Description of the Timetable

Section: Main Menu > Reservations > Occupancy

  • Choice of area . With this drop-down menu you can change your work area (paddle tennis, restaurant, etc.).

  • Date picker . With this control you can go to:

    • one day before.

    • open the calendar to select a day.

    • go to today.

    • one day later.

  • Multiple selector . This button is useful when you want to select several reservations already created previously in the occupancy. It is not used to create new reservations multiple times. Select the multiple selection icon and then select your reservations one by one or, holding the mouse down, quickly select your groups. By selecting the reservations you can add an extra, move, copy and/or cancel.

  • Date . This field shows the date that is being displayed in the occupation.

  • Buggy icon . It is a button to print the buggy posters. To make it visible, you have to have the Buggy Posters plugin installed from the App Market and have the Print Posters field activated from the Views settings .

  • Occupancy rate . Here you can see the number of reservations for the main area of the view (it does not take into account the extras) and the occupancy ratio (%) which is nothing more than the number of reservations divided by the number of available spaces.

  • View type . Here you can choose between:

    • Day view . The day's reservations for all resources are displayed.

    • Weekly view . The reservations for the entire week for the selected resource are displayed.

  • Setting . Quick access to configuration screens. You need to have the appropriate permit.

  • Resource type . The first row shows the resource types of the selected area.

  • Resources . Shows the resources within that resource type.

  • Hour . Shows the available times for that area.

  • Additional features . In this section you can add any type of extra. Examples: buggies, rental cars, clubs, etc.

  • Type of extra . Here you can see availability depending on whether the player wants to play 9 or 18 holes.

  • Availability . Here you will see the number of units available for that extra.

Reservation cell description

Section: Main Menu > Reservations > Occupancy

  • Background color . The user will be able to choose the color of each type of reservation if they wish. This way you can easily identify member reservations, correspondence, tour operations, etc.

  • Lateral line . Check the payment status of the reservation:

    • Red . The reservation is pending payment .

    • Green . The reservation is paid .

    • Orange . The reservation is on credit . A reservation in this status means that it is not paid, but it is OK because they will pay you later. Case of partners or tour operators.

  • Player . The name that appears in the first row is the player client. In the case of a normal reservation we will see the client here. But in the case of an agency booking here we will see the name of the player and below the alias of the client. The client is the person who will be asked for payment and who will be invoiced.

  • Alias icon . In the case of the photo, as it is an agency reservation, it is the alias of the client responsible for this reservation. In this case it is GB from Golf Breaks. This agency has brought us the player Rafa .

  • Comments icon . In the reservation details you can add observations for this reservation and this label will alert you to this.

  • Extras icon . Here you will see the icons of those extras hired by the client: buggies, sticks, etc. In the case of the photo this player has hired a buggy and clubs.

  • Label icon . In the reservation details you can add whatever you want in the label field. That text will be visible in this cell. It is useful to enter the buggy number or anything else interesting without having to select and enter the details. In the example in the photo we have given the player buggy 42.

Action buttons for the selected reservation

Section: Main Menu > Reservations > Occupancy

Booking pop-up buttons:

Reserve. It will take you to all the information about that reservation that you can also see from the List

Go to client profile. It will take you to all the information about that client that you can also see from CRM > Clients

Send message. To chat with the client of this reservation. The message will reach the client in the client area and APP. To have access to this button, you need to have the module "Mailings" installed.

Send confirmation. To send the reservation confirmation to the client by email

Edit group. To show the reservation pop up again and quickly edit

Fast payment. To quickly pay this reservation. The pop-up displays the total and a drop-down menu to select the payment method (it is only possible to select one payment method)

POS. To open the POS with this reservation included in the cart and its related ones

Group POS. To pay for all group reservations at the POS

Checkin. To mark this reservation as checkin. It will add an icon to the cell. This functionality can be used to mark that this reservation has arrived at the club, that it has passed through reception or that it has left the field

No show. To mark this reservation as no-show. Will add an icon to the cell

Add extra. To add an extra type of reservation to this reservation such as buggy or electric cart. Previously you have to create reservation types and activate the Es Extra option

Add to group. To add others to a group of reservations and that can appear in the same POS or in reservations related to the details. For example, a reservation of 4 players and they call you and tell you that they want to add 4 more players to the same reservation.

Move. To move the selected reservation(s) to another day/time

Copy. To copy the selected reservation(s) to another day/time

Discard. To cancel the selected reservation/s

Repeat. To copy this reservation in the future repeating every Monday at the same time until April for example

Action buttons for the selected reservation

Section: Main Menu > Reservations > Occupancy

Reservation pop-up buttons:

  • Go to the reservation. It will take you to the information of that reservation that you can also see from the List

  • Go to client. It will take you to the information of that client that you can also see from CRM > Clients

  • Send Message. To chat with the client of this reservation. The message will reach the client in the client area and APP

  • Send confirmation. To send the reservation confirmation to the client by email

  • Edit group.

  • Fast payment. To quickly pay this reservation. The pop-up displays the total and a drop-down menu to select the payment method (it is only possible to select one payment method)

  • POS. To open the POS with this reservation included in the cart and its related ones

  • Check in/Check out. With the hotel module it allows you to easily mark a reservation with checkin or checkout. Simply select the desired option when booking.

    The system will add the corresponding icon so that you can visually see which rooms have already checked in or checked out.

  • No show.

  • Add extra. To add an extra type reservation type to this reservation

  • Add to group.

  • Move.

  • Copy.

  • Cancel. To cancel this reservation

  • Repeat.

How to make an individual reservation

Golf Mode

  • Select the desired day .

  • Select the desired time in the Cell .

  • Select the Client and the desired Reservation Type (rate)

NOTE. The rates shown are filtered according to the selected client.

  • You can choose the following options:

    • Reserve , to finish the process.

    • Book and edit , to create reservations and enter the reservation details where you can do many more things.

How to make a reservation for 2 to 4 players

Golf Mode - Option 1

Section: Main Menu > Reservations > Occupancy

  • Select the desired day .

  • In the selected time row, select on:

    • the 2nd cell for a reserve of 2 players.

    • the 3rd cell for a reserve of 3 players.

    • the 4th cell for a reserve of 4 players.

  • Select the Client and the desired Reservation Type (rate)

  • Select the Copy icon to copy this information to the rest of the players, or proceed to identify each client with their reservation type or rate.

  • You can choose the following options:

    • Reserve , to finish the process.

How to make a reservation for more than 4 players

Golf Mode - Option 1

  • Select the desired day .

  • In the row for the selected time, select and hold down the mouse while moving it diagonally . The system will select all those cells

NOTE . The program will show you on a marker the number of reservations you are going to make.

  • Select the Client and the desired Reservation Type (rate)

  • Select the Copy icon to copy this information to the rest of the players, or proceed to identify each customer with their reservation type or rate.

  • You can choose the following options:

    • Reserve , to finish the process.

    • Book and edit , to create reservations and enter the reservation details where you can do many more things.

    • POS, to create reservations and enter the POS to pay for them.

    • Cancel , to cancel the reservation process you have started .

Golf Mode - Option 2

How to make an agency or tour operator reservation

Section: Main Menu > Reservations > Occupancy

NOTE . You must have the Agencies module and activate the Is an Agency option in the reservation type .

  • Select the number of players following the steps in the previous points. The golf reservation pop-up will open

  • In the Client field we will select the agency. Ex. Golf Breaks. Remember that the client is the owner of the reservation, who will be billed, and who has to pay

  • Choose the type of reservation , remember that you must have the Agency option in your configuration.

  • Select Reserve and edit . The reservation details will open

  • Select Edit

  • In the Reservation Beneficiary section , fill out the player's information . Therefore, the client is the one who pays (tour operator) and the beneficiary is the player who will enjoy the reservation.

  • Select Save

How to make a group reservation

Section: Main Menu > Reservations > Multiple reservations

We understand group reservations as those that are repeated several days with the same players. It is a useful tool for academy reserves, or reserves of players who are going to come all season on the same days.

Pay for an individual reservation

Section: Main Menu > Reservations > Occupancy

  • Select in the Reservation what you want to pay. A screen will open with the reservation details. On this screen we will see two sections:

    • At the top, the action buttons and the details of the selected reservation.

    • At the bottom, the list of reservations related to the selected reservation (group reservations).

  • As we want to pay only the selected reservation, we will look at the top. We can continue in two ways:

    • Quick payment , where a pop-up will appear to quickly select the payment method.

    • POS , where we can add more items and make split payment .

Pay for several reservations at the same time

Section: Main Menu > Reservations > Occupancy

  • Select one of the Reservations that you want to pay. A screen will open with the details of the selected reservation. On this screen we will see two sections:

    • At the top, the action buttons and the details of the selected reservation.

    • At the bottom, the list of reservations related to the selected reservation (group reservations).

  • Since we want to pay for more than one reservation, we will look at the bottom. Select the Reservations you want to pay.

  • We can continue in two ways:

    • Quick payment , where a pop-up will appear to quickly select the payment method.

    • POS , where we can add more items and make split payment.

Move the reservation(s) with the multiple selector

Section: Main Menu > Reservations > Occupancy

This method is the fastest of all when you are going to move more than one reservation.

  • Select on the Multi Selector icon . The system waits for you to select several reservations.

  • You can continue in two different ways:

    • You can select in each Reservation .

    • You can select and, holding the mouse down, move the courses diagonally and all the Reservations that intersect with that movement will be selected.

  • Select Move . You will see a window at the bottom right that will show you that you are in editing mode .

  • Select the Date and time that you want to move the reservations.

NOTE. Extras related to these main reservations will be moved automatically.
​NOTE . This feature does not work when you move an extra directly. If you want to move this extra use the move by dragging option in the next point.

Move a reservation by dragging

Section: Main Menu > Reservations > Occupancy

This method is the fastest if you are moving a single reservation.

  • Simply select the reservation that you want to change and, without stopping pressing the mouse, move the reservation to the desired day and time. You will have a shadow that indicates where you are going to move it if you stop pressing the mouse

  • Stop pressing the mouse and the reservation will be released in that cell

NOTE. This method helps you go one at a time. If you want to drag them all at once, you may be more interested in using the method Move the reservation(s) with the multiple selector .
​NOTE . You can only drag on the screen you are viewing. That is, you will not be able to change the day or scroll to a later time that you do not see on the screen. If you need to drag to another day you may be more interested in using the week view or one of the other copy methods.

Move from detail page

Section: Main Menu > Reservations > Occupancy

  • Select the Reservation that you want to move. IF it belongs to a group of reservations, you can select from any of the reservations. You will enter the details screen for that reservation

  • At the bottom you will see all the reservations for that group. Select the reservation(s) you want to move

  • Select Move . The occupancy will open so you can navigate to the day and time you want to move the reservation

  • Select in the cell where your reservations will be moved. You will see how the selected reservations have been moved

NOTE. Extras that are associated with one of these reservations will be moved automatically.

How to copy a reservation

Section: Main Menu > Reservations > Occupancy

  • Select on the Multi Selector icon . The system waits for you to select several reservations.

  • You can continue in two different ways:

    • You can select in each Reservation .

    • You can select and, holding the mouse down, move the courses diagonally and all the Reservations that intersect with that movement will be selected.

  • Select Copy . You will see a window at the bottom right that will show you that you are in copy mode .

  • Select the date and time you want to move the reservations.

NOTE . When you copy reservations that contain extras, even if you have only selected the reservations and not the extras, both will be copied.

How to add a reservation to a group

Section: Main Menu > Reservations > Occupancy

  • Select in the Reserve the one you want to add more to. You will enter the details of the reservation.

  • At the bottom, where the group reserves, select Add to group . The reservation occupancy map will open.

  • Select the day, time, and number of players. The reservation popup will open.

  • Select the Client (s) .

  • Select the Rates .

  • Select Accept .

These reservations will have been added to the group. You can check this by selecting any reservation in the group to access the reservation details.

Delete an individual reservation

Section: Main Menu > Reservations > Occupancy

  • Select the Reservation you want to delete. A screen will open with the reservation details. On this screen we will see two sections:

    • At the top, the action buttons and the details of the selected reservation.

    • At the bottom, the list of reservations related to the selected reservation (group reservations).

  • As we want to delete only the selected reservation, we will look at the top. Select Cancel .

Delete multiple reservations at once

Section: Main Menu > Reservations > Occupancy

  • Select one of the Reservations that you want to pay. A screen will open with the details of the selected reservation. On this screen we will see two sections:

    • At the top, the action buttons and the details of the selected reservation.

    • At the bottom, the list of reservations related to the selected reservation (group reservations).

  • Since we want to delete more than one reservation, we will look at the bottom. Select the Reservations you want to delete or the first check to select all.

  • Select Cancel .

Multiple reservation selection

Section: Main Menu > Reservations > Occupancy

Once we know how to make multiple reservations for many players, it will be very useful for you to know how to select all or part of them to copy, move, delete, etc. To do it in the most intuitive way possible, we have imitated how it is done in Excel with the Shift key , although there are other ways that we explain below.

Using the Shift key mode 1

  • Shift key on your keyboard (caps key) and hold down.

  • Select with the mouse and move it diagonally over the reservations you want to select. You will see that the cells remain in selected mode.

  • When you release the mouse button, you can release Shift if you want, you will see that a menu appears above the reservations so you can continue according to your needs (copy, move, etc.) .

Using the Shift key mode 2

A variant of the previous mode, a little slower but perfect for certain occasions.

  • Press the Shift key on your keyboard (caps key) and hold down

  • Select with the mouse each reservation with which you want to operate without releasing Shift

  • With each new click you will see a menu showing the selected reservations so you can continue according to your needs (copy, move, etc.)

Using the Multiple Select button

A variant of the previous mode, a little slower but perfect for certain occasions.

Add an extra to an individual reservation

Section: Main Menu > Reservations > Occupancy

  • Select in the Reservation to which you want to add a buggy or any extra. A screen will open with the reservation details. On this screen we will see two sections:

    • At the top, the action buttons and the details of the selected reservation.

    • At the bottom, the list of reservations related to the selected reservation (group reservations).

  • As we want to add the extra only to the selected reservation, we will look at the top. Select Extra

  • Choose the Type of reservation you want.

  • Select Accept . You will see that the reservation has been added in the section below .

Add an extra to multiple reservations

Section: Main Menu > Reservations > Occupancy

  • Select one of the Reservations to which you want to add a buggy or any extra. A screen will open with the reservation details. On this screen we will see two sections:

    • At the top, the action buttons and the details of the selected reservation.

    • At the bottom, the list of reservations related to the selected reservation (group reservations).

  • As we want to add the extra to more than one reservation, we will look at the bottom. Select the Reservations to which you want to add the extra.

  • Select Extra .

  • Choose the Type of reservation you want.

  • Select Accept . You will see that the reservation has been added in the section below.

How to add an extra to a participant

Section: Main Menu > Reservations > Occupancy

Definition

In V3 you can make a reservation that contains participants. For example, on a tennis court where one court is reserved, you can add the 4 participants.

Well, it is interesting to be able to add an extra to any of the participants. For example, a racket, some balls, etc. This way you can easily add these extras to your players.

How to add a tag to a reservation

  • The first thing you have to do is download the Extras in participants module from the App Market

  • Select in the Reservation with participants. The details of that reservation will open

  • In the last section of this page, where the participants are, you will see an Extra column next to each participant. Simply select the extra cell of the desired participant

  • A drop-down menu will open. Choose the Extra you want to add to the participant. At this point the new reservation will have been associated and a sale will have been created if this type of reservation contains a product

How to add or modify observations to a reservation

Section: Main Menu > Reservations > Occupancy

  • Select the Reservation to which you want to add observations. A screen will open with the reservation details.

  • In the main section we will see the observations field. Select Edit .

  • Add or modify Observations .

  • Select Save . A comment icon will have been added to the reservation so that you know that this reservation has comments.

How to add a tag to a reservation

Section: Main Menu > Reservations > Occupancy

Definition of label

A tag is a comment, usually short of characters, that is visible on the reservation occupancy map. It is a useful field to add a buggy number, an acronym that the equipment recognizes, etc.

How to add a tag to a reservation

  • Select in the Reservation to which you want to add the label. A screen will open with the reservation details.

  • In the main section we will see the tag field. Select Edit .

  • Add or modify the text in the tag field .

  • Select Save . This text will have been added to the reservation.

How to block/mark departure times

Section: Main Menu > Reservations > Blocks

Definition of block/mark hours

In V3 you can block the occupancy covering different needs:

  • Blocks due to maintenance or tournaments for example, where you don't want anyone to play during that interval

  • Member locks for example, where you only allow certain customers to play during that interval

  • Blocks for an agency for example, where you want to block exclusively for them, and for 24 hours, a certain interval in occupancy

How to block/mark departure times

Section: Main Menu > Reservations > Blocks

  • Select New

  • Fill in the Name for this lock. Eg. Maintenance, partners, Leadingcourses.

  • Choose the Area you want to block. Ex. Golf, tennis, etc.

  • Choose the Start and End Dates for your block

NOTE . If it is a range of more than one day, you can save a single block for that entire date range, or create a block for each day. This option is useful if you are going to use the Expiration functionality or if you are going to be deleting and editing specific days within that range.

  • Choose the Start and End Times for your block.

  • Choose the Days of the week for your block.

  • Now you can create exceptions so that this block can be reserved. Select the Customer Tags that you allow to book on top of this block. If you leave it empty, no one will be able to book over this block.

NOTE . In administration, reservations are always allowed over blockages, so these exceptions are for the customer in the online reservation area.

  • Select the expiration of this block. E.g. 24 hours would mean that one day before the start of the block, it will expire and all available slots will be available to all customers. If you leave it empty the lock will never expire.

  • Activate Allow crossings if you want that crossings can be generated on top of a blockage.

  • Customize the Background and Text Color for your lock.

  • Select Save if you want to generate a single block or Save by days if you want to generate an independent block for each day (in case you have chosen a range of start and end dates greater than one day).

The blockage will have been generated and you will see it in the occupation.

How to modify the cleaning status of a room

Section: Main Menu > Reservations > Occupancy

You will see that next to the room number there is a color. Red means that the room is dirty, and green means that it is clean.

By simply selecting the room number , the status and color will change from dirty to clean and vice versa. This click can be done by the cleaning staff from their tablet or mobile phone, and the reception will know in real time if that room can be assigned to a new client.

Reservation detail view

Difference between the selected reservation and the reservation group. It is important to know that this page is divided into two sections: the selected reservation and the group of its related reservations. We will use the upper part when we want to work on that individual reservation and not affect the rest of the group. However, if we want to work with all the group's reservations, we will use the lower part, such as paying them or deleting them all, and thus not having to go from reservation to reservation.

Why can't I pay with a voucher?

Try looking at the bonus limitations in its settings

Section: Main Menu > Billing > Configuration > Bonus Types

There are bonuses that can be used on certain dates, times and/or days of the week. To do this, check by following the following steps:

  • Search for the desired type of bonus

  • Select your Reference

  • Verify that there is no validation in the dates, times or days of the week part

  • Edit and Save if necessary

NOTE. The changes you make in this configuration will not affect the bonuses already created, so you will have to access the bonus of that specific client and modify it.

Try looking at the limitations of the bonus in that client's file

  • Access your client's file

  • Select the Bonuses tab

  • Verify that you have a voucher and sufficient balance. If you have it, continue…

  • Select in the Reference

How do you make a reservation for more than 1 player without having to go one by one?

Reserve for 2 to 4 players

The golf occupancy view has the special functionality to be able to book 2 to 4 players in one click. Simply choose the desired time and select in the second cell for a reservation of two players, the third for three players, and the fourth for four players. A popup will appear for you to enter the information of each player.

Reservation of more than 4 players

The golf occupancy view has the special functionality to be able to book more than 4 players quickly. Simply choose the desired time and hold down the mouse while selecting the cells you want. With this functionality you can make games of 3 or 4 players in an agile way. If you want a reservation of 7 players (4+3), make a reservation of 8 players and in the popup eliminate the player you want.

How to modify the cleaning status of a room

Section: Main Menu > Reservations > Occupancy

You will see that next to the room number there is a color. Red means that the room is dirty, and green means that it is clean.

By simply selecting on the room number, the status and color will change from dirty to clean and vice versa. This click can be done by the cleaning staff from their tablet or mobile phone, and at reception they will know in real time if that room can be assigned to a new client.

Difference between the selected reservation and the reservation group. It is important to know that this page is divided into two sections: the selected reservation and the group of its related reservations. We will use the upper part when we want to work on that individual reservation and not affect the rest of the group. However, if we want to work with all the group's reservations, we will use the lower part, such as paying them or deleting them all, and thus not having to go from reservation to reservation.

Why doesn't the icon for the extra (buggy, cart,...) appear in the occupation?

You can add the icon in the reservation type and resource type, but there may be another reason why the icon does not appear in your reservation cell. And in the occupancy view you must have the extra column added so that the icon appears in the reservation cell. So check that you have the icons right and that you have added the extra in the view.

How to add an extra to a participant

Definition

In V3 you can make a reservation that contains participants. For example, on a tennis court where one court is reserved, you can add the 4 participants.

Well, it is interesting to be able to add an extra to any of the participants. For example, a racket, some balls, etc. This way you can easily add these extras to your players.

How to add a tag to a booking

The first thing you have to do is download the Extras module in participants from the App Market

Select in the Reservation with participants. The details of that reservation will open

In the last section of this page, where the participants are, you will see an Extra column next to each participant. Simply select the extra cell of the desired participant

A drop-down menu will open. Choose the Extra you want to add to the participant. At this point the new reservation will have been associated and a sale will have been created if this type of reservation contains a product
