Create a subscription in the Backoffice

Add a booking for a customer. Great for phone or walk-in bookings and for those needing to pay by card or manual methods.

Use Backoffice subscriptions to add bookings for customers who call, visit in person, or prefer manual payment methods such as bank transfer or cash.

Before you create a subscription, check that:


Create a Subscription

1. Go to Subscriptions in your Backoffice and select Create subscription.

2. Under Customer, select an existing contact or create a new one.

Configure storage details

1. Under Storage details, complete the fields:

  • Site: Select the storage facility for this subscription.

  • Billing period: Choose how often the customer will be billed, for example, every month or every 4 weeks.

  • Unit type: Select the storage unit type the customer is renting.

  • Price: Select the price for this unit type. If more than one price is available, choose the correct one for this subscription.

  • Protection cover level: Choose the optional cover level for stored items, or select None if no cover is required.

  • Move in date: Select when the subscription begins. This will also be the payment renewal date.

šŸ’” After creating the subscription, you can assign a specific unit, add more unit types, and add a deposit if needed.

Add products (optional)

1. Under Products, you can add an optional Recurring product such as shelves, cleaning or electricity. Recurring products are billed on the same schedule as the subscription.

Configure payment details

1. Under Payment, choose the Payment method:

  • For card payments, select Debit/Credit Card. You will be prompted to enter the customer card details after submitting the form.

  • For direct debit, select Direct Debit. You will be prompted to enter the customer card details after submitting the form.

  • For manual payment methods such as Bank transfer, Cash, Cheque or Other, select the appropriate option. The subscription is created without storing payment details.

šŸ’” By default, Stora emails invoices for manual payment methods but not for card or direct debit.

2. In Discount, choose any promotional offer you want to apply to this subscription. The discount is applied according to the terms of the offer you select.

3. To show a purchase order reference on invoices, select Add order number and enter the Order number. This appears on invoices for this subscription.

Configure move in setup

1. Under Customer emails, choose which emails this customer should receive for this subscription:

  • Booking confirmation: Sends a confirmation email now, with a link for the customer to set a password and access the customer portal.

  • Move in day instructions: Sends an email on the morning of move in, with instructions and details of the unit that has been allocated.

  • Invoice on renewal date (only for manual subscriptions): Sends an email reminder on the morning of the customer’s renewal date, including their invoice and a link to pay online.

Select or clear these options based on the messages you want the customer to receive.

āš ļø These emails can not be changed after the subscription has been created.

2. Under Customer agreement, confirm that this customer agrees to your terms, privacy and protection policy. These are the same policies shown on your Storefront.

Booking summary

1. Check that the Booking summary and price breakdown are correct, then select Create subscription.

šŸ’” The booking summary is always on the right-hand side of the subscription form and updates automatically as you make changes, which makes it easy to check prices at each stage.


After the subscription is created

Once the subscription is created:

  • Allocate a unit ↗ before the customer’s move‑in date.

  • If ID checks are enabled and you don’t want this customer to complete an ID check, select Skip all on the subscription’s home screen.

Add another unit type

Change subscription price

You can change the subscription price using Edit unit type, then enter a custom price.

Contracts

You can void and reissue contracts if needed.
