How Inventory Syncs to Your Marketplaces

S
Written by Sam E.

Acenda keeps one stock count per item in each of your warehouses. On a schedule, it works out how much of that stock each sales channel may sell and sends the number to the channel. A channel only counts the warehouses you've mapped to it, after any Inventory Floor is taken off.

This article is an overview. It links to the detailed guides for each step.

Before you start: Inventory only reaches a channel when that channel's inventory switch is on. Open CHANNELS > Integrations, click Edit next to the channel, and check the Settings tab. The switch is called Enable Inventory Push, Push Inventory or Push Inventory To Shopify, depending on the channel. On DSCO retailers Push Inventory is off by default. While it's off, no stock is sent and no error is shown.

How it works

  1. Stock comes into Acenda. A connected fulfillment provider or inventory system (for example ShipHero, ShipBob, Shopify, NetSuite or an inventory file on SFTP) sends stock counts on its own schedule. You can also adjust an item by hand or import a file. Every count belongs to one Acenda warehouse.

  2. Acenda works out On Hand for each warehouse. On Hand is the stock available to sell: Quantity − Allocated when the warehouse has Respect Allocations on (recommended), otherwise Quantity − Not Available. See How to Manually Adjust Inventory in Acenda.

  3. Only mapped warehouses count. Each channel uses the warehouses listed under Settings > General > Warehouse Details on that channel's integration. Warehouses must also be set to Active. Stock in any other warehouse is never sent to that channel. See Adding and Managing Warehouses in Acenda.

  4. The Inventory Floor is taken off. If the channel has an Inventory Floor, Acenda subtracts it from each mapped warehouse's On Hand. A warehouse never counts below 0. See How to Set an Inventory Floor for a Marketplace.

  5. The total is sent to each channel location. Each marketplace location (such as a Target Plus distribution center or a Walmart ship node) receives the total for the Acenda warehouses mapped to it. On most channels, items with their Listing Action set to ZERO or UNLIST are sent 0.

Does warehouse order matter? No, not for inventory. Dragging warehouse rows under Warehouse Details sets their priority for order routing only. The Routing Modes setting is also for orders. Every mapped, active warehouse is counted the same way whatever its position.

Kits: A kit has no stock of its own. For each warehouse, Acenda works out how many complete kits the component items in that warehouse can make, and uses that as the kit's stock. The kit's Inventory tab is view-only, so update the components instead.

Warning: If a fulfillment provider or inventory system sends stock to a warehouse, its next sync replaces any count you entered by hand or imported for that warehouse. Fix the count in that system so the correction sticks.

How often inventory updates

Acenda doesn't send stock the moment it changes. Each channel gets updates on its own schedule. Most connections use the times below, but some are set to a different schedule.

  • Target Plus: Usually hourly. Some connections update every 15 or 30 minutes.

  • Walmart: Every 30 or 60 minutes.

  • Mirakl marketplaces (such as Macy's, Nordstrom, Ulta Beauty, Bloomingdale's, Kohl's, Lowe's and Best Buy): Usually hourly. Stock and price are sent together, so the inventory switch also controls price updates.

  • Shopify: Every 30 minutes.

  • Amazon: Every 30 minutes, for the seller-fulfilled quantity on items mapped in Acenda.

  • DSCO retailers: Varies by connection, from every 30 minutes to once a day.

On most channels, a change you make now reaches the channel within about an hour. The marketplace may take a little longer to show it.

Check what was sent

  • Channel Status tab: Open the item and go to Channel Status. The Inventory figure for each channel is the quantity Acenda has on record there. If the channel has more than one location, click the arrow next to it to see the quantity for each one.

  • Channel Events tab: Open the item's Channel Events tab and set Operation Type to Inventory to see each quantity Acenda sent and when. This is recorded for Target Plus, Walmart, TikTok Shop and Mirakl marketplaces, not Amazon. See Tracking Marketplace Updates with Channel Events.

  • Inventory tab: Shows the item's Quantity, Allocated, Not Available and On Hand in each warehouse, so you can compare them with what the channel shows.

Troubleshooting

  • The channel shows 0, but Acenda shows stock: Check which warehouse holds the stock on the item's Inventory tab. Then check that the warehouse is mapped to the channel under Warehouse Details and set to Active. Also check that the channel's inventory switch is on, that the stock is above the Inventory Floor, and that the item's Listing Action isn't ZERO or UNLIST.

  • The channel shows the wrong quantity: If the channel has several locations, make sure each one is mapped to the right Acenda warehouse. Mapping every warehouse to one location is a common cause. With several warehouses, the floor is taken off each one, so the total sent can be lower than you expect. Units allocated to open orders are also left out.

  • Stock didn't update after an import: Check that the import finished without errors under DATA TRANSFERS > Imports, and that each row's warehouse_id is a warehouse mapped to the channel. Then allow up to about an hour for the next update. If the count later changes back, a connected fulfillment provider or inventory system has synced over it.

  • Target Plus removed an item for being out of stock: Long stretches at 0 can lead Target to remove the item. See Troubleshooting Target+ Error: "Item removed due to prolonged out-of-stock inventory".
