Placing an order is the final step to send rewards through Giftbit. With sending rewards through the app you have two options to pick between, sending by email or purchasing Giftbit links.
Sending by email allows the Giftbit system to handle the delivery process, all you need to provide is an email for the recipient. Great for bulk sending when combined with uploading contacts or quick one off rewards.
Giftbit links meanwhile allow you to have control over the delivery process. The links are emailed to you in a CSV file once the order is completed. From there, you decide how to distribute them. Links are also great if you want to generate a batch of rewards with no claim by date (standard rewards) that you can then keep on hand and send as needed.
For further details, check each of the sections below:
Send rewards by email
Email delivery is the most common way to send rewards. Giftbit sends the reward email directly to the recipients you select.
Step 1: Start a new order
Go to Orders in the left menu and click New Order in the top right.
Select Choose template or Start from scratch.
To edit a selected template, click the three "..." and click edit template.
Tip: If you start from scratch, follow the steps in creating a template.
If you use an existing template, you can edit template details by clicking the three dots beside the template.
Step 2: Select recipients
Choose Email to contacts.
Add contacts manually or select from your existing contacts list.
Check the boxes beside the contacts you want to send rewards to.
You can send rewards to one recipient or hundreds at once.
Tip: If you uploaded contacts with tags, you can filter contacts using those tags when selecting you recipients to send to a specific group of contacts.
When an order is ready to be sent, you should see two green checks down the left side like below:
Step 3: Schedule delivery (optional)
You can choose to send rewards immediately or schedule them.
Select Deliver later.
Choose the date, time, and timezone.
Orders without a schedule are sent immediately after the order is completed.
With your template selected and recipients confirmed, the next step is to complete your order.
Order Giftbit Links
Giftbit links allow you to send rewards yourself through another system, such as a branded email or messaging platform.
Step 1: Start the order
Go to Orders in the left menu and click New Order in the top right.
Select Choose template or Start from scratch.
To edit a selected template, click the three "..." and click edit template.
Important: If you do not want links to have a claim-by date, make sure your template has the Promotional rewards option unchecked. Great if you want to keep links available that do not expire.
Step 2: Generate Giftbit links
Select Order Giftbit Links.
Enter the number of links you need.
Each link will be tied to one reward. If a Giftbit link order is good to go, you will see two green checkmarks down the left side like below:
After the order is complete, the links are emailed to you in a CSV file. Once they arrive, you can then send the links out to recipients.
💡When making use of Giftbit links, best practice is to track who received each link, or at least mark if a link was sent to a recipient. Giftbit can only track if a link is claimed or unclaimed since delivery takes place outside of our app.
Complete your order
After selecting your delivery method, you will move to payment.
If your account already has funds:
Review the order details.
Click Submit order.
Giftbit will send the rewards immediately or at the scheduled time.
If this is your first order:
You will need to fund your account before sending rewards.
Click Payment.
Enter your card details, or choose Pay Later.
Pay Later is best if you are planning to fund your account by wire.
Orders being funded by wire will sit in "Pending" status until funds arrive and are applied.
If funding by credit card, click Add card once you have added your card details.
Review the order summary.
Click Place order.
Once funds are applied to your account whether by credit card or by wire at a later time, the order will be created and sent.
💡For first time global reward orders, you will be asked to set a default currency if you have not set it up previously. More information on that can be found here.
Not enough credits or partial funds
If your balance does not cover the full order amount:
Click Payment.
Review the order summary.
Add funds using card or click Pay Later.
Pay Later is best if you are planning to fund your account by wire.
Orders being funded by wire will sit in "Pending" status until funds arrive and are applied.
Click Place order.
Once credits are available to cover the order, the rewards will make their way to your recipients or the Giftbit links will be emailed to the email associated with your Giftbit account.
💡If an order required funding to complete and a credit card was used, a receipt will be emailed to you once the order is completed.
View your orders and order status
As you send orders in Giftbit, the order page will list these orders from newest to oldest. You also have a drafts tab that will show any orders that were started but not completed. Order statuses will also be listed on this page.
Orders in Giftbit can appear in five different statuses:
Processing: Only appears immediately after completing an order. If you see an order stuck in this status, reach out to support@giftbit.com.
Pending: Rewards are being created or your account does not have enough credits to cover the order.
Scheduled: Order is funded and will be sent out once it reaches the time the order was scheduled for.
Active: Rewards have been sent and there is currently at least one reward available to be claimed in the order.
Complete: The order has been fully reconciled. Either all rewards have been claimed or if a promotional reward order, the claim period has expired.
Clicking into an order will also provide you further details and data regarding the rewards that were sent.
You can see data on how many rewards have been opened and claimed, which brand is most popular and how long it takes on average for recipients to claim their reward.
You can also resend rewards or update undeliverable rewards from inside of an order, but we recommend using Reward History to stay on top of rewards across all orders.
