Managing recurring staff absences or regular scheduling needs? ClassCover's Repeating Booking feature streamlines the process by allowing you to set up multiple bookings at once. This tool is perfect for covering professional development days, ongoing leave, or any situation requiring consistent casual staffing.

This guide will walk you through when it's best to use a repeating booking, how to create one and show you some tips on how this feature can help optimise your school's calendar.

When to Use Repeating Bookings

Repeating bookings are ideal when:

  • You've already spoken to a casual and confirmed their availability for multiple dates.

  • You’re covering a long-term or recurring timetable (e.g. covering leave for teachers)

  • You want to save time by setting up multiple bookings simultaneously.

Note: This feature is available through Pre-Confirmed Bookings and can only be used for casuals marked as available or who haven't yet indicated their availability. Ensure you've had verbal confirmation of their availability before proceeding.

How to Set Up a Repeating Booking

  1. Navigate to Pre-Confirmed Booking: Go to the Bookings tab and select Pre-Confirmed Booking.

  2. Select the Casual: Locate the casual you wish to book.

  3. Choose the Start Date: Select the date you want the first booking to start from.

  4. Access the Repeating Tab: Click the Repeating tab to set the frequency:

    • Daily: Choose the start date.

    • Weekly or Fortnightly: Choose the start date, select weekly or fortnightly recurrence, and pick the days of the week.

    • Monthly: Choose the start date and specify whether the booking repeats on a specific date each month or a specific day (e.g., the second Monday).

  5. Set the End Date: Decide when the booking will end – either after a certain number of occurrences, on a specific date, or at the end of the year.

  6. Review Occurrences: Click Review Occurrences to see a summary of all bookings.

    • Ensure each occurrence aligns with your needs.

    • If any date conflicts with the casual's availability, you'll be notified.

  7. Confirm Bookings: Once satisfied, confirm the bookings. They will be added to your school's calendar and appear in your Bookings History.

Key Points to Remember

  • Only use this feature after confirming availability with the casual.

  • Repeating bookings are available through Pre-Confirmed Bookings for casuals marked as available.

  • Currently, this feature is only accessible on the desktop version.

  • Casuals receive notifications and see the bookings in their calendar.

  • Availability conflicts will be flagged before confirmation.

Optimising Your School’s Calendar for Better Scheduling

After creating your repeating bookings, you can view them in your school’s calendar. To maximise efficiency:

  • Remove any cancelled bookings

  • Add external events for your school

  • Customise your calendar's settings as needed.
