Tags

Tags are a helpful tool to help communicate various aspects about a customer. This can pertain to their status with your company, their recurring behaviors, certain discounts they should receive for services, etc.

What are Tags?
Tags are flexible labels you can attach to customers, services, or jobs to organize your operation the way you think about it. Think of them as colored sticky notes — searchable, filterable, and visible everywhere that record appears.

Where to Use Tags

• Customer Records — Flag accounts with traits that matter to your business: "VIP", "Slow Pay", "Gate Code Required", "Do Not Service in Rain", "Commercial Chain - Account Mgr Required".

• Service Locations — Mark site-specific conditions: "Low Clearance", "Backyard Pickup", "Locked Gate", "Dog On Property", "Narrow Alley".

• Routes & Stops — Tag stops that need special handling: "Extra Time", "Call Before Arrival", "Two-Person Lift", "Photo Required".

• Work Orders & Jobs — Categorize one-off jobs: "Bulk Pickup", "Container Swap", "Damage Claim", "Courtesy Service".

• Invoices & Billing — Surface billing exceptions: "Disputed", "Payment Plan", "Tax Exempt", "PO Required".

How to Add a Tag

1. Open the record (customer, location, service).
2. Click the Tags field near the top of the record.
3. Start typing — pick an existing tag from the dropdown
4. Select Save

How to Remove a Tag
Click the × next to the tag name. The change saves instantly.

How to Find Records by Tag

• Search bar — Type the tag name to pull every record carrying that label.
• Filters — On any list view (Customers, Routes, Invoices), open Filters → Tags and select one or more tags to narrow the view.
• Reports — Group or filter most reports by tag to see performance, revenue, or service patterns across tagged segments.

Tips for Getting the Most Out of Tags

• Keep names short and consistent. "VIP" beats "Very Important Customer - Priority Service".
• Decide on a tag library upfront so your team uses the same labels. Inconsistent tagging makes filtering useless.
• Use tags for things that change (status, conditions, flags). Use built-in fields for things that don't (address, account number).
• Review your tag list quarterly and merge or retire ones you no longer use.

Need to manage your tag library?
An admin can rename, merge, or delete tags from Settings → Tags. Deleting a tag removes it from every record it's attached to — there's no undo, so confirm before you delete.
