How to create products, set up pricing plans, manage billing frequency, trials, discounts, and subscriptions in CoachRx.

Overview

Everything starts with the product. Products form the foundation of your subscription and payment system in CoachRx. You can create recurring subscriptions (like ongoing coaching memberships) and one-time payments (like merchandise). This guide walks you through creating products, setting up pricing plans, managing billing frequency, applying trials and discounts, and managing your subscriptions.

Creating Products

To create products in CoachRx:

  1. Go to Business > Payments > Products

  2. Click "Add product"

  3. Enter the product name and description

  4. Tie to a coach if applicable (this is needed for Payroll)

  5. Create your pricing plans

Setting Up Pricing Plans

After creating a product, set up pricing plans with the following considerations:

Billing Frequency

You can charge clients on the following schedules:

  • One-time

  • Weekly

  • Monthly

  • Yearly

Trials

To set up a trial period (like a 30-day trial), select a start date for when the membership begins. For a 30-day trial, choose a start date 30 days in the future. Payment will process on that date unless the client cancels before the start date.

Discounts and Coupon Codes

Stripe does not currently offer coupon or discount codes through the CoachRx account. As a workaround, create a new pricing plan with an adjusted price. For example, create a plan titled "_____ 20% off" at 20% less than the original price. We will include this feature when it becomes available from Stripe.

Splitting Payments

To split recurring charges across multiple dates, create additional pricing plans with the appropriate amounts. Assign the plan multiple times with the corresponding billing dates. Example: To split a $300/month coaching charge, create two plans at $150 each and assign one to bill on the 1st and the other on the 15th of each month.

Prorating

Prorating for recurring subscriptions is handled automatically based on the start date and bill date. For example, if a client starts a $300/month service on the 16th of a 30-day month, Stripe automatically prorates the charge to 50% ($150) for that first partial month.

Managing Subscriptions

Creating Recurring Subscriptions

To set up a recurring subscription:

  1. Go to Business > Payments > Recurring

  2. Click "Create Subscription"

  3. Select the client

  4. Select the product

  5. Select the pricing plan

  6. Add a payment method

  7. Set the start/end and bill dates (different dates trigger automatic prorating)

  8. Click "Start subscription"

Invoicing Notes

When creating recurring subscriptions, you can:

  • Have coaches insert credit card information directly

  • Use a payment method already on file

  • Send an invoice via email

Note: Stripe takes approximately 60 minutes to generate invoices. Subscriptions must be paid within 23 hours to avoid automatic cancellation. Best practice: check invoices to confirm that clients have paid.

Canceling Recurring Subscriptions

To cancel a recurring subscription:

  1. Go to the Recurring tab

  2. Click the 3 dots next to the subscription

  3. Choose the cancel option

Archiving Products & Pricing Plans

To archive a product or pricing plan:

  1. Go to the Products tab

  2. Choose the product or plan you want to archive

  3. Click the 3 dots

  4. Choose "archive"

Archived products and plans remain in your account but are no longer available for new subscriptions.
