Approving / Instructing a Quote
When a quote has been added it can either be approved by the landlord via their Street account (via app or desktop) or it can be instructed by your agency via the maintenance job page.
Note - You can also choose to instruct a contractor immediately when adding them to the job or by instructing directly without requesting and/or adding a quote.
Landlord Approving the Quote
Regardless of whether you informed or requested approval from the landlord during the add a quote stage, the landlord will be able to see any quotes that have been added in their Street account. where they can approve the quote they want to proceed with. If a landlord approves a quote, all other quotes will be removed and they will not be able to interact with the job via their app any more.
If a landlord approves a quote via their Street account, your agency will receive a branch notification and the quote status on the maintenance job page will be updated to 'quote approved'. From here you will need to instruct the quote in Street.
For more information on landlords approving maintenance quotes, see our Landlord App and Landlord Desktop help articles.
Agency Instructing the Quote
Alternatively, your agency can manually instruct the quote from the maintenance job page by clicking the 'Instruct' button on the relevant contractor quote (for example if you have spoken to the landlord or if the landlord has pre-approved maintenance jobs under a certain amount).
Note - If you requested approval from the landlord, you will need to manually approve this in Street first before being able to instruct.
When instructing a quote, you will have the option of adding an expected completion date and adding any notes, that are both for internal use only and will not be shared with the contractor, landlord or tenant. If entered, the expected completion date will show on the job page in the 'complete job' section.
Once instructed, the status will then update to 'quote instructed'.
Managing a Quote
From the 'actions' drop down on the right of a quote you have a few options to manage the quote, including re-sending the quote (which will re-send the job details to the contractor using the notification 'Quote Requested'), edit the quote details if they were entered incorrectly including the amount and informing the owner or rejecting a quote which will send the 'Quote Rejected' notification to the contractor.
Note - If rejected, the status will then be updated to 'quote rejected'. Rejecting a quote will not send any automated emails to the landlord or tenant, only to the contractor.
A landlord approving a quote / your agency instructing a quote will send an email to the landlord/s and the contractor (including the contact for access details). This notification is called 'quote instructed' which can be toggled on/off and the content of the notification can also be edited.
For more information on managing this notification, see this help article. If you want to manage this for a specific property, see this help article.
Once the quote has been approved/instructed, the next step is to mark the job as complete.
