How should I send a portal to a Hiring Manager?
If you tend to send your CVs by email, we recommend using the ‘Copy Invitation’ option found in your toolbar on the top right.
You can then just paste this into your email as normal. When you do, you'll notice that a templated email appears for you. This includes the password and link your Hiring Manager needs to access your vacancy portal.
Feel free to update the email but be sure to leave the link and the password in there. You can edit everything else as you see fit.
If you send CVs and communication via Bullhorn, you might prefer to use the ‘Send a Client Update’ button, also found in the toolbar on the top right. With this option, a pop-up box will appear for you to add a message. Your message will then appear within a templated email that includes the password and link your Hiring Manager needs to access your candidate or vacancy portal.
Read the following article for more info and to see the templates >>
Can colleagues see each other's portals?
Yes, as long as they are AssistCV users. They can see them by selecting a colleagues vacancy or candidate in Bullhorn and opening the AssistCV tab.
How do I remove a candidate from the dashboard on AssistCV?
Just follow your regular journey of removing the candidate from the vacancy in Bullhorn.
Should I use the profile or document viewer?
There's no right or wrong answer, both work equally well. If you tend to send CVs, document view will probably be your preferred option. You can find out more about this under the ‘Applicant Display’ section here >>
Is there a size limit for uploading CVs/supporting documents?
Yes, files cannot exceed 10mb - the same as Bullhorn.
Will my vacancy portal close when the vacancy is classed as ‘placed’?
Currently, the portal will still be accessible. This update is on our roadmap. But, for now, we'd recommend changing the password from within your settings menu. That way nobody will be able to access the vacancy portal as the previous password won't work.
I have a candidate shortlisted across multiple roles. Can I change their details per vacancy portal?
Yes. If you have a candidate shortlisted across multiple roles, you can update their profile differently, choose different supporting documents, input a different salary expectation etc.
The information you change will be specific to that portal and any updated salary expectation or document submission status will sync back to the candidate's shortlisted profile on Bullhorn, but not to their main candidate profile.
Will all recruiters listed under ‘Notifications’ receive Group Chat notifications?
No. ‘Notification’ emails only cover access to a vacancy portal, interview requests, call-back requests and Kanban movement.
For another recruiter to receive Group Chat notifications, they need to access the portal from within Bullhorn. You can read more about managing Group Chat notifications here >>
I’ve updated the job title and job description in my vacancy portal, will this sync back to Bullhorn?
No, this works as a one-way sync from Bullhorn to AssistCV. Once the title is set, the only way to update it is to change the title in your vacancy portal and in Bullhorn. The same goes for the job description.
Can I edit messages in the chat?
Yes. You can edit or delete messages, as can Hiring Managers. These will then show as ‘edited’ or ‘deleted message’. If the note sync feature is active for your organisation, this will show in your notes too.
Does Group Chat activity sync back to the candidate's record in Bullhorn?
Yes - by default, chat updates - plus interview requests and Kanban swimlane changes - will sync back to the notes section in Bullhorn. You can toggle these off to stop the sync from within the Organisation tab.
What information syncs back to Bullhorn notes?
Interview requests
Kanban movement with notes
Group Chat conversations
You can manage notes sync in ‘Organisation Settings’. Find out more about this here >>
Can automation in Bullhorn be created for synced notes?
Yes, as long as you use Kyloe, Cube19 or Herefish.
