Booking: How to Set Up Booking Windows

Learn how to set up Booking Windows for your customers looking to book a quote, get a call back, and more!

With our Booking Window feature, you're able to set up Time Slots in your Web Booker for your customers to request a call back. You can set up a time slot for any period of time on any day.

This allows your customer to select a time that works best for them to be called back, and gives them an idea of when they'll be called back.

On your end, you're able to collect your customers' information and call them back when it works best for you - in between appointments, for example. Or, maybe you can set aside this whole time to just do call backs! It's up to you.

You can set up booking windows for things like:

  • Requesting a call back to learn more about a service

  • Requesting a quote for a service

  • Requesting a consultation call

  • and more!

2. Click on Settings.

3. Next, click on LocalVisits. Then, click on Bookings. Once you're in Bookings, you'll see Services - click into it.

4. You'll see your Services page here. You'll need to start by adding a Service Category.

Click on the Add New Service Category button in the middle of the page. You'll also have the option with the button on the top right.

5. In the window that opens, fill out the Service Category's name (use something descriptive like "Book a Call Back", and add a description (if you'd like). Lastly, hit 'Confirm'.

Below, you'll see the warning that your Service Category will be hidden until you add a Service.

6. To add a service, click the 'Add New' button in the top right part of the screen, and click 'Service'.

7. In the window that pops up (see the image below for an example), make sure to fill out all the information about your service. Use a name like Request a Call Back (or something that works better for your business).

8. Under 'Service Category', select the one you just created. Make sure 'Display in Web Booker is checked off'.

9. Next, under 'Service Type', select Booking Window Service.

10. You can give your customer an option to select No Preference within the day they want to be called back.

You can also add an ASAP option, which will bypass the scheduling screen and take your customer directly to the contact information screen.

Hit 'Next' to configure your Time Slots.

11. Below, you'll see an example of the 'Configure' tab when adding your new service.

You'll have the option to:

  1. Add an Existing Time Slot - simply select an existing time slot

  2. Create a New Time Slot - if you haven't created any yet, create one now, entering:

    • Name

    • Number of bookings allowed for this time slot

    • Days this time slot is active on

    • Time range for this time slot

Assign as many time slots to a service as you'd like - then click Confirm!

12. To make your new Service Category appear in your Web Booker, click on the Edit (pencil) button on your Service Category. In the window that pops up, enable 'Display in Web Booker'.

If you'd like to assign staff members to these Call Back services - keep reading below. Otherwise, you're done!

13. You can also assign Staff Members to your Booking Window services (or all of them).

Navigate to the Staff Members page (Settings -> LocalVisits -> Bookings -> Staff Members), and click on the staff member you'd like to assign to a service.

In the page that opens up, scroll to the bottom. You'll see the services you've entered. Simply click on each Service or Service Category you'd like to assign the staff member to, and hit 'Save'. That's it!

Do this for each of the staff members you'd like to assign services to.

Adding Any Additional Contact Fields You Need

14. Lastly, don't forget to add any additional relevant contact fields you need! For example, if you're a moving company, you may want to ask for your customer's address to more quickly provide a quote.
