Visitor Management: Getting Set Up

Manage guest arrivals and keep your space secure by enabling visitor check-in.

✨ What is Visitor Management?

Gable’s Visitor Management feature allows you to track and manage guests who arrive at your Company Office (HQ)—ensuring a smooth experience for everyone. When enabled, guests will be prompted to check in upon arrival.


✅ Requirements to Set Up Visitor Management

Before enabling this feature, there are a couple of important steps:

  1. Contact your Customer Success Manager
    This add-on feature must be manually enabled by your CSM before you can access it.

    1. If you are unsure if you have Visitor Management - contact support@gable.to for clarification.

  2. Have a Company Office set up in Gable

    • You must have a Company Office listing published in Gable.

    • Even if you don’t plan to upload a floor plan, the Company Office must be live/published.

    • This feature is part of a product add-on; without it, users won't see Company Offices.

🗂️ Visitor Management Overview

When you navigate to Company Admin > Settings > Visitor Management, you’ll see three key tabs:

  • Forms: Create and customize check-in experiences

  • Settings: Visitor sign-out and notifications

  • Documents: Upload NDAs or legal forms to include in your check-in forms


📄 Upload Required Documents (Optional)

If your check-in forms needs to include legal documents (like NDAs):

  1. Go to the Documents tab

  2. Upload the necessary file(s)

  3. Continue to step 2 to create forms and add in these documents

📌 You must upload documents before attaching them to a form.


⚙️ Manage your Settings

✉️ Email all Visitor Signed Documents

To receive signed documents by email:

  1. Go to the Settings tab under Visitor Management

  2. Locate the toggle labeled “Email all visitor signed documents”

  3. Turn the toggle ON

  4. Enter the email address where signed PDFs should be sent

All completed and signed visitor documents will be automatically delivered to the provided email address.

🚪 Visitor Sign-out Notifications

You can enable automatic visitor sign-out alerts by toggling Visitor Sign-out in the Settings tab.

  • When enabled, employees will be notified when their visitor checks out.

  • Notifications can be sent via:

    • ✅ Email

    • ✅ Mobile Push

This is a helpful way to keep employees informed and improve post-visit security.


📝 Create a Visitor Form

  1. Go to Company Admin > Settings > Visitor Management > Forms

  2. Click the purple ➕ to add a new visit form

  3. Select the Company Office this form applies to (or choose “All” to apply it globally)

  4. Choose whether to customize by Visit Type, or select “All”

  5. Select which fields you want to be displayed and which are required

  6. If needed, attach documents (uploaded in the Documents tab—see above)

  7. Customize how the printed badge will display

✅ Your form is now active! You can edit or delete it at any time.

Tip: Visitors can complete the check-in form upon arrival if they haven’t pre-registered.


📱 Connecting an iPad or Tablet

  1. Download the Gable Visitor Management app on your iPad, or use the link here.

  2. In Visitor management, click Offices to see connected Company Offices.

  3. Click the QR Code icon next to the Company Office you want to sync.

  4. Scan the QR code using your tablet or iPad camera.

  5. The Gable Visitor Management app will open and connect automatically.

📝 Yes, you can sync more than one iPad!
Just repeat the QR scanning process using a new and unique QR code for each device.


🧠 iPad Compatibility Notes

  • We recommend using an iPad with iPadOS 18 for best performance.

  • iPadOS 17 may work, but 5th Generation iPads can't upgrade beyond 16.

  • Newer iPads are strongly recommended.


🔄 Unsyncing or Reconnecting a Company Office

If you need to re-sync or switch Company Offices on a tablet:

  1. Go to Company Admin > Settings > Visitor Management > Offices.

  2. Generate a new QR code.

  3. Use the iPad camera to scan the new code and reconnect the VM app.

💡 This is helpful if syncing failed or if you need to switch Company Offices.


👥 Assigning Receptionists to Company Office

  1. Go to Company Admin > Company Users

  2. Find the User and assign them the role of receptionist

  3. Go to Company Admin > Settings > Visitor Management > Offices.

  4. Click the Receptionist logo

  5. Search the user by name or email > select them from the drop-down

  6. Click Assign
