Overview of Class management

When Class management is enabled, main facilitators have additional options available to them on the Class console.

Setting a main facilitator is a great way to streamline class organisation by establishing a central point of contact for managing details such as access by adding or removing learners, facilitators and coaches, editing dates and assigning coaching relationships.

Enabling class management also allows authors to automatically create a class activation when they publish a new course. If they choose to do so, they will automatically be added as a main facilitator. If the course has multiple authors, they will also be added as main facilitators.

Notes

  • Class management can be turned on by account owners in their Account settings.

  • A class may have more than one main facilitator.

  • Main facilitators can be added by those with manage user permissions.

Class management for main facilitators

Once you have been added as a main facilitator, your name and bio will be displayed on the learner's course overview page.

Learn more: Check out our article to learn how to add a bio to your profile.

Head to the Class console to see the options to add learners, facilitators, coaches, edit dates and assign coaching relationships.

Adding a learner, facilitator or coach

Select Add on the Learners, Facilitators or Coaches tile.

Enter their email address then select Check to see if they already have an account in your iQualify environment. For new accounts, you'll need to also enter their first and last name. If they are new to iQualify, they will receive an email to set up their password.

All added users will receive an email that tells them they've been added to your class, and the name of it, with a link that takes them directly to the class after they login.

Note: Although you can add other facilitators you can't grant other facilitators main facilitator permission. This has to be done by the person with manage user permissions.

Bulk adding learners, facilitators or coaches

Select Add on the Learners, Facilitators or Coaches tile, then select Import file.

Finish by selecting Upload file and choosing your file.

Tip: You can download and fill out our template file, or download our example file to help you understand the file upload requirements.

Deleting learners, facilitators or coaches

Select Edit on the Learners, Facilitators or Coaches tile to see a list of people with those roles. To delete a user select the rubbish next to their avatar.

Assigning learners to coaches

To assign learners to a coach select Edit on the Coaches tile and then select the Add coaching relationships icon next to the coach's name.

Note: Coaches can only see the progress and tasks of learners they're assigned to.

Select the ticks for the learners you want to assign to the coach and then Done to finish.

Welcome emails will be sent

Once the user is added to the course they will receive an email to set up their password and login if they're new to iQualify.

All users you add will get an email that tells them they've been added to your class, and the name of it. They'll also get a link which takes them directly to the class after they login.

Class management and authors

When authors publish a course, they get the option to automatically activate a class using the default settings. This option will only appear the first time you publish and not if further edits are made.

The class activation starts on the day you publish and follows any rules you set up in the study plan for when tasks are due. You and any other authors on this course will be automatically added as main facilitators. This means your names and bios will be displayed on the learner's course overview page.

You'll be taken directly to the Class console page of your new class and from there you can adjust the end and due dates, and add your learners, other facilitators and/or coaches.
