July 19th 2024 Update

Alpine (v6 Alpine customers/users only)

πŸš€ We are currently working on several new features and tools that will provide a faster way of working with your data and creating a more interactive experience in Alpine on large data sets.

This will also include migrating some of the final features of our legacy directory for things like bulk actions and enhancing those features for making changes to large sets of data.

Keep an eye out in the coming weeks for further updates before its eventual release.

Other new and improvements

Added an extra field to provide a reason for leaving when editing a membership via the contact record.

  • A toggle labeled as decided to leave? is displayed, enabling this will show another field for filling in the reason for leaving

Help Launcher - System Status

Our aim is to be transparent about the services we're offering, so you can now view our System Status information direct in the new Help Launcher, including the reported status of our suppliers and partners. Any ongoing incidents will also be viewable here.

sheepSettings

As part of our work to make your sheepEvents easier to manage, only reusable ticket types will now appear in sheepSettings, and be available in sheepEvents for reuse. Any legacy ticket types created in Theme 5 will no longer be available. If you need assistance recreating any of your ticket types, please let us know.

The new Help Launcher is also now available from sheepSettings

June 27th 2024 Update

New Feature - Help Launcher

πŸš€ This new feature is another milestone in the completion of sheepCRM v6 Alpine.

Our development of v6 Alpine and the dedicated support and services our team provides is heavily influenced by the success of our customers, which means it has received significant investment in a number of areas.

Previous updates have shared new and revised articles written for v6 Alpine, the first milestone was to ensure all pages of the system had at least one online support article. This new feature takes that to a new level as it provides direct access to the articles relevant for the page, and more.

Supporting our customers has a number of layers to it. You will know we have provided access to online/system help, chat and most importantly our team for support and services.

We remain committed to this approach and will be sharing more people driven options, and new tools to aid your success in due course, but this release today is the next step in that direction and includes an overview of some very important items "coming soon" including sheepAI.


We have launched a help launcher which can be accessed via the question mark icon. This will open a new modal which will automatically present articles based on the page or area of the CRM you are currently looking at. This is particularly useful for quickly getting relevant articles without the need for directly searching for one. You can also search our article database directly from the modal using the search functionality.

You can also see from the left-hand menu some other features that will be coming to you in the near future via this help launcher. Feel free to click through them and get familiar as we aim to bring a faster and more targeted way of getting you the help and guidance you need.

sheepEvents

sheepEvents box office pro users can now limit the availability of a ticket to a specific segment of contacts. This is useful if you want to only allow a sub-set of your contacts or members to have access to a special-priced ticket. The ticket will only show in the App if the user logged in belongs to that segment.

To do so, when adding a ticket to the event via the event config you now have an option for 'Limit availability to named segment'. See below.

June 19th 2024 Update

Alpine (v6 Alpine customers/users only)

Segments

We have made some quality-of-life adjustments to Segments which aim to make it a bit simpler when adding new ones via Segments.

Firstly we have added page size buttons for those with lots of Segments so you don't run into issues when searching if you have more than 250. Just increase the page size if you can't find what you're searching for.

Secondly, we have greatly reduced the initial 'Add segment' side panel. The aim is to only give you the options you need to quickly get one set up so you can focus on the rules/filters.

If you need the full side panel like it was previously then you can just click 'Advanced mode' where, for example, you can set the parent segment to organise your segment into a specific area.

Approximately 80% of the reasons customers use the v5 (blue) directory filter is for results based on contact records (people or organisations). This is one of the reasons we have added the item noted in the next part of this update below.


When using the simplified segment side panel you will automatically be creating a segment based on contacts. You will need to use the advanced mode if you want to change this to another resource type. Advanced mode when clicked on will also be pre-filled with options for a contact segment so a small improvement to help get you started there as well.

​Other new and improvements

  • Audit log on a contact record will now show entries for information relating to tickets and tickets is now filterable from the audit log filter at the top.

June 12th 2024 Update

Alpine (v6 Alpine customers/users only)

The sheepEvents calendar announcement below is another specific item released as part of the final steps to completing the migration from v5 (blue) to v6 Alpine.

The v5 calendar covers more than events, for example venues which are in use by customers using sheepSpaces, but this first step is just sheepEvents.

You will also see this is marked as 'Beta' - we decided to release in beta with limited features to give you access to it now, to invite your feedback while we make further updates to it. We hope you like it!

sheepEvents Calendar

We have launched a Beta version of our new Events Calendar in Alpine V6. For those of you using sheepEvents you can now view and access your events easily from a calendar view and click.

Once you have clicked on Events from the main menu, you will now see a 'View Calendar' link in the second menu. Click on that and you will be taken to the calendar view.

sheepApp

  • For those of you using News in sheepApp, you can now sort and view news by date when in table view from the index page

June 7th 2024 Update

Alpine (v6 Alpine customers/users only)

sheepEvents

Important changes for sheepEvents below - some changes to names for types of events and other things so important for you as a user to understand if involved in Event Management 🀝

We have updated the 'Add event' modal to give you a quicker way of setting up an initial event depending on your license and needs. You will initially be presented with up to 4 options. After selecting one of the four you will only need to add the basic information to set up the draft event.

  • Public Event

    • This used to be a ticketed event before this name change.

  • Private Event

    • This used to be internal events before this name change.

  • Team sessions

    • For those of you using teams with team sessions such as regular classes. This used to be group sessions before this name change.

  • External Event

    • This is a relatively new feature that enables you to use a third party box office or website to sell/direct users to for more information or to purchase tickets.

    • You will be asked to provide a website URL which is where the ticket button in the sheepApp will direct your users to.

Note for Eventbrite users: Those of you using Eventbrite integration, that remains the same which is when the integration is live it will automatically create those events in sheep for you. You will just need to activate them to show in the App.

sheepCRM

  • Searching for members using a membership number now needs the full membership number to return the correct result. Membership number search will no longer return partial matches. Previous 1000 would return results for 1000, 10001, 100023 etc. Please use full membership numbers from now on.

  • This has been set to improve results presented when other numbers are used also such as within an email address search.

Finance changes

  • GoCardless Request Payments: scheduled payments older than 90 days will no longer be requested automatically. This change prevents members with historic underpayments from being charged when a new mandate is created. This would only happen if the record had not been edited as recommended, but provides an extra back up to cover those exceptions.

  • Old scheduled payments (over 90 days) will be marked as 'failed'. A new trigger 'scheduled_payment_failed' can be used to connect automated actions to failed scheduled payments.

  • Extra membership payments by Stripe will now be linked to the membership and recorded as being of type 'membership_payment' which means they will automatically reconcile.

sheepSegments

  • Clearer "loading" UX when searching within a segment. These searches can take a while due to the volume of data which can be in a segment.

  • A number of improvements to rules in the Segment filter as per previous weeks updates.

May 30th 2024 Update

The updates this week cover two items that are existing v5 features being added to v6 Alpine as part of the final steps to completing the new version. This is our current main priority for the product. As a reminder, please see the migration info previously shared below.

v5 to v6 Alpine - Migration information.

We are nearing the completion of the migration to the v6 Alpine user interface.

Customers using v5 (blue) for all things apart from settings and reports (which are already fully migrated), will start receiving dedicated communications and guidance for moving to Alpine v6. This will include sufficient notice, timescales, important information and support documents.

Customers using v6 Alpine (green) for all things apart from the v5 (blue) Directories features awaiting migration, will receive dedicated communications on those final items to migrate only.

The updates in this article will state if they only apply to v6 Alpine customers / users, but please still read those if you are a v5 user.

Other updates apply to all users (subject to your product licence choices).

Audit Log

We have finished implementing an audit log on contact records in Alpine. This gives you a full breakdown of all of the changes that have been going on in relation to any given contact. This can be very useful to see what changes have occurred, who made them and at what time. Rows highlighted in green are changes made by sheepCRM users. We have also added a quick filter to filter the log by type.

You can find the audit log underneath the admin tab in the contact sidepanel.


DBS Records

For those of you using our DBS feature you can now add, review and check DBS certificates in Alpine from the contact record.

May 28th 2024 Update

Alpine (v6 Alpine customers/users only)

Segments

Further to last weeks update on segments - there is an important change you need to make if you are syncing segments to Mailchimp, relating to the update below.

Automatic segments now allow the toggle to be set for Sync to Mailchimp.

IMPORTANT - If you are syncing any segment with your Mailchimp - please follow the steps shown in the video below for each one so that it automatically updates changes with Mailchimp (nightly).

You can still use the actions > sync segment with Mailchimp at any time to trigger a fresh sync at that time.

sheepEvents

We have added some extra guard rails around adding and the reusing of ticket types in Events. There are now two correct ways to create and use tickets in sheep.

  • First: Reusable tickets - Tickets that have been created via settings > events > ticket types are now seen as reusable tickets.

    • These ticket types can be selected via the reuse ticket type action when adding tickets to an event.

    • When this ticket type is in use you will see that the ticket cannot be edited from the event itself. This is because changes to a reusable ticket will be populated across any event using that ticket type and more often then not this was causing issues when users were not being made aware of what would happen if edited.

  • Second: Single-use tickets - A new ticket that is created via a specific event are now deemed single-use. Single use means that you will not be able to re-use that ticket on another event and you will not find it from settings. It exists only on the event it was created on. You can edit this ticket directly on the event itself as it will not have an impact on any other event.

For Eventbrite events, the access code can now be activated in sheepEvents in v6 Alpine

Segments

Continuing our efforts for improving Segments in v6 Alpine we have made some quality-of-life additions and made a number of improvements in segment rules and the fields that are currently available.

Segments is a key focus area for updates currently, with refinements and new features;

  • Replacing the v5 Directory - a key step in finalising v6 Alpine ready for v5 customer migration. More info will follow in due course.

  • Generating more value from this powerful area of the system for your segmented activity but also leveraging more from your data.

  • Implemented an 'Add Segment' button from within Segments so that you do not need to go into Settings to add a new one and then back to Segments to view it.

  • Various updates to the Segment filter rules so fields now give more accurate options when building your segment rule set.

    • If an option you are trying to select in segment rules is not available please contact support, providing the criteria for your segment and the name (if its an existing segment)

sheepEvents

  • Fixed an issue with adding tags inside the Configure event side panel (separate tags, became one tag after saving)

  • Fixed a display issue when navigating to Events page ("Cannot read properties of undefined and 'Abort - new fetch triggered')

Eventbrite integration updates

  • When in event management an Eventbrite event will now only let you edit the sheepApp settings for that event via the event config. This is so that when Eventbrite is re-sycned any changes you may have tried to make via sheepCRM will not get overwritten, dates/title/description etc. If you need to make changes like that to your Eventbrite event you should do so from Eventbrite.

  • New - Added the ability to assign a category and subcategory to your Eventbrite events from the event config for better organisation in sheepApp.

  • Added support for a new 'time' field question in a sheep forms

sheepSettings

  • Added actions to manually sync data from Eventbrite

  • Removed deprecated Email Drop Box from settings > integration

April 24th 2024 Update

Alpine (v6 Alpine customers/users only)

New and improvements

  • Notifications can now be marked as read when you open them from the notification tray, as planned following the changes announced last week to tasks and notifications.

  • The 'Recycle bin' from v5 has now been added as an automated segment in Alpine.

    • NB: This will appear for all customers in coming days.

  • Updated Membership actions from a contact record.

    • Added "Remove from unpaid report" action. This provides a simple option to remove an item from the unpaid membership report where payments added have not met the automatic removal criteria, such as historical payment.

    • Removal of "Raise invoice" action as these are automatically available in sheepApp and also replaced by the membership statement option on the actions menu (when statement open select actions > print invoice if needed).

  • Partner Integration Sync requests are now limited to one per action per client every 3 hours

Fixes

  • Fix for Life Memberships not being properly represented as the most recent ("last") membership which was affecting some segments and reports.

  • Fix for an incorrect extra column in "Attendance by Event Summary" report.

  • Fix for displaying a form response on a contact record when an unexpected data type is received.

April 19th 2024 Update

v5 to v6 Alpine - Migration information.

We are nearing the completion of the migration to the v6 Alpine user interface.

sheepEvents (v6 Alpine customers / users only)

Support for Third-party Events is now available. You can now create an Event which has a link to a third-party website where tickets can be purchased outside of sheepApp. This is useful if you want to showcase partner Events or use an external ticket platform or website. These Events will still display in sheepApp and when you select the ticket button you are redirected outside of sheepApp.

Alpine (v6 Alpine customers / users only)

  • A new tasks icon has been created on the main menu, next to the notifications bell icon which splits out tasks from notifications to make it easier to differentiate between them.

  • The modal for Tasks and Notifications has been updated to handle each type more effectively such as separate actions and more informative copy.

  • Notifications now appear within 30 secs from the notification bell icon meaning you do not have to refresh your page in order to see the latest update.

Please note: The ability to mark notifications as read will be coming soon.

  • Ability to add connections to an internal event

sheepSettings

  • Integrations - new sync request buttons so that you can request updates outside of the automated windows for;

April 10th 2024 Update

March 8th 2024 Update

Alpine

  • Added 'Copy CRM Link' on Contacts records and Event Details which is a tool for you to be able to share links with colleagues to take them directly to specific records.

sheepApp

  • Previously buyers of Events, when using guest checkout were not being automatically added as an Attendee. This has now been updated to ensure their details are captured if an Attendee slot was left blank.

  • A preventative measure has been applied to the 'Stripe Buy' button so that only one payment can be made and cannot be double-clicked when purchasing events.

sheepFlow

  • When clicking "View Live Form" from Form Builder it will clear the sheepApp cache so that your updates can be seen more quickly than previously.

  • When building out a Form, there is a new question type to ask for video-links as responses.

  • Segment exports are now available. These include specific and broader sets of commonly used data fields such as mailing fields for contacts, membership fields and more providing a simple way to access bulk data in preparation for communicating with your members and/or administrating tasks. All templates include a description of what data is included.

This item above is replacing a key feature previously only supported in sheepCRM v5 via the directory as part of the final steps to complete our migration to sheepCRM Alpine (v6)

  • Whilst on a Contact record within the side panel>Flow>Applications the 'regarding' link can now be used as a quick way of navigating to the related item.

Noticeable changes

  • Groupings by module for easier access

  • Teams has been taken out of Contact Summary and into its own section

  • Payments can now be accessed per module - membership, events etc

  • 'All payments' can be found underneath 'Admin'

  • 'Metadata' has been changed to 'Record Data' and now sits underneath 'Admin'

  • 'Vehicles' can be found underneath 'Library'

  • 'Courses' can be found in 'Events' or 'Library'

  • 'Recent history' can now be found under 'Contact' which shows the last 5 changes on a contact record. Future improvements to come for this.

February 9th 2024 Update

This week's release has consisted of background improvements in both sheepApp and sheepCRM Alpine.

Following the major feature updates released last year as part of the full migration from sheepCRM v5 to Alpine (v6), such as sheepEvents, we will be releasing various new items which replace v5 features and adding refinements to v6 Alpine to complete this migration.

Therefore, as well as updates that have been released we will also be adding some "coming soon" items to this article, the first of these are below.

February 2nd 2024 Update

sheepEvents

  • The orders and attendees single export from within an event is now generated for download from your notifications as per segment exports. If you do not see a notification please refresh your page.

sheepApp

  • The Areas of Interest section can now have a customised introduction set. If you need this set please send your request to support@sheepcrm.com

  • Courses listings will have automatically generated thumbnail images where a Youtube hosted video is included. You can also set your own thumbnail to override the default if required.

January 26th 2024 Update

Alpine

  • Course enrolments are now viewable in the side panel of a contact record.

  • Attendee questions (captured as part of inline event questions) are now available in a grouped view in the side panel of a contact record.

  • Event category filters have been added in the side panel of a contact record.

December 22nd 2023 Update

sheepCRM

  • Automatic domain connections, based on email or web addresses are now built periodically rather than after an update which means these auto connections will not show instantly when you first add an email or web address matching others.

sheepApp

Further to our update last week about the 'Your Documents' section which was renamed to 'Your Library', the direct sheepApp URL has now been updated to /library so if you have set up any direct links to /documents in sheepApp please update those.

The /documents link will still be working but will redirect to /library for the time being to allow customers time to update their direct links.

sheepCRM Courses (V6 Alpine only) - New Feature πŸš€

Courses for sheepApp is a way to promote and handle enrolment to online courses including sign-up and payment for those who use an external learning management system or offer remote courses (that are not based on a specific date/time). The courses can be offered for free or they can be paid for if you have a Stripe integration.

They allow you to provide information relating to the course, a course preview in video format, and any other additional information such as how to access the course once they have enrolled.

Courses is restricted to those with an Advanced or Pro licence.

If you are interested in adding this to your system please contact support@sheepcrm.com so we can activate it on your sheepCRM.

December 15th 2023 Update

New automated action payment trigger that allows you to send an email communication when someone buys/purchases a document through sheepApp. document_payment_received

sheepApp

The 'Your Documents' section has been renamed to be called 'Your Library'. This is found via the 'Account' menu for sheepApp users.

The main dashboard documents area will also be renamed in the next release.

This is because some new features coming soon will use this area that are not documents.

Attendance to ticketed and internal events can now be recorded on the attendee page of an event. This means it can be recorded on all event types now in sheepCRM, an extension from group session events, which was previously released. You can find the full details in Events: Box Office

The main search has been refined to avoid duplicate results when searching for membership numbers.

We have started to publish updated support articles with a new format (questions and answers) and additional user guidance. If you would like to see some of these you could review the reports articles as many have been recently updated, as well as events articles such as the one above.

Inline Event Questions

As part of ongoing investment in sheepEvents, we have now released the first part for the ability to capture additional data from buyers about their ticket orders and attendees via the sheepApp Box Office.

  • This requires the sheepEvents module and a minimum of an Advanced Licence (if you are interested in adding this to your system please contact support@sheepcrm.com)

  • As this feature is new you will only be able to access it when we activate it for you. If you would like to use this feature, please let us know.
