[New] How to merge file versions in LegalOn

Merging file versions helps you manage the full history of a contract by grouping related files under one version list. This allows for better organization, comparison, and tracking of contract progression.


Merge from the file details screen

Option 1: Merge from suggested version candidates

  1. Go to the [Contracts] list.

  2. Click on the contract file you want to merge others into.

  3. In the [Versions] tab (right panel), hover to reveal the menu.

  4. Under [Suggestions for related versions], review the proposed merge candidates.
    → Hover over a file to see its details.

  5. Click the [+] icon next to the file you want to merge.

  6. Select the file that should retain the attributes (e.g., workspace, contract manager), then click [Merge].

The way management information (such as storage location or contract manager) is retained depends on which modules you are currently subscribed to. For details on management information, please refer to "How to edit File information for uploaded contracts and my templates."

◼︎ If you are subscribed to the Contract Management Module

  • Internal ID: If an internal ID is entered in both the source and target files, the ID belonging to the file with the older file-added date will be retained. If only one of the files has an internal ID, the entered number will be retained.

  • Other attributes: The selected “primary” file will retain all attribute data.

◼︎ If you are not subscribed to the Contract Management Module

  • Attributes: The selected “primary” file will retain all attribute data.

Option 2: Search and manually select a version to merge

1–4. Follow the same steps as above to open the Version list and view suggestions.
5. Click [Search] under the Suggested versions section.
6. Set your search filters (file name, upload date, etc.) and click [Search].
7. Click [+] next to the file you wish to merge.


8. Select which file should retain attributes, then click [Merge].

The selected file’s attributes (such as storage location and contract owner) will be retained.

⚠️ Notes

  • You cannot merge two files if both already have multiple versions.

  • Executed contracts cannot be merged with each other.

  • Only files marked as Contract type can be merged. My templates and Other files cannot be merged.

  • When merging contracts that have related files linked to them, all related files linked to both the source file (the file whose attributes are retained) and the target file will be retained.

  • When merging contracts that have similar contracts linked to them, only the similar contract information of the file selected as the source file (the file whose attributes are retained) will be retained.

  • Upon merging, versions will be sorted by upload date and time. However, if one of the two files already contains multiple versions before the merge, then part of the original version order may be retained. In that case, the versions may not be strictly sorted by upload date. If necessary, you can manually reorder versions.

  • If any of the contracts being merged has the “Executed copy” status, that specific contract will be treated as the newest version, regardless of its upload date and time.Related Articles
