Billable rates let Examply calculate the dollar value of tracked time, per teammate or per project. This is useful for client-services teams that bill by the hour.
Note: Billable rates require the Pro or Enterprise plan and are set by Admins and Owners.
Setting a rate per teammate
Open Workspace settings > Billable rates and set a default hourly rate for each teammate, for example $85/hour for Priya. This rate applies to all of a teammate's billable time unless a project overrides it.
Setting a rate per project
Open a project's settings and set a project-level rate, such as $120/hour for "Client onboarding." Project rates take priority over a teammate's default rate whenever both apply, so you can bill the same person differently across clients.
Open the project, for example "Client onboarding."
Go to Project settings > Billing.
Turn on Billable and enter an hourly rate.
Optionally override the rate for individual teammates on that project.
How rates apply
Rate source | Applies when |
Project-level teammate override | Set for a specific teammate on a specific project |
Project default rate | Project is billable but no per-teammate override is set |
Teammate default rate | Project isn't billable, but the teammate has a workspace default |
No rate | Time is tracked but excluded from billable totals |
Time reports show billable value alongside hours whenever a rate applies, and you can filter reports to billable time only.
Currency and rounding
Rates are set in your workspace's default currency, chosen once under Workspace settings > Billable rates. Examply doesn't support mixed currencies across projects in the same workspace — if you bill clients in different currencies, track each currency's work in a separate workspace.
Billable value is calculated to the minute and rounded to two decimal places in reports and exports. There's no minimum billing increment; a 6-minute entry at $120/hour reports as $12.00, not rounded up to a quarter hour.
Editing or removing a rate
Update a rate any time from the same Billable rates or Project settings > Billing screens where you set it. To stop billing a project altogether, turn off Billable in its settings — existing billable entries keep their recorded value, but new time logged afterward won't have one.
Tips
Guests never accrue billable rates — they can't track time.
Changing a rate only affects time logged after the change; past entries keep the rate that was active when they were logged.
Export a billable-only report before invoicing a client so totals match what you bill for.
