Building A Marketing Campaign For Off Market Real Estate

Set up a Marketing Campaign in less than 30 minutes!

Now that you have the basics down, learn how to pull records and set up a real direct mail and cold calling campaign—all in less than 30 minutes!

Pulling Records

Ready to get started? Follow these steps to pull records and narrow down your target area:

  1. Select SiftMap
    Begin by selecting SiftMap. Search for your market area or, if you’re exploring new territory, use the filters below to conduct a market analysis

  2. Conduct Market Analysis
    Use the Price filter to narrow down a price range of the results.


    Select More Filters and set Years of Ownership to Max of 1 and Type -> Business.

    This will give you a solid overview of market activity. For example, if you see a lot of recently sold records to businesses, that’s a good sign the area could be a strong investment opportunity. Once you’ve identified a promising spot, use the polygon tool to draw around the area.

  3. Refine Your Search
    Now that you've identified and drawn your farm area, refine your search by selecting the More filters again and set Years of Ownership to Min of 15, and Type -> Individual. If you need to narrow down further, consider selecting Owner Absentee -> Yes.

  4. Add Records
    Once you've refined your search, select the records and Add Properties to Account. Select or enter in the list you want to add the records to. With the filter criteria above, we're adding to a 10+ year owned list. Add any specific tags you'd like use.

Marketing

With this campaign, you’ll kick things off by sending direct mail first. Then, you’ll skip trace the records to find phone numbers and start calling.

Building a Repeatable Process

Custom filter presets can be saved so you can easily filter for the records. Create the following presets in your account:

Needs Skipped

The Needs Skipped preset shows records without phone numbers that need to be skip traced:

  1. Add the All Lists (And) filter and include the list you added from SiftMap.

  2. Add the All Tags (And) filter and include the tags you added from SiftMap.

  3. Add the Params & Others filter and select:

    • Numbers -> No

    • Skip Traced -> No

Save this preset as your farm area and Needs Skipped.

Ready to Call

The Ready to Call preset shows results records that have numbers but haven't been called yet:

  1. Add the All Lists (And) filter and include the list you added from SiftMap.

  2. Add the All Tags (And) filter and include the tags you added from SiftMap.

  3. Add the Params & Others filter and select:

    • Numbers -> Yes

  4. Add the Call Attempts filter and set both Min and Max to 0.

Save this preset as your farm area and Ready to Call.

Needs Mail

The Needs Mail preset shows which records have no direct mail attempts yet:

  1. Add the All Lists (And) filter and include the list you added from SiftMap

  2. Add the All Tags (And) filter and include the tags you added from SiftMap

  3. Add the Params & Others filter and select:

    • Vacant Mailing -> No

  4. Add Direct Mail Attempts filter and set both Min and Max to 0.

Select Save new and name as your farm area and Needs Mail.

Sending Direct Mail Campaign

Now let's send some mail! If you haven't created a template yet, you'll need to select Direct Mail and Mail Designs, to setup your template before continuing. After you've created and saved a template:

  1. Select the Needs Mail filter preset you created, and apply filters.

  2. Select all records under the Clean tab, then go to Send to -> Direct Mail.

  3. Enter in the Direct Mail Campaign Name, then Click to configure.

  4. Select your mailer, enter in your return and contact information.

  5. Choose your send date, download proof, confirm all information is correct, then send.

Skip Tracing

Time to find those phone numbers! ☎️

  1. Select the Needs Skipped filter preset you created, and apply filters.

  2. Select the Clean records then go to Send to -> Skip Tracing.

  3. If any records are incomplete, start cleaning the records or assign this task to a team member. Once cleaned, skip trace these records.

Cold Calling

Now let's start making some calls. Use your Ready to Call preset and send the records to your dialer, or open a record and begin calling using your Click-to-Call dialer.

Below are steps on how to setup and send records to smrtDialer as shown in the video.

If you are using smrtDialer but haven't integrated yet, see 👉 smrtDialer Integration

After applying the Ready to Call preset filters:

  1. select the records in the results and go to Send to -> Integrations
    Select smrtDialer

  2. Name the Campaign

  3. Select the numbers you want to use to call

  4. Select recordings to use for Voicemail Drop and Campaign Callbacks.

Voicemail drop will be played if you reach a contact's voicemail. This can be a recording stating your name and that you'll call them back.

The Campaign Callback message will be played for a contact if two calls are connected at the same time. You'll be connected with one, and the other will hear the callback message. Example recording: "Hello, I think my connection is bad, I'll call you right back."

After the transfer is complete, open the campaign in smrtDialer by clicking on the campaign name, then select Settings. Here you can add any additional phone numbers, select the number of lines you want to use to dial.

Calling the Records

In the campaign, click New Call Session, then Start to begin dialing.

If you're on REISift's Business plan, the property and phone statuses will update automatically as you are calling in smrtDialer. Any failed calls will automatically be updated with the dead phone status.

After calling through all the records in the campaign once, filter and send the records that do not have any property statuses back to smrtDialer for another attempt.

Identifying Exhausted Records

Records are considered exhausted when there are no available numbers to reach the homeowner, for example:

  1. Record has all wrong or dead phone numbers

  2. There are no correct numbers when you reach the end of your campaign (after all call attempts)

These records have already been sent mail. If you receive returned mail and all the numbers are wrong or dead, you can deep prospect or door knock the properties. You can also try reskipping the records in another location and calling for a few more attempts.

You'll want to focus on the records with vacant mailing addresses and no phone number results when skip tracing. These can be golden opportunities since other investors most likely also struggled to reach the owner.
