As of October 2026, Hauler Hero does not delete your work orders, customer accounts, invoices, or payment records after a set amount of time.

What does Hauler Hero keep, and for how long?
Work orders, customer accounts, services, invoices, and payments are all kept with no end date.
This includes completed and canceled work orders, as well as the history of deactivated customers and containers.
Photos and files (for example, stop photos and disposal ticket photos) are all kept with no end date.
Older files may be moved to long-term storage, but will stay attached to their record.
Hero Vision video uploaded to Hauler Hero moves to long-term storage after 90 days, so older videos may take longer to open.
These videos will be subject to deletion after 1 year.

Footage on the truck that was never pulled into Hauler Hero is kept for about 1 week, depending on how much storage the truck’s onboard computer has.
Does Hauler Hero keep backups?
Yes! As of October 2026:
Daily backups last for 2 weeks. We can restore your data to any point within that window.
Monthly backups last for 12 months.
Annual backups, once every January 1st starting in 2027, kept indefinitely.
Our first monthly backup, from June 1, 2026, is also kept indefinitely.
Annual backups are stored separately from our main database and protected from deletion or being overwritten. Backups are there so we can recover your data if something goes wrong on our side.

How do I download records?
You can export most of your data yourself at any time. See What data can I export on-demand from Hauler Hero CRM?

What if I’m required to keep records for a set number of years?
Sometimes, especially for municipalities, you have to keep records for a set period (for example, 7 years). Because we don’t delete work orders, customer accounts, invoices, or payment records, you can look them up in Hauler Hero CRM.
