There are two ways to pay payroll with Chexy:
Pay your payroll software bill — send your payroll provider (e.g. Employment Hero, Wagepoint, ADP, Dayforce) the amount they invoice you for running payroll, via Pre-Authorized Debit (PAD).
Pay your employees directly — pay your team directly through Chexy, usually via Push EFT or e-Transfer.
This article covers both options.
Option 1: Paying Your Payroll Software Bill
Step 1: Search for your payroll provider
Start by searching for your payroll provider in Chexy's payee directory. For example, if you use Employment Hero (formerly Humi), just type the name into the search bar and select it from the results.
Don't see your provider listed? No problem — you can add them as a new payee manually. Just enter their payment details and Chexy will save them for future payments.
Step 2: Enter your payment details
Enter the following details:
Estimated payment amount — payroll bills are variable and change from run to run, so you only need to enter an estimate here.
We'll cover the actual amount owed when your Pre-Authorized Debit (PAD) request comes in, and settle the difference with your card (more on this below).
Frequency — how often this bill recurs (e.g. weekly, bi-weekly, monthly).
Payment date — the date this payment will be made.
Nickname — an optional label to help you identify this payment later (e.g. "Payroll").
A key thing to know about biweekly cadence: it anchors on your first payment date. So if you select September 2nd (a Wednesday) Chexy will automatically schedule every subsequent payment for every other Wednesday going forward.
Important: Make sure the payment date you select is the day your payroll bill is due — not the day your employees actually get paid. For example, if your bill is due Wednesday but your employees are paid Friday, select Wednesday as your payment date.
Step 3: Review your payment details
Chexy will pre-fill a review screen with everything you've entered, including your payment method, amount, date, nickname, frequency, and the recipient's information. Take a moment to confirm everything looks correct before continuing.
Note: The recipient address shown in this example is for illustration purposes only.
Step 4: Choose how you'll fund the payment
You can fund your payment using either:
Credit card (Visa or Mastercard only) — great if you're looking to maximize earning potential on your spend.
Chequing account — a great option if you don't have the credit limit available on your card.
Chexy gives you the flexibility to choose whichever option works best for your business.
Once you choose your payment method, you'll see a final confirmation showing your payment amount, any applicable fees, and the total charge. Review this before submitting.
Step 5: Schedule your payment
Once submitted, you'll land on a confirmation screen showing your payment is scheduled, along with the amount and pay date — plus your PAD void cheque details.
Make sure you update your new PAD details with your payroll software! (see more details below)
Setting up PAD with your payroll provider
Most payroll software uses Pre-Authorized Debit (PAD) as the payment method, here's how it works: Chexy provides you with a dedicated set of bank details (in the form of a void cheque) to use in place of your own banking information. You'll need to update these details directly in your payroll software's portal.
This step is critical — if you don't update your payroll provider with Chexy's PAD details, your payroll payment won't be made on time.
Below is an example of where to update these details in Humi/Employment Hero's payroll setup page - see "Banking Information". It may look slightly different for each payroll provider.
You can access your void cheque details in two places:
Directly from the confirmation screen after scheduling your payment, or
Anytime afterward under Settings > PAD details
Simply take the account number, transit number, and institution number provided and update them in your payroll software's banking information section.
Set it and forget it with auto-charge
Since payroll amounts vary from run to run, you only need to enter an estimated amount when setting up your payment in Chexy. When your actual PAD request comes in from your payroll provider, we'll settle the real amount against your card.
To make this even easier, you can turn on auto-charge and auto-refund so your payroll payments run automatically without any manual work on your end. Head to PAD details in Settings to set your auto-pay limit (up to $10,000).
Option 2: Paying Your Employees Directly
With this option, you pay your employees directly through Chexy — rather than paying your payroll software provider's bill. Many businesses have their accountant or bookkeeping software to calculate deductions and net pay, then use Chexy simply to send that payment to the employee.
Step 1: Search for your employee
Search for your employee by name. If they're not already saved as a payee, select "Create new payment for [employee name]" to add them.
Step 2: Pick a category
Select Payroll as the category.
Step 3: Choose your payment method
Choose the payment method that matches how your employee receives their money. Electronic Funds Transfer (EFT) is the most popular option, though some businesses also use Interac e-Transfer. For this example, we'll use EFT.
Quick Tip: If you usually send your payroll via cheque, EFT would be the closest digital option.
Step 4: Enter your payment details
Just like in Option 1, enter:
Payment amount
Frequency (will likely be a one time payment as the amount fluctuates every 2 weeks)
Payment date — this should be the date you actually want to pay your employee
Nickname — helpful for identifying this payment later (e.g. "Payroll - Tom Holland")
Step 5: Enter your employee's bank account details or e-Transfer details.
Enter your employee's transit number, institution number, and account number. OR enter their e-Transfer details.
Step 6: Enter additional recipient information
Fill in your employee's name, phone number, email, and address. Chexy will never contact your employee directly using this information — it's used solely for processing the payment.
Step 7: Review and confirm
Review all the details you've entered — payment method, amount, date, nickname, frequency, and recipient information. Once everything looks correct, press Confirm.
Step 8: Add your card or bank account
Just like in Option 1, choose how you'd like to fund the payment — credit card or chequing account — and complete the payment.
You may need to upload a document such as a statement from your accountant or an invoice.
That's it! You're all set.
FYI: Once you've paid an employee for the first time, they're saved as a payee in Chexy. For future pay periods, simply search their name to send them another payment — no need to re-enter their details.
