In short
You describe the campaign: the message, the offer, who to send it to and when. The assistant prepares everything in WAX, as a draft. You check it, test it, then schedule or send it yourself. The assistant never sends a campaign for you.
Time needed: about ten minutes, plus the time it takes Meta to approve your templates.
Before you start: WAX must be connected to your assistant. If it isn't yet, follow Connect WAX to Claude or ChatGPT (MCP).
Key terms
Campaign: a one-off send, on a date you choose, to an audience you choose (for example for Black Friday). Unlike an automation, it goes out only once.
Contact list: a group of contacts saved in WAX.
Segment: a list that fills itself based on criteria ("customers who have already ordered", "contacts with the VIP tag"). It updates as your contacts change.
Template: a WhatsApp message model approved by Meta, required for a WhatsApp campaign.
Step by step
Step 1: choose your audience
Start by asking: "What are my contact lists?" The assistant gives you each list's name and number of contacts. It doesn't see your contacts' details.
No list fits? Ask it to create a segment:
"Create a segment of customers who have already placed an order."
"Create a segment of contacts with the VIP tag or the Loyal tag."
The number of contacts in a new segment is computed in the background. It shows 0 at first: ask again a few minutes later.
By default, segments leave out contacts who opted out of WhatsApp, just like the WAX segment editor.
Step 2: describe the campaign
Give the assistant 6 pieces of information: the brand, the channel, the message, the offer, the audience and the preferred send date. Compare:
Too vague | Precise |
"Make a Black Friday campaign." | "For brand X, prepare a Black Friday WhatsApp campaign: 20% off the whole store with the code BF20 and a button to the store. Audience: the segment of customers who have already ordered. Send it on Friday, November 27 at 10 am." |
The assistant creates the campaign in WAX, as a draft, with its audience and planned date (in your organization's time zone). Ask for changes if needed: "make the tone warmer", "move the send to 6 pm".
Each campaign needs a unique name within your organization, and the send date can't be in the past.
Step 3: get your templates approved by Meta
When you're happy with the message, ask: "Submit the templates to Meta." The assistant never does it without your consent, because a submission can't be undone. To follow the review, ask "Where are my templates at?" or check in WAX.
⚠️ Template rejected? It can no longer be edited. Ask the assistant to rewrite it: it creates a new one under another name, which you can submit again.
Plan ahead a few days before a key date like Black Friday: Meta's approval isn't instant.
Step 4: test it on your phone
Once the templates are approved, ask: "Send me a test of this campaign." The test goes to the phone number saved in your WAX account. You receive the message exactly as your customers will.
⚠️ Test messages are really sent and billed like any other.
Step 5: schedule or send from WAX
Open the campaign in WAX, review it one last time, then schedule or send it. This is the only step the assistant can't do.
Checklist before sending
The audience is the right one, and its number of contacts makes sense.
The message is proofread: spelling, tone, links, valid discount code.
The send date and time are right.
The templates are approved by Meta.
You received the test and everything displays correctly.
Edit a campaign
Draft: just ask ("change the audience", "move the send to 6 pm").
Already scheduled: revert it to draft in WAX, then ask for the change.
Already sent: it can no longer be edited. Duplicate it in WAX to make a new one.
Something's not working?
"My segment shows 0 contacts." The count may still be running: ask again in a few minutes. If it stays empty, the criteria are probably too strict: ask the assistant to loosen them.
"The assistant can't edit my campaign." It's probably scheduled or already sent: see above.
"The test is refused." Check that the templates are approved by Meta and that no message is empty. The assistant tells you what's blocking.
"The send date is refused." It may be in the past: choose a future date.
