Email address already in use is a response from the system to advise that something is wrong. Sometimes this can be a bit vague so we've put this guide together to get you up and running when you get this warning.

First things first. What does it look like?

You can see from the above that the system knows something isn't quite right and that the email address has been used before.

There are a few of reasons for this:

Pending starter?

Someone has beaten you to it!  There may be a chance they are already in the system as a pending employee, contractor or volunteer.  You can check this by filtering your people list...

The individual has previously used Breathe with another company.

No problem. Simply ask the individual to contact their previous employer and either get the email removed or simply replaced/changed.  They can do this by putting an "x" or another character that changes the email allowing the original to be re-used

PLEASE NOTE WE ARE UNABLE TO ADVISE WHERE AN EMAIL IS KEPT DUE TO GDPR

The employee has accidentally taken out a trial

They may have taken the time to take out a trial previously to see what the system is like but you've decided to go with your main account and get that live.

The employee will just need to login to their trial and delete the account. They can do this using the following steps:

Can't remember the password? Just click "forgotten password" at the bottom of the login page.

  • Once in the account you need to go to the Plan and billing section to cancel the plan

Configure > Plan and Billing > Manage plan > Cancel Plan

Follow those steps and the account will be deleted along with any email details allowing you to re-use the email.
