Examply compiles everyone's tracked time into a weekly timesheet automatically. This article covers how timesheets are put together, how to submit one for approval, and what approvers see on their side.
Note: Timesheets are available on the Pro and Enterprise plans, wherever time tracking is enabled.
How a timesheet is built
Every Monday, Examply starts a new timesheet for each teammate using their tracked and manually entered time from the previous week, grouped by project and task. Nothing needs to be created by hand — the timesheet fills in as time is logged.
Submitting a timesheet
Open Time > My timesheets, review the week's entries, and click Submit for approval. You can add a note for your approver, such as "Extra hours this week for the Website relaunch launch."
Go to Time > My timesheets.
Check that hours are logged against the right tasks and projects.
Fix any missing or misattributed entries — once submitted, entries lock.
Click Submit for approval.
Your project's Admin or Owner receives a notification and can approve, request changes, or reject the timesheet.
Reminders
Examply sends a reminder if a teammate hasn't submitted a timesheet by end of day Friday, and again on Monday morning if it's still outstanding. Admins can turn reminders off for the whole workspace under Workspace settings > Time tracking, though most teams leave them on to keep approvals from piling up.
Approving timesheets
Admins and Owners see submitted timesheets under Time > Approvals. Approving a timesheet locks every entry in it — teammates can no longer edit those hours without an approver reopening the week.
Status | Meaning | Who can change it |
Draft | Still being filled in; not yet submitted | The teammate it belongs to |
Submitted | Waiting on an approver | Admins and Owners |
Changes requested | Sent back with a comment | The teammate it belongs to |
Approved | Locked and included in reports | Admins and Owners (to reopen) |
Troubleshooting
If a teammate like Priya needs to fix an hour logged against the wrong task after her timesheet is approved, an Admin can reopen that week from Time > Approvals. Reopening reverts the timesheet to draft so she can correct it and resubmit.
If a timesheet looks incomplete, check whether a task was moved between projects mid-week — moved tasks keep their logged time, but it's worth double-checking the grouping before approving.
Deleted tasks don't take their time entries with them: if "Fix checkout redirect" is deleted after Priya logs hours against it, those hours stay on her timesheet, just labeled with the task's last known name.
