Getting employees to clock into the correct job has always been a challenge in service businesses. Employees working at multiple locations can easily select the wrong job, creating a mess for payroll and job costing. Pro solves this through a rules-based system that verifies every clock-in.
The foundation of accurate clock-ins starts with team assignment - employees must be on the Team assigned to a job even to see it as an option. Pro then offers five clock-in methods to ensure employees are at the right place at the right time, plus the Unknown Job option for situations when employees legitimately can't access their assigned jobs.
Six Ways Your Employees Can Clock In
1 - The Employee is GPS-tracked at the Job
This is the Simplest Clock In. Your employee is GPS-tracked at the job site. They have to be on the Team for the Job but don't have to be scheduled.
2 - The Employee is Scheduled for the Job
An employee can clock in when they are Scheduled for the job (the schedule is on their Home screen.) However, you can prevent scheduled employees from clocking in if they are not GPS-located at the job site.
3 - The Employee Can Scan a TimeTile™
An employee can clock into a job if there is a TimeTile at the job. The article covers the 5 rules about clocking in with TimeTiles™.
4 - The Employee Can Clock into an Unknown Job
Employees can clock into an Unknown Job. This is a last resort but may be necessary at times. The app asks the employee why they are clocking into an Unknown Job. They can specify the name of the site. You must edit the time card to select the correct job when it's closed.
5 - The Employee Can Clock In by Entering a Shift Pin.
If you want employees to be able to clock in from anywhere, you can give them a Shift Pin. The person just presses 'I need to clock in' and then clicks the button '# Clock in by PIN'. If your company setting requires them to have GPS, they will be directed to turn on GPS to 'Always Allow' before the clock-in can happen.
6 - The Employee Can Call to Clock In (Telephony)
Employees can call to clock in/out from their cell or job site phone using their access code (10-digit cell number) and a unique 4-digit Shift PIN when unable to use the mobile app. No GPS tracking is available with phone clock-ins.
