How to find invoice payment dates using the invoice export

Export paid invoices and use their payment dates to match Stripe payments with invoices in your accounting software.

The invoice export includes each invoice number and the date and time it was paid. Use this information when allocating Stripe payments to invoices during reconciliation.

How to export paid invoices

  1. Open Invoices in Stora.

  2. Open the Status filter.

  3. Select Paid.

  4. Clear every other invoice status.

  5. Set the date range for the invoices you want to export.

  6. Open the Method filter if you want to include a specific payment method.

  7. Open the Site filter if you want to include one or more specific sites.

  8. Click Export.

  9. Click Start Export.

Stora downloads a CSV file containing the invoices that match your filters.

Which export columns to use

Use these columns to match payments and invoices:

Column

CSV field

What it shows

A

subscription_stripe_id

The subscription ID, which also appears in Stripe

B

invoice_number

The Stora invoice number

D

invoice_total_gross

The total invoice amount, including tax

E

invoice_total_tax

The tax included in the invoice total

G

invoice_currency

The invoice currency

H

invoice_status

The invoice status, which displays paid after filtering

K

invoice_paid_at

The date and time the invoice was paid, in UTC

AG

customer

The customer’s name

AH

customer_email

The customer’s email address, which also appears in Stripe

How to match a Stripe payment to an invoice

  1. Find the Stripe payment you want to allocate.

  2. Match its date and time to invoice_paid_at in column K.

  3. Match its amount to invoice_total_gross in column D.

  4. Confirm the customer using customer_email in column AH.

  5. Use subscription_stripe_id in column A if you need another identifier.

  6. Record the payment against invoice_number from column B in your accounting software.

For example, if you use Sage 50, allocate the payment against the invoice number shown in column B.

Avoid recording the same invoice more than once

💡 An invoice with several line items appears on several rows. Its invoice number and totals are repeated on every row.

Use invoice_number to identify these rows, and record each invoice only once.

How UTC affects payment dates

The invoice_paid_at value uses Coordinated Universal Time (UTC).

⚠️ During British Summer Time, UTC is one hour behind UK local time. A payment made shortly after midnight in the UK may therefore show the previous date in the export.

Check both the date and time when a payment appears one day earlier than expected.

Credit notes and refunds

Credit notes and refunds can affect the amounts you need to reconcile.

⚠️ Track these separately from the paid-invoice export. You can export credit notes using the Credit Notes export in Stora.
