Q What is Create a group?

An owner can add multiple companies to a Company Index and create a group designate each a parent, subsidiary or associated company within the group. Creating a group can be done either from the “Add Group” function on the Company Index, or the “Group Info” button within Company Settings. The platform cannot currently designate sub-subsidiaries.

Q How do I create a group?

Step 1. From the company index, click on "Create group". However, you should first add all the companies that you intend to group together.

A popup would show.

Step 2. From the list of companies on your Company index, select the company that will become the parent.

Step 3. Allocate other relevant subsidiaries and associates, providing the % ownership for each.

Step 4. Review the group structure on your updated Company Index - where the subsidiaries and associates are listed together, with the subsidiaries and associates indented.

FAQs - Add a group

Q: We have a group of companies. Can we register a group?

Yes - please first add/create all your companies that comprise your group, on your Company Index. Then use the "Create Group" function to designate the various companies as a parent, subsidiary or associate.

Q: Do all the group companies need to be on the same Diligentsia subscription/plan?

No - you can select the most appropriate plan for each company. For example, you could select Diligentsia Pro for the parent if it is the main trading company, and Lite for the subsidiaries if they are less active corporately.

Q: Where do I create a group of companies?

You can create your group either from the Company Index or Company Settings modules.

Q: Can we change a company name once we have added it to the platform?

Presently, you can not change a company's name once you have added it to the platform. You will have to set up a new company. However, if we can help you we will - please contact support@diligentsia.co.uk.

Q: Can we create sub-subsidiaries?

At present, creating sub-subsidiaries is not possible on the Diligentsia platform, but we suggest that you contact our support@diligentsia.co.uk to see whether we can assist.

Q: What is a parent?

If your company part of a group of companies, on the Diligentsia platform you can designate the top so as the “parent” and others as subsidiary (where parent owns 50% or more) or associated (where parent owns 20% to 49.9%).

Q: How do I create a group on the Diligentsia platform?

To create a group on the Diligentsia platform, go to Company Index > Create Company.

Q: Can I create a group of companies on the Diligentsia platform?

Yes - To create a group of companies on the Diligentsia Platform, please go to the Company Index > Create Company.

Q: Can a group have more than one parent company?

No - A group cannot have more than one parent company on the Diligentsia platform.

Q: What is a subsidiary?

A subsidiary company is one where its parent company owns 50% or more of its shares. You can create a group of companies via the Company Index.

Q: Does the platform cater for sub-subsidiaries?

No - at the moment, the Diligentsia Platform does not cater for sub-subsidiaries. However, please contact support@diligentsia.co.uk for more information.

Q: What is an associated company?

An associated company is a company where a parent owns between 20% and 49% of a second company.

Q: Can I designate a company where we do not own more than 49% of the shares within the platform?

Yes - you can designate it an associated company by using Company Index>Create Group, or Company Settings>Group.

Q: Once I have designated a company an associated company or a subsidiary company can I later change it?

Yes - you can change it by using Company Index>Create Group, or Company Settings>Group.

Q: Can one company belong to multiple groups?

No, a company can only belong to one group at a time.

Q: Can I assign custom roles within a group?

The platform currently doesn’t support custom roles within group settings.

Q: Can I integrate external systems to sync with my groups?

No, you can't integrate external systems to sync with your groups.

Q: Is there a limit on how many companies can be in a group?

There’s no limit to the number of companies that can be added.

Q: Do I need specific permissions to create or manage a group?

Yes, only users with admin or specific management roles can create or modify groups.

Q: Can i create a group with only one company in my index?

No, you can't create a group with only one company. You need to have at least 2 companies in your index for you to create a group.

Troubleshooting

Q: Why can’t I create a group?

Ensure you have added at least two companies to your Company Index before attempting to create a group.

Q: How do I add companies to my Company Index before creating a group?

Use the “Add Company” option in your Company Index to add all relevant companies before creating the group.

Q: Can I change the parent company after creating a group?

No, you must recreate the group if the parent company designation needs to change.

Q: Why is the “Create Group” button greyed out?

You may not have the necessary admin permissions or haven’t added enough companies to your index.

Q: What happens if I mistakenly assign a company as a subsidiary instead of an associate?

You can update the designation using the Company Index > Group Settings or Company Settings > Group Info.

Q: Can I remove a company from a group?

Yes, go to Company Index > Group Settings and edit the group to remove the company.

Q: Why can’t I designate sub-subsidiaries in my group?

Sub-subsidiaries are not currently supported, but contact support@diligentsia.co.uk for potential assistance.

Q: How do I handle changes in ownership percentages for associated companies?

Update the ownership percentage in Group Info within the Company Settings module.

Q: Can I create a group with companies on different subscription plans?

Yes, companies within a group can have different subscription plans.

Q: What happens if I delete a company that’s part of a group?

The group structure will update to reflect the removal of the company, but you may need to manually review the group’s hierarchy.

Q: Can I assign one company to multiple groups?

No, a company can only belong to one group at a time.

Q: Why does my group structure not display correctly on the dashboard?

Refresh the dashboard or verify that all companies are correctly assigned in the Group Info section.

Q: How do I view the group structure after creating it?

View the group structure in the updated Company Index, where subsidiaries and associates are listed under the parent company.

Q: Can I edit group details after creation?

Yes, use the Group Info section in Company Settings or the Create Group function in the Company Index to make edits.

Q: What should I do if I need to create a sub-subsidiary?

Sub-subsidiaries are not currently supported. Contact support for further assistance.

Q: Can I include international companies in a group?

Currently, only UK Companies House registered entities can be added to a group.

Q: Is there a limit to the number of companies in a group?

No, there is no limit to the number of companies you can include in a group.

Q: What happens if I misclassify an associated company as a subsidiary?

You can update the classification in Group Info.

Q: Can I track changes to the group structure?

Yes, changes are logged in the Audit Log for transparency.
