How to add an extra to a participant

Section: Main Menu > Bookings > Occupancy

Definition

In V3 you can make a booking that contains participants. For example, on a tennis court where a court is reserved, you can add the 4 participants.

Well, it is interesting to be able to add an extra to any of the participants. For example, a racket, some balls, etc. This way you can quickly add these extras to your players.

How to add an extra to a participant

  • The first thing you have to do is download the Extras module for participants from the App Market

  • Select the Booking with participants. The details of that booking will open.

  • In the last section of this page, where the participants are, you will see an Extra column next to each participant. Simply select the desired participant's extra cell

  • A drop-down menu will open. Choose the Extra you want to add to the participant. At this point, the new booking will have been associated and a sale will have been created if this type of booking contains a product.

How to add or modify observations to a booking

Section: Main Menu > Bookings > Occupancy

  • Select the Booking you want to add comments to. A screen will open with the booking details.

  • In the main section we will see the observations field. Select Edit.

  • Add or modify Observations.

  • Select Save. A comment icon will have been added to the booking to let you know that the booking has comments.

How to add a tag to a booking

Section: Main Menu > Bookings > Occupancy

Definition of tag

A tag is a comment, usually short in number, that is visible on the booking occupancy plan. It is a useful field to add a buggy number, an acronym that the team recognizes, etc.

How to add a tag to a booking

  • Select the Booking you want to add the tag to. A screen will open with the booking details.

  • In the main section we will see the tag field. Select Edit.

  • Add or modify text in the tag field.

  • Select Save. That text will have been added to the booking.

How to block/mark departure times

Section: Main Menu > Bookings > Blockages

In V3 you can block the occupation covering different needs:

  • Maintenance blocks or tournaments for example, where you don't want anyone to play during that interval

  • Partner blocks for example, where you only allow certain customers to play during that interval

  • Blocks for an agency for example, where you want to block exclusively for them, and for 24 hours, a certain interval in occupancy

To create a block, you can do so from the occupancy or from the block list. To access the block list, go to Main Menu > Bookings > Blocks:

  • Select New

  • Fill in the Name for this block. E.g. Maintenance, Partners, Leadingcourses.

  • Choose the Area you want to block. E.g. Golf, Tennis, etc.

  • Choose the start and end dates for your block

NOTE: If the date range is more than one day, you can save a single block for the entire date range, or create a block for each day. This option is useful if you are going to use the Expiration feature or if you are going to be deleting and editing specific days within that range.

  • Choose the Start and End times for your block.

  • Choose the Days of the week for your block.

  • Resource Type. Select the resource type if you want to block the entire resource type. For example, select the resource type "Golf" to block Tee 1 and Tee 10 at the same time.

  • Resource. Choose the resource you want to lock.

  • Color. You can optionally add a color to the lock.

  • Slots. Enter the number of slots you want to block per hour. If the block is longer than one hour, you must enter the number of slots blocked per hour.

  • Remarks. You can optionally add a remark to the block.

  • You will now be able to create exceptions so that bookings can be made on this block. Select the Customer Tags that you allow to book on top of this block. If you leave it empty, no one will be able to book on top of this block.

NOTE: In administration, bookings are always allowed to be made on top of the blockages, so these exceptions are for the customer in the online booking area.

  • Select the expiration of this lock. E.g. 24 hours would mean that one day before the lock starts, the lock will expire and all available slots will be available to all customers. If you leave it empty the lock will never expire.

  • Check Allow Junctions if you want junctions to be able to spawn over a block.

  • Customize the Background and Text Color for your lock.

  • Select Save if you want to generate a single block or Save by days if you want to generate an independent block for each day (in case you have chosen a start and end date range greater than one day).

The block will have been generated and you will see it in the occupation.

Why can't I pay with a voucher?

Try looking at the voucher limitations in its settings

Section: Main Menu > Billing > Settings > Voucher Types

There are vouchers that can be used on certain dates, times and/or days of the week. To do so, check the following steps:

  • Find the desired type of voucher

  • Select in your Reference

  • Verify that there is no validation in the dates, hours or days of the week part

  • Edit and Save if necessary

Try looking at the voucher limitations in that customer's file.

Section: Main Menu > CRM

  • Access your client's file

  • Select the Voucheres tab

  • Check that you have a voucher and sufficient balance. If you have it, continueโ€ฆ

How to change the cleaning status of a room

Section: Main Menu > Bookings > Occupancy

You will see that next to the room number there is a color. Red means that the room is dirty, and green means that it is clean.

Difference between the selected booking and the booking group. It is important to know that this page is divided into two sections: the selected booking and the group of its related bookings. We will use the upper part when we want to work on that individual booking and not affect the rest of the group. However, if we want to work with all the bookings in the group, we will use the lower part, such as paying or deleting them all, and thus not having to go booking by booking.

Why does the extra icon (buggy, cart,...) not appear in the occupation?

You can add the icon in the booking type and resource type, but there may be another reason why the icon does not appear in your booking cell. And that is that in the occupancy view you must have added the extra column for the icon to appear in the booking cell. So check that you have the icons correct and that you have added the extra in the view.
