The Solarplaza meeting tool allows you to request and schedule one-to-one meetings with other attendees for participating events.
Before scheduling
Meeting scheduling is only available for events that include the Solarplaza meeting tool.
To use this feature, you must:
Have a confirmed event registration linked to your Solarplaza account.
Be signed in with the same email address used for your event registration.
Wait until the attendee list and meeting scheduling open, which happens a set number of days before the event.
Choosing an attendee
Once meeting scheduling is available, open the My Meetings section of your Solarplaza account dashboard and select the relevant event. Browse or search the attendee list to find the person you would like to meet. You can search by name, organisation, or organisation type to help identify relevant attendees.
Note: Attendees who have chosen to remain anonymous cannot receive new meeting requests until they make their profile visible.
Sending an invitation
Select the attendee you would like to meet, choose an available meeting room and time slot, and send your invitation. The recipient will receive a notification and can:
Accept the meeting request.
Decline the meeting request.
Propose a different meeting time.
You can also send a meeting request directly from an accepted conversation in the Messages (Messaging Inbox) section of your Solarplaza account dashboard.
After confirmation
Once the meeting is accepted, it is automatically added to both attendees' My Meetings overview. The confirmed meeting includes the scheduled time, meeting room, and event details, making it easy for both attendees to keep track of their appointments during the event.
Managing meetings
You can manage your meetings at any time from the My Meetings section of your Solarplaza account dashboard. From there you can:
View your upcoming and past meetings.
Accept or decline meeting invitations.
Cancel a confirmed meeting.
Propose a new meeting time.
Message the other attendee before the meeting if you need to coordinate.
If a confirmed meeting is cancelled, the reserved meeting room and time slot become available for other attendees to book.
