Using the Membership Import Tool

Looking to import your Memberships for your members, you can now do so via a Custom Report! The best part? No CSV required!

This tool is designed to be used in the early stages of setting up your Clubworx account.

Before you import Memberships from a Custom Report, you will need to ensure that you have done the following within Clubworx:

1. Your Contacts are imported. Refer to How to Bulk Import Contacts.
2. Your Membership Plans are created. Refer to Introduction to Memberships.

Once the above are done, proceed to follow the steps below:

1. Click on Reports on the left panel. You will see a list of Custom Reports:


2. Select a report to use as your contact list. If you have just uploaded your contacts, we recommend using Members- Cancelled as your new contacts will be appearing as cancelled members at this stage.

You can also create a new Custom Report if you like. Refer to Building a Custom Report.

3. You will now see the list of Contacts based on the report that you've selected. Click on the ... on the top right hand corner and click on Start memberships import.


​You will be presented with the option to import memberships to Members or Non Attending Members or Members only. Select your desired option and click on the green Start Import button at the bottom right hand corner.

Note: If you already have an import in progress, you cannot run another import until you remove or complete the existing import. You can find your imports by going to the top right corner, Settings > Bulk Imports.

4. Review your import and select the Membership Plans from the dropdown list for each member presented. Once selected, the row will populate with the respective details. You can edit the row data by clicking on the pencil icon, or clicking on any field or delete the row by clicking on the bin icon on the right hand side of the respective row.

You can also bulk update an entire column by clicking on the orange Change option at the top of that column.

You will need to check the Start date, Recurring Cost, Recurring payments start and Class limit number (if it is a class pack this should be set to the remaining number of classes).

If these memberships are being uploaded for an existing client database. Ensure you set the Upfront Cost to $0.

5. Once all rows are checked and you're ready to import, click on the orange Start import button at the bottom right hand corner.

6. After a few quick seconds and it'll be ready. You've just successfully imported your Memberships from a Custom Report! You'll now see a record of the import on the page. To view the full details for a particular member, click on the eye icon on the right hand side of the respective row and it will take you to the Memberships page.
