How to make an eBooking

Discover how to make eBookings from your WebCargo account using live airline rates and bookable capacity in minutes.

WebCargo's eBooking tool allows you to view and compare live rates from many airlines directly from your account.

We’ve synchronized with many different airlines including Etihad, Air France/KLM, Turkish, Qatar, Lufthansa, and many more to give you the most up-to-date prices and the biggest selection of rates so you can find a rate that works for you. Simply enter your cargo details, make a search, and find the rate that works for you.

Jump to each section by clicking on any of the following options:

1. Click on the New eBooking tab

2. Enter your flight details

By clicking on the New Booking tab, you’ll be directed to the shipment details page. The fields for your details include the origin, destination, and departure date. You can also indicate specifics about your shipment, such as the commodity type, whether you want to calculate by boxes or total shipment, and if your shipment is turnable and/or stackable.

2i. Calculating by boxes

If you have multiple pieces with different dimensions and weights, click on ‘Calculate by boxes,’ then input the shipment details for each piece. Make sure to indicate whether units are turnable and stackable.

To add different rows for each box, click on the ‘Add units’ button.

2ii. Calculating by total shipment

If you know the total weight and dimensions of your shipment, click on ‘Calculate by total shipment,’ then input the shipment details. Your shipment total will be automatically calculated underneath the information you have entered.

Make sure to indicate whether units are turnable and stackable and click on the two boxes to confirm each unit is less than 150 kg (330 lbs) and has dimensions less than 110 x 65 x 65 cm. If either of these exceeds the limits, unclick the relevant box. You’ll be prompted to enter the individual units.

If your shipment exceeds both weight and dimensions, you’ll be prompted with the following message asking you to choose the ‘Calculate by boxes’ option.

After entering all your flight details, click on the “Search flights and rates” button located at the bottom of the page.

3. Viewing and filtering your results

Once your results have loaded, you’ll be shown the results from all available airlines for your chosen route based on the date of shipment.

Tip: You can choose to order results based on price, you can click on the ‘View’ dropdown and change it to ‘Price range/duration range.’ This will filter your results from cheapest to most expensive.

You can filter your results to filter by airline, service, itinerary, aircraft type and price range.

Use Itinerary if you are searching for flights to a specific city without specifying the airport, you may see different options for closeby airports. For example, if you're searching from LHR - New York City, you may get results for either JFK or EWR.

Click on Itinerary then select the airport that you want to ship to, to filter the results. The rate results will then only show flights to that airport.

Let's go back to viewing the rate results. Every horizontal row represents one airline and from left to right shows the most suitable rate cards for your shipment organised by date.

On the left-hand side descending, you'll see all of the available airlines you can book with.

Tip: If you cannot see results for an airline and you think you should be able to see them, contact our eBookings support team at ebookings.support@freightos.com, and they’ll help you get set up. Find out which airlines are available in your region in this article.

Inside each individual square, or rate card, you can see the price per kilogram, total price and the flight itinerary. Click on any of these cards, and you will see a pop-up which gives you more detailed information about the flight.

(These are dummy rates and are not valid)

The first result you will see will be the result best matching the requirements you entered in the search box. View the complete information breakdown, such as the rate per kilogram, and the surcharges (it will be specified if these are included in the total price and, if not, a breakdown will be shown of what the surcharges are), the itinerary and the total price.

Underneath the initial results, you’ll be able to see other shipping options. You can sort these options by the best flights (taking into account all aspects of the flight), price, departure date, arrival date and duration. Click on the small arrow next to any of the options, and you’ll be able to see the flight information breakdown for each.

Once you have decided which rate best suits you, click on the blue select button next to it.

4. Finalising your shipment

After clicking on the select button, you’ll be taken to the flight details page. Here you can view all of the information relevant to your flight. First, you have the itinerary.

4(i). Itinerary

Here you can see the departure date and location, the duration of each flight and stopover and the mode of transport for each leg.

4(ii). Amount Due

Here you can view the total cost of your shipment as well as the rate per kilogram from the airline and the surcharges.

4(iii). Operational times

These show you limitations for the last time when you can accept the time to send your cargo and when your cargo can be picked up.

4(iv). Shipment

This section shows you which company your cargo is flying with, what is the chosen service and what commodity or goods type you have chosen.

4(v). Load information

Shows all the information about the load as well as the gross weight, volumetric weight and chargeable weight.

4(vi). User identification

This shows the IATA code chosen for the shipment

4(vii) Cancellation policy

If your airline has a specific cancellation policy, you will be able to find a link to that here. If not, you will be able to see the standard message.

5. Entering your AWB number

All that’s left for you to do now is to enter the AWB number for your flight and select your AWB type. There are 3 different options for selecting your AWB type. These are as follows:

1. E-FREIGHT CONSIGNMENT W/O ACCOMPANYING DOCUMENTS

2. E-FREIGHT CONSIGNMENT WITH ACCOMPANYING DOCUMENTS

3. Paper AWB

Select the one that is correct for your shipment. Bear in mind that some airlines do not require you to enter an AWB to finalise a shipment. You can find out which airlines offer this service in this article.

Tip: You can add airline stock to your account to be used when completing your shipment, instead of having to enter the AWB number manually. Find out how to do that here.

Make sure to check and double-check all of your details, as some airlines do not allow you to make edits to your booking once you have booked. Once you’re checked and ready, click ‘Book this shipment.’

6. Next steps

Once your eBooking is complete, WebCargo will communicate with the airline’s system to process your eBooking. Once the airline has received and confirmed your eBooking, you’ll receive a confirmation email with your shipment details.

To check the status of your eBookings at any time, you can click on the My eBookings tab. Here you’ll be able to search for, view and in some cases edit pre-existing shipments.
