If you can't connect or import your Maildoso mailboxes into a sequencer like Instantly, Smartlead, Snovio, Email Bison or PlusVibe, find your error below for the most likely cause and fix. For step-by-step setup, see How do I upload emails to my cold email tool? and Connecting your mailboxes to Instantly.
First: SMTP mailboxes connect by CSV, Google Workspace mailboxes from the dashboard
In the Export accounts menu on the Email accounts page, the Add all Google accounts to Sequencer / Add selected Google accounts to Sequencer options work for Google Workspace mailboxes only (they use the tools you set up under Settings → Sequencers for GW). If all your mailboxes are SMTP, there's nothing for those options to send — that's expected, not an error.
SMTP mailboxes are imported into the sequencer with a credentials file: go to Email accounts, select the mailboxes, click Export accounts → Download selected accounts as CSV (or Download all accounts as CSV), and use the sequencer's bulk / CSV import. Large batches can be split into several CSVs. Importing by CSV also avoids the verification errors some sequencers hit when they auto-sync a large batch at once. Advanced users can also export credentials through our API with a Personal Access Token and feed them into the sequencer's own API.
"Provider 'maildoso' is temporarily not supported"
You'll see this when you try a one-click sync for SMTP mailboxes. It isn't an error on your account: one-click sync only works for Google Workspace mailboxes, and SMTP mailboxes are not supported for it by design — in every sequencer, with no plans to change. Use the CSV import described above instead.
"Error creating sequencer" (connecting Smartlead or Instantly for Google Workspace)
This appears when linking your sequencer account in Settings → Sequencers for GW. Work through these in order:
Check your login details. In Settings → Sequencers for GW, open Configure for your tool and enter your sequencer's login email and password — not an API key (Workspace Name, API key and Consent URL fields are optional). Check for typos or a recently changed password.
Turn off 2FA on the Smartlead or Instantly account while you connect — two-factor authentication blocks the connection. You can re-enable it afterwards.
Make sure the same sequencer login isn't connected to another Maildoso account. A sequencer login can normally be connected to only one Maildoso account at a time. Disconnect it from the other account first; if you no longer have access to that account, contact us and we'll clear the old connection.
Confirm your mailboxes are Active and that your subscription covers all your mailboxes and domains — mailboxes still in setup, Inactive or over your plan's limit can't be added.
If it still fails, it's likely a backend error on our side — contact us with the exact error message and the mailboxes involved.
"An error occurred while adding accounts to the sequencer. Please try again."
This generic connection error is usually caused by one of the following:
The mailbox or domain isn't fully Active yet in Maildoso — check the domain's status on your Domains page before importing.
You're trying to send SMTP mailboxes with the Google-only Add … Google accounts to Sequencer options — use the CSV export instead.
A temporary sync issue between Maildoso and the sequencer. Wait a few minutes and try again. For Google Workspace mailboxes, the Latest Sequencer column on the Email accounts page shows whether the last export Completed or Failed.
If it persists across multiple mailboxes or retries, contact support with the mailbox email(s) and the sequencer you're connecting to.
"Request failed with status code 422" — and 409
A 422 means the sequencer (usually Instantly) rejected the mailbox data it received — often an IMAP validation check that failed at the moment of import. Instantly's own support will often point back to Maildoso for this, which is expected. The causes we see, in order of frequency:
The mailbox's domain isn't Active — it expired, is in "Awaiting Renewal", is still Processing, its DNS hasn't fully propagated, or its setup wasn't completed. This is the most common cause when IMAP still works but SMTP/import fails. A domain or mailbox created in the last 24 hours may simply not be ready yet. If a domain shows anything other than Active, contact us with the domain name rather than re-exporting (see Renewing your domains and mailboxes).
The account is over its domain or mailbox limit (for example after a subscription ended or was reduced) — new domains stay at "Ready" and their mailboxes never activate. Compare used/limit on the Home or Billing page and contact us to adjust the plan.
The mailbox itself isn't Active (Inactive, Failed, Suspended, or still in Setup awaiting/processing) — see What each mailbox status means.
Stale credentials in the file you uploaded — wait briefly, export a fresh CSV and re-import. This only helps if the domain and mailbox are Active; if they are and a fresh export still fails, don't keep re-exporting — contact us with the mailbox addresses, we may need to refresh the mailbox configuration on our side.
A 409 means the mailbox already exists in that sequencer workspace — remove the old or disconnected entry there (not just disconnect it) before importing again.
Authentication failed, 535, or IMAP errors when connecting a mailbox
If the sequencer reports "authentication failed", a 535 error or an IMAP connection failure, work through these in order. (If the connection is refused, hangs or never returns a banner — with no explicit auth error — that's a connectivity issue instead: see IMAP connects but times out, is refused, or returns no response.)
Use the exact details from a fresh CSV export, not a previously saved password — passwords go stale after a reset, a move or a reconnect.
Use the right hosts and ports. The SMTP server for every Maildoso mailbox is smtp.maildoso.com, port 587, STARTTLS/TLS on. The IMAP host is specific to the server your mailbox is on (for example
imap.helicon.maildoso.comorimap.apollo.maildoso.com) — use the host shown in your CSV, port 993 with SSL on. Animap.<name>.maildoso.comhost is for IMAP only — see Why was my email accepted but never delivered, with no bounce?535 on every mailbox of a domain: check the domain status first. Our servers only authenticate mailboxes on domains with a valid DNS delegation. If the domain shows NS Expired, NS Not Set, Inactive or suspended, every mailbox on it returns 535 on SMTP and IMAP even with correct credentials. Fix the domain, not the credentials: for an external domain, use Domains → Bulk actions → Regenerate NS and set the new pair at your registrar within 24 hours; for a suspended domain, contact us. Then export a fresh CSV and reconnect.
Brand-new mailboxes that fail even with correct settings — a known provisioning issue on our side that we fix with a quick backend IMAP-auth correction. Don't keep recreating the mailboxes or re-exporting; contact us with the mailbox names and domains, and reconnect once we confirm.
After a payment problem, mailboxes can return 535 even when they show Active — see Mailboxes active but login still fails after a payment issue.
Google Workspace mailboxes don't use smtp.maildoso.com or password login at all — see Connecting Google Workspace mailboxes to sequencers and Logging in to your Google Workspace mailboxes.
If authentication keeps failing after reconnecting with current credentials, contact support with the mailbox email and sequencer name.
Accounts got disconnected from Smartlead
Smartlead is sensitive to brief server-availability blips, and a single failed connection can disconnect your inboxes. Export a fresh CSV (Email accounts → select the affected mailboxes → Export accounts → Download selected accounts as CSV, Smartlead format) and re-upload it in Smartlead — this re-syncs the latest mailbox configuration and resolves most disconnections. An old, previously downloaded CSV usually won't fix it. If mailboxes are disconnected or inactive in your Maildoso dashboard itself, see Why are my mailboxes or domains suddenly disconnected, inactive, or missing?
"Domain unavailable" or sudden disconnection in Instantly
If mailboxes that were previously connected suddenly show as disconnected with a "Domain unavailable" message, check your domain's status in Maildoso first — a domain that dropped out of Active (for example after a renewal issue or expiry; its mailboxes then show Suspended · Domain expired) disconnects every sequencer relying on it. If the domain shows Active on our side but the sequencer still reports it as unavailable, contact support with the domain name, the mailbox address, the sequencer and roughly when you first saw the error.
"Invalid MX record" during warmup setup, even though DNS checks show green
Some sequencers run their own MX/SPF/DKIM/DMARC check when you enable warmup, separate from Maildoso's own DNS status. If Maildoso shows your domain as Active and healthy but the sequencer still reports an invalid MX record, this is typically a timing or caching issue on the sequencer's side. Re-run the sequencer's check after a short wait; if it doesn't clear, contact support with the domain name so we can confirm our DNS records on our end.
Mailbox keeps disappearing from the sequencer's warmup pool after you add it
If a mailbox connects successfully and starts warming up but is silently removed from the sequencer's warmup pool a short time later — with no error and nothing wrong on the Maildoso side — this is a known intermittent issue with warmup delivery pacing that we're actively working on. It isn't caused by your setup.
Contact support with the mailbox address(es), the sequencer and roughly when the mailbox was dropped. Re-adding the same mailbox repeatedly without reporting it makes the pattern harder for us to track down.
Mailbox connects fine in one tool but fails in another (e.g. Gmass, BlueMail)
If a mailbox works in one tool but fails, drops or won't verify in another — especially right after you enable warmup — it's almost always a stale or mismatched password on that tool's side. Each tool stores its own copy of the credentials, so a password change or reconnect in one tool doesn't update the others. Export a fresh CSV and re-enter the current credentials in the failing tool rather than editing the saved entry. If it still won't connect, contact support with the mailbox address and the tool's name.
Existing mailboxes fail to reconnect, but new ones connect fine
The domain may have lost its MX records since the original connection — see My domain shows "missing MX records". Check the domain status and MX records before retrying.
The sequencer may be holding a stale connection record. Fully remove the mailbox from the sequencer (not just disconnect) before re-adding it.
If several previously connected mailboxes fail this way at once while new ones work, contact support with the affected addresses and the sequencer — that usually points to a domain-level DNS issue.
Intermittent IMAP authentication failures on several mailboxes
If IMAP connections fail intermittently — timeouts, dropped connections, or auth errors that come and go — across a cluster of mailboxes, it can be a transient issue on one of our mail servers rather than the credentials; retrying usually works once it clears. For a single mailbox, treat it as a credentials issue first (see above). If several mailboxes fail the same way at the same time, contact support with a few example addresses and roughly when it started.
"Failed to fetch OTP code" or a verification code request
Some sequencers fetch a one-time verification code automatically when connecting a Google Workspace mailbox. If this fails, first confirm the mailbox shows Active in your dashboard — a Google Workspace mailbox still in setup or Failed has no working inbox to fetch a code from (see Google Workspace mailboxes). If the sequencer asks you for a verification or reactivation code, it's sent to the individual mailbox — see Verification and reactivation codes from your sequencer.
Before contacting support
Make sure the domain and mailbox both show Active in your Maildoso dashboard before importing.
Reconnect using current credentials from a fresh CSV rather than saved ones, especially after any password or mailbox change.
If an error affects many mailboxes at once, it's more likely a domain- or account-level issue (expired domains, plan limits) — include a few example mailbox addresses, the sequencer and the exact error when you contact us.
