This article is a great place to start for new admins using the Agency platform

Administrative Controls & Set Up

To set up your account in Prism:

  1. Add your agency's logo and set it as the default logo from the bottom of your Organization Settings page

    • This will ensure your logo appears in the header of your contracts

  2. Add all agents and team members as users

    • You can control what parts of Prism users have access to view or edit, and you can limit a user's access to only certain artists

  3. Add contacts to your contact book

    • Start with a handful of contacts from your team and artist teams so you can add them to shows and contracts

    • Contact your Client Success Manager if you'd like to coordinate an import of all your contacts into Prism

  4. Add artists to your roster

    • Add the agent, commission rate, manager, contract signer, notes, and relevant artist files (e.g. riders, W9) to your artist records

    • Make sure to do this before you start creating events to ensure that the correct agent, commission, and contract signer are incorporated into events.

  5. Create venues from your Organization Settings

    • Start with a handful of venues you're booking shows in and add more venues as you go when adding new shows to the calendar

  6. Create templates to ensure that all necessary information is included on every contract

    • You can set up Deal Terms templates and Additional Terms and Conditions Templates with your standard contract language

      • If the language varies by artist or event type, you can create multiple templates for each scenario and choose the appropriate one when generating a contract

    • You can set up Event templates with some deal and show basics (i.e. deposit schedules, ticket scaling, run of show)

    • You can also create Email Templates in order to customize the the message and subject line that go out when you send contracts and other documents via Prism

Working in Prism

  1. Add shows to the calendar and build out a contract

    • Add events as a hold first, add financials and deal points to the event, preview the contract, and then confirm the show

    • Make sure the artist is already on the roster before adding one of their shows to the calendar

  2. Generate itineraries

  3. Settle events in Prism by entering finals

  4. Invoice an artist and track invoices

  5. Report on and research show data within events like ticket counts, artist walk amounts, and commissions
