Every school tracks absences a little differently – whether it’s for sick leave, PD, or internal codes. With ClassCover, you can personalise the list of absence reasons that appear when making a booking, so it fits the way your school operates.

Setting this up helps your school stay organised, improve reporting accuracy, and stay on top of budget tracking.

Who Can Customise Absence Reasons?

Only users with Administrator Access can view and update the school's absence reasons.

If you don’t see this option in your settings, check with your school’s account owner or another admin user to adjust your access level.

Steps to Add Custom Absence Reasons

  1. Go to Admin Settings

Log in to your ClassCover account via Desktop and navigate to Admin Settings.

  2. Find and Edit the 'Reason for Absence List'

Locate the 'Reason for Absence List' and click on ‘Edit’ to open your current list.

  3. Add or Update Reasons

Click 'Update Staff Reason for Absence List' to:

    • Add new absence reasons

    • Remove outdated ones

    • Reword existing reasons to suit your school’s language or codes

  4. Save Your Changes

After adding the new reasons, click ‘Save’ to apply the updates.

Why Customise Absence Reasons?

Customising absence reasons helps you:

  • Streamline Bookings: no need to manually type the reason each time

  • Improve Reporting Accuracy: your reports and Insights dashboard will reflect the correct categories

  • Track Budgets More Easily: match absence reasons with internal coding or payroll tracking

Want to download absence and booking data? You can learn more in our guide on Payroll Reports.

This small step can save your school time and improve the way data is used across the platform.
