Get Started With Yada

Week-one onboarding checklist with step-by-step setup for integrations, email, SMS, WhatsApp, Signals warm-up, journeys, Loyalty, and the website widget.

Use this checklist to take a new Yada workspace from connected to guest-ready. Work the sections in order.

1. Connect your systems

  1. Open Settings → Integrations.

  2. Connect your property management system. Follow the in-product steps for your PMS (for example Hostaway, Guesty, Streamline, OwnerRez, Hospitable, or Lodgify).

  3. Data will start flowing and may take several days to fully complete. After that time:

  4. Open Listings, Contacts, and Inbox and confirm expected records are present.

  5. If data looks incomplete, open Settings → PMS Sync and run a catch-up sync, only after 24 hours.

2. Set brand and guest identity

  1. Open Settings → Brand.

  2. Enter your company name, sender name, and contact details.

  3. Set the direct booking URL. Journeys and campaigns use this link.

  4. Set brand voice and signatures so guest-facing messages match your brand.

  5. Save

3. Set up email sending

  1. Open Settings → Integrations → Email.

  2. Add a marketing subdomain (for example mail.yourdomain.com).

  3. Create the domain configuration.

  4. At your DNS provider, add every record Yada shows, using the exact host and value. If you use Cloudflare, keep email-authentication CNAME records set to DNS only (not proxied).

  5. Return to Yada and verify the domain.

  6. Set the default sender email, sender name, and optional reply-to.

  7. Create branded link tracking, publish those DNS records, and verify them separately.

A new marketing subdomain needs about two to three months of warm-up before a large email campaign. During warm-up, send Guest Signals on email. SMS and WhatsApp campaigns can still run during this period. See also Set Up Email Sending in Yada.

4. Set up SMS

Choose one path: Quo, or a native Yada SMS number.

Path A: Quo

  1. In Quo (formerly OpenPhone), create or retrieve an API key with access to the numbers you will use.

  2. In Yada, open Settings → Integrations → Quo.

  3. Paste the API key and select Connect.

  4. Choose a marketing number.

  5. Complete any welcome-message or contact-backfill options you need.

  6. Confirm SMS is ready to send.

Path B: Native Yada SMS

  1. Open Settings → Integrations → SMS.

  2. Select Add a number.

  3. Choose the United States or Canada.

  4. Choose a local or Toll-Free number type. For Canada, Toll-Free is usually more reliable than local.

  5. Search by city, area code, or digits, select an available number, and confirm the purchase.

  6. Open the Carrier registration wizard for that number.

  7. Enter accurate business identity, address, website, and contact details.

  8. Describe the messaging use case, consent / opt-in process, sample messages, and STOP / HELP behavior.

  9. Submit the registration. US local numbers use A2P 10DLC. Toll-Free numbers use Toll-Free verification.

  10. Wait until the integration shows the business and messaging campaign as approved. Do not send production SMS before approval.

  11. Review STOP, HELP, consent, and cooldown requirements, then confirm SMS is ready to send.

5. Set up WhatsApp

  1. Open Settings → Integrations → WhatsApp.

  2. Follow the in-product setup for business and sender information.

  3. Wait until the sender status is ready.

  4. Open WhatsApp templates, create or start from a Yada starter template, set category and language, define body and variables, and submit for approval.

  5. Use only approved, compatible templates in campaigns, journeys, and automated Guest Signals.

Note: Meta blocks WhatsApp marketing to US phone numbers. Details: Connect WhatsApp and Manage Message Templates.

6. Warm the email subdomain with Guest Signals

The goal is automation. Manual review is only a short test of what automation will send, not the ongoing workflow.

  1. Open Listings and check the guest-facing name on each active listing. Some PMS syncs put a long SEO title in the name field and the real property name in the nickname. Guest Signals can use that name in automated messages, so fix any listing whose display name would look wrong to a guest before you turn automation on.

  2. Open Settings → Guest Signals.

  3. Turn on automatic sending for the signal types you want live.

  4. Set the eligible channel to email while the marketing subdomain is warming up.

  5. Set a modest daily cap, quiet hours, and timezone.

  6. Save.

  7. Open Marketing → Guest Signals and use daily review once or twice to sample the messages automation will include. Confirm recipients, listing names, and copy look right, then dismiss or send those test items.

  8. Leave automation running. Do not rebuild a daily manual review habit.

  9. Keep large email campaigns paused until warm-up is complete.

7. Turn on journeys and Loyalty

Journeys

  1. Confirm the booking URL under Settings → Brand.

  2. Open Marketing → Journeys. Yada creates default journeys the first time you open this page. They start inactive.

  3. Open Inquiry Winback. Confirm listings, channels, and message copy, then turn it on.

  4. If you do not already run upsells elsewhere, open the pre-stay and post-stay upsell journeys (for example Pre-Stay Gap Night Upsell and Post-Stay Gap Night Upsell). Confirm listings, availability checks, and copy, then turn them on.

  5. Open Anniversary Re-booking (about 300 days after check-in). Confirm listings and copy, then turn it on.

  6. Do not use Enable all defaults until you have reviewed each journey you plan to activate. Yada will not activate a journey with placeholder text or no listings assigned.

Loyalty

  1. Open Loyalty.

  2. Set the program name and what guests call the currency (points, bucks, credits, etc.).

  3. Turn the program on.

  4. Backfill existing contacts.

  5. Copy the guest portal URL so you can share it later.

  6. Leave coupon codes, earn/redeem rules, and reward fine-tuning for a later pass if needed.

8. Install the website widget

  1. Open Website → Website Widget.

  2. In the Installation card, copy the workspace-specific snippet.

  3. Paste it once in your global site template so it loads on every page, preferably near the end of the page body. In a tag manager or website builder, add it as custom HTML or code injection.

  4. Publish the site change.

  5. Return to Website Widget settings, enable the full widget, and save.

  6. Open the live site in a private browser window and confirm the widget loads. The Installation card should show that Yada has seen a recent widget load.

9. Week-one checklist

You are ready for week one when all of the following are true:

  • PMS is connected and Listings, Contacts, and Inbox look correct

  • Listing guest-facing names look clean (not long SEO titles)

  • Brand settings and booking URL are saved

  • Email domain and branded links are verified

  • Guest Signals automation is on email for warm-up, after a short daily-review sample

  • SMS is connected or in progress (Quo, or native Yada SMS with carrier registration submitted)

  • WhatsApp sender and templates are connected or in progress

  • Inquiry Winback is on

  • Pre-stay and post-stay upsells are on if you need them

  • Anniversary Re-booking is on

  • Loyalty is live

  • Website widget is installed and loading

  • Large email campaigns stay held until warm-up is complete
