than 12 characters.
Empty column
Empty column
The words PRIZE MONEY
The originator name (who is making the payment) - this should be asked of the user in the report criteria.
Empty column
Transaction description (repeated as above)
The words PRIZE MONEY
Row N+2: Control row (starts with "3"), containing:
The sum of payments to all golfers in cents
The total number of payments being made
The check sum (hash total) of the branch codes and account numbers — the rightmost 11 digits of the resulting sum
Exporting the Tax Breakdown Spreadsheet:
The Tax Breakdown spreadsheet provides a comprehensive overview of prize calculations for all golfers in the tournament (not just those who won prizes). This allows you to see the complete picture of prize money distribution. To download the tax breakdown spreadsheet, follow these directions:
Within your event/league, navigate to Rounds > Report Center.
Select the "Basic Spreadsheet" tab or search "Tax Breakdown."
Hover your mouse over the report and click "Download." Note: The download button is initially hidden until a tournament with purses is created.
In the pop-up, select the following (as shown below):
Click "Download."
Once the report is created, click "Download XLS." The file will be downloaded as an XLS file.
Tax Breakdown Spreadsheet Structure:
The spreadsheet includes the following information for each golfer:
Rank: Golfer's leaderboard position.
Name: Golfer's name (Last Name, First Name).
Cumulative Score: Golfer's total cumulative score.
Purse: The total purse that the golfer will receive.
W/H Tax: Withholding tax, calculated as (prize - $500) * 0.2. Where the prize is less than $500, the withholding tax is 0.
Nett: Net purse calculated after subtracting the W/H Tax from the gross amount (Purse - W/H Tax).
Are you GST Registered?: Yes/No value retrieved from the custom field for each golfer.
GST: Goods and Services Tax (calculated as Nett * 0.15 if GST registered; $0 if not).
Total Paid: Total payment (Nett + GST).
IRD Number: Golfer's tax identification number retrieved from the custom field for each golfer.
