Managing Multiple Listings: Organization & Best Practices

Managing multiple properties doesn't have to mean updating every listing one at a time. Vidle Housing provides tools to help hosts organize their portfolios, make bulk updates, sync properties from other platforms, and manage listings more efficiently.

Whether you manage several units in one building or properties across multiple cities, these tools can help you save time and keep your listings accurate.

View All Your Properties in My Listings

To manage your portfolio:

  1. Log in to your Vidle Housing Host Dashboard.

  2. Go to Listings → My Listings.

From here, you can view all of your properties in one place, including both published and draft listings.

You can also quickly review important listing information, including:

  • Listing name.

  • Monthly pricing.

  • Property type.

  • Listing status.

  • Tags.

  • Other available listing details.

Use Tags to Organize Your Listings

The Tags feature makes it easy to categorize and sort properties using a system that works for your business.

You might create tags based on:

  • Building or apartment complex.

  • Property address.

  • City.

  • Neighborhood.

  • Number of bedrooms.

  • Property type.

  • Owner or management group.

  • Internal portfolio categories.

Examples include:

  • Building A

  • Downtown Denver

  • 2-Bed Units

  • Pet Friendly

  • Hospital District

You can add multiple tags to a single listing when needed.

How to Add or Edit Tags

To add or update a tag:

  1. Go to Listings → My Listings.

  2. Locate the Tags field for the property.

  3. Click the field to edit it.

  4. Enter your desired tag.

  5. Click the + icon to save each tag.

Important: Make sure you click the + icon after entering each tag, or it may not save.

Using consistent tag names across your portfolio makes properties easier to find and manage.

Use Quick Edit for Small Changes

For simple updates, you don't always need to open the full Listing Editor.

From My Listings, hosts can quickly update available fields such as:

  • Listing name.

  • Monthly pricing.

  • Property type.

  • Listing status.

  • Tags.

Click the field you want to change, enter the updated information, and save.

Quick Edit is especially helpful when managing a large portfolio and making small changes to individual properties.

Use Bulk Edit to Update Multiple Listings at Once

If several properties need the same update, use the Bulk Edit feature instead of editing each listing individually.

To use Bulk Edit:

  1. Go to Listings → My Listings.

  2. Select the listings you want to update.

  3. Click Bulk Edit in the top-right corner.

  4. Choose the information you want to change.

Depending on the available options, you can bulk edit:

  • Monthly rate.

  • Cleaning fee.

  • Pet fee.

  • Listing details.

  • Tags.

  • Check-in instructions.

Before saving, double-check that you've selected the correct listings. Bulk changes may affect every property selected.

Use the Full Listing Editor for Detailed Changes

For more detailed updates:

  1. Go to Listings → My Listings.

  2. Locate the property.

  3. Click Edit.

The full Listing Editor allows you to update information such as:

  • Listing title and descriptions.

  • Photos and video walkthrough.

  • Bedrooms, beds, and bathrooms.

  • Amenities.

  • Pricing and fees.

  • House rules.

  • Check-in and check-out times.

  • Check-in instructions.

  • Availability.

  • Location details.

After making changes, save and publish your listing when prompted.

Manage Availability Efficiently

Hosts with multiple listings should regularly review their calendars to make sure availability is accurate.

For quick, individual date changes:

Host Dashboard → Calendar

For longer date ranges:

Listings → My Listings → Three dots → Calendar

From there, select a start and end date to block a longer period.

You can also manage longer availability periods through the full Listing Editor.

If you manage properties on other platforms, consider using:

  • Airbnb Connect.

  • Hospitable.

  • Hostaway.

  • OwnerRez.

  • iCal calendar URLs.

These tools can help keep supported listing information and availability updated across platforms.

Import Multiple Properties With a CSV File

Hosts managing larger portfolios can use a CSV file to upload multiple listings.

Go to:

Listings → CSV Upload

From there:

  1. Download the sample CSV template.

  2. Complete the required property information.

  3. Upload the completed file to Vidle Housing.

CSV upload can save time when adding multiple properties that aren't already connected through a supported integration.

Use PMS Integrations for Larger Portfolios

If your properties are already managed through Airbnb or a supported Property Management System, connecting your account may be more efficient than manually recreating each listing.

Use Sync Settings to Protect Manual Changes

If your listings are connected to a PMS or external platform, certain information may continue to sync and overwrite manual changes made directly on Vidle Housing.

For example, if your PMS sends a nightly rate, Vidle Housing may use that rate to calculate a monthly price. This may not always reflect the monthly rate you want to offer healthcare travelers.

To manage certain information directly on Vidle Housing:

  1. Go to Account → Sync Settings.

  2. Review the available synced fields.

  3. Lock the information you don't want your PMS to continue overwriting.

For example, locking Pricing allows you to set and manage your own monthly rate directly on Vidle Housing.

Keep Listing Names Clear and Consistent

For hosts with many properties, a consistent naming system makes listings easier to identify.

Consider using internal listing names such as:

  • 123 Main St – Unit 201

  • Downtown – 1BR – Unit A

  • Medical District – 2BR – #304

Your internal name is for your own organization, while your public-facing listing title should be written to appeal to travelers.

For example:

Internal Name: 123 Main St – Unit 201

Public Listing Title: Quiet Furnished 1BR Near Medical Center | Parking + W/D

A consistent naming system is especially helpful when communicating with Support or managing multiple reservations.

Keep Check-In Instructions Updated Across Properties

When managing multiple units, outdated check-in instructions can easily create confusion.

Regularly verify:

  • Property address.

  • Unit number.

  • Parking instructions.

  • Building access.

  • Gate codes.

  • Door or lockbox codes.

  • Wi-Fi credentials.

  • Special arrival instructions.

If several properties share the same instructions, use Bulk Edit when appropriate.

Always double-check that property-specific information is accurate before applying the same instructions to multiple listings.

Review Draft Listings Regularly

Check your My Listings page regularly for properties still in Draft.

A listing in Draft won't appear in traveler search results.

If a listing should be active but remains in Draft, open it and review the required information.

If the Publish button is gray, hover over it to see which required fields are missing.

Best Practices for Managing a Large Portfolio

To keep your listings organized:

  • Use consistent internal naming.

  • Create a clear tagging system.

  • Use Quick Edit for individual changes.

  • Use Bulk Edit for updates affecting multiple properties.

  • Keep calendars current.

  • Review pricing regularly.

  • Use PMS integrations or iCal when appropriate.

  • Lock synced fields you want to manage directly on Vidle Housing.

  • Keep check-in instructions current.

  • Review Draft listings regularly.

  • Respond quickly to traveler inquiries.

A well-organized portfolio is easier to manage and helps ensure travelers receive accurate information throughout the booking process.
