How to make an eBooking

Discover how to make eBookings from your WebCargo account using live airline rates and bookable capacity in minutes.

WebCargo's eBooking tool allows you to view and compare live rates from many airlines directly from your account.

We’ve synchronized with Etihad, Air France/KLM, Turkish, Qatar, Lufthansa, and many more airlines to give you the most up-to-date prices and the biggest selection of rates to find a rate that works for you. Enter your cargo details, search, and find the rate that works for you.

Jump to each section by clicking on any of the following options:

1. Access the New eBooking section

After logging in, click on the "+" symbol within the side menu, then click on New eBooking.

2. Enter your flight details

Clicking on the New Booking button will direct you to the shipment details page. The fields for your details include the origin, destination, and departure date. Indicate specifics about your shipment, such as the commodity type, whether you want to calculate by boxes or total shipment, and if your shipment is turnable and/or stackable.

2i. Calculating by boxes

If you have multiple pieces with different dimensions and weights, click on ‘Calculate by boxes,’ then input the shipment details for each piece. Make sure to indicate whether units are turnable and stackable.

To add different rows for each box, click on the ‘Add units’ button.

2ii. Calculating by total shipment

If you know the total weight and dimensions of your shipment, click on ‘Calculate by total shipment,’ then input the shipment details. Your shipment total will be automatically calculated below the information you have entered.

Make sure to indicate whether units are turnable and stackable and click on the two boxes to confirm each unit is less than 150 kg (330 lbs) and has dimensions less than 110 x 65 x 65 cm. If either of these exceeds the limits, uncheck the relevant box. You’ll be prompted to enter the individual units.

If your shipment exceeds both weight and dimensions, you’ll be prompted with the following message asking you to choose the ‘Calculate by boxes’ option.

2iii. Calculating by ULD

Some airlines also offer the option of calculating the total weight of the shipment by ULD. Select ULD to view different filters and add information to add information about your ULDs.

You can select the ULD type from the dropdown and then enter the weight and volume of the ULD device. If you need to add more units, click on the Add units button. You can find more information about shipping ULDs in this article.

After entering all your flight details, select your IATA number from the dropdown if you have multiple for your search, then click on the “Search flights and rates” button.

3. Viewing and filtering your results

Once your results have loaded, you’ll be shown the results from all available airlines for your chosen route based on the date of shipment.

Tip: You can choose to order results based on best value, cheapest, quickest and greenest. Select one of the options at the top of the search results and they will change depending on this choice.

You can also add additional filters to your results to see specific ones from airlines, services, itineraries, aircraft types, surcharges, and price ranges.

Use Itinerary if you to search for flights to a specific city without specifying the airport. This will show you nearby airports for your flight. For example, if searching from London to New York City, you may see results for either LHR or LGW as an origin airport.

Click on any of the airports, and you will only see flights from those specific ones within the search results.

Let's go back to viewing the rate results. Every horizontal row represents one airline and from left to right shows the most suitable rate cards for your shipment organised by date.

On the left-hand side descending, you'll see the available airlines you can book with.

Tip: there are airlines which may be available for your chosen route but do not show in the results. Keep an eye out for these banners which allow you to get the contact details of each airline so you can get registered, start seeing results, and booking with them.

Click on each square, or rate card, to view the price per kilogram, total price and the flight itinerary. Clicking on these cards will show you detailed information about the flight, such as the rate per kilogram, included surcharges, and information about departure and arrival times.

Underneath the selected result, other shipping options will also be available. Highlighted rates and Alternative rates. Highlighted rates show an improved option on the selected rate, such as an Express service, with the price difference.

Click on Alternative options to see other options which may work for your shipment. Things like the price, and flight time, may change.

Once you have decided which rate best suits you, click on the blue select button next to it.

4. Finalising your shipment

You'll then be taken to the flight details page. Here you can view information relevant to your flight. First, you have the itinerary.

4(i). Itinerary

Here you can see the departure date and location, the duration of each flight and stopover and the mode of transport for each leg. You can also Copy your flight itinerary before booking if you wish to send it to your customer before.

4(ii). Amount Due

Here you can view the total cost of your shipment as well as the rate per kilogram from the airline and the surcharges.

4(iii). Operational times

These show you limitations for the last time when you can accept the time to send your cargo and when your cargo can be picked up.

4(iv). Shipment

This section shows you which company your cargo is flying with, what is the chosen service and what commodity or goods type you have chosen.

4(v). Load information

Shows all the information about the load as well as the gross weight, volumetric weight and chargeable weight.

4(vi). User identification

This shows the IATA code chosen for the shipment

4(vii) Cancellation policy

If your airline has a specific cancellation policy, you will be able to find a link to that here. If not, you will be able to see the standard message.

5. Entering your AWB number

All that’s left for you to do now is to enter the AWB number for your flight and select your AWB type. There are 3 different options for selecting your AWB type. These are as follows:

1. E-FREIGHT CONSIGNMENT W/O ACCOMPANYING DOCUMENTS

2. E-FREIGHT CONSIGNMENT WITH ACCOMPANYING DOCUMENTS

3. Paper AWB

Select the one that is correct for your shipment. Bear in mind that some airlines do not require you to enter an AWB to finalise a shipment. You can find out which airlines offer this service in this article.

Tip: You can add airline stock to your account to be used when completing your shipment, instead of having to enter the AWB number manually. Find out how to do that here.

Make sure to check and double-check all of your details, as some airlines do not allow you to make edits to your booking once you have booked. Once you’re checked and ready, click ‘Book this shipment.’

6. Next steps

Once your eBooking is complete, WebCargo will communicate with the airline’s system to process your eBooking. Once the airline has received and confirmed your eBooking, you’ll receive a confirmation email with your shipment details.

To check the status of your eBookings at any time, you can click on the My eBookings tab. Here you’ll be able to search for, view and in some cases edit pre-existing shipments.
