How to manage subscription emails after creating a subscription

This article explains how to manage subscription emails after a subscription has been created in Stora.

You can use these controls to decide which emails to send to the customer and to view the status of emails based on the choices made during subscription creation.


How to manage subscription emails

  1. Go to the customer’s Subscription in Stora.

  2. Open the Emails settings.

  3. Review the available email options.

  4. Turn the relevant emails on or off.

  5. Check the email status to confirm what will happen next.

💡 Use the email status to confirm whether Stora will send the email automatically or whether it has been skipped based on the subscription setup.


What happens when an email is turned off?

When an email is turned off, Stora will not send that email automatically.

You can still contact the customer manually if needed, but the email will not be sent as part of Stora’s automated subscription email flow.


What are the different types of subscription emails?

Stora shows different email options depending on the subscription setup. These settings let you control whether certain emails are sent automatically after the subscription has been created.

Move-in instructions email

The move-in instructions email gives the customer the information they need before their move-in day.

You may want to turn this email off if:

  • The customer has already received the information separately.

  • The subscription was created for an existing customer.

  • Move-in instructions are not needed for this booking.

  • You want to prevent the customer from receiving the email automatically.

⚠️ If this email is turned off, Stora will not send it automatically before the customer’s move-in day.

Renewal invoice emails

Renewal invoice emails are used for manually paid subscriptions, such as bank transfer, cash, cheque or other offline payment methods.

You may want to turn these emails on if the customer needs to receive each renewal invoice by email.

You may want to turn them off if:

  • You manage invoice communication outside of Stora.

  • The customer does not need renewal invoices emailed automatically.

  • Your team sends invoices or payment reminders manually.

💡 Renewal invoice email settings are most relevant for manually paid subscriptions. Card and direct debit customers can usually view invoices from My Account on your Storefront.


Understanding email statuses

Stora shows the status of subscription emails so you can understand what has happened, or what will happen next.

For example, you may see that a move-in instructions email was skipped and will not be sent.

This helps you answer questions like:

  • Has this email already been sent?

  • Is this email scheduled to send later?

  • Was this email skipped during subscription creation?

  • Will Stora send this email automatically?

  • Do I need to send the customer anything manually?


Examples

Here are some practical ways to use subscription email controls.

  • Existing customer move-in: Turn off the move-in instructions email if the customer already knows how to access the facility.

  • Manual invoice reminders: Keep renewal invoice emails turned on for bank transfer customers who need an invoice each billing period.

  • External communication: Turn off renewal invoice emails if your team sends invoices or reminders outside of Stora.

  • Checking what happened: Review the email status if a customer says they did not receive their move-in instructions or invoice email.
