Rostering Type: Clever or ClassLink
If your district uses Clever or ClassLink for rostering, there are a few different ways to manage your summer school setup depending on your goals. Below are five flexible options to help you transition smoothly between terms.
Option 1: Pause Sync, But Keep Roster Data Available to Staff and Families
Best for short periods while final rosters are being finalized.
Partner Steps:
Unshare the summer school(s) from the institution's nightly sync to disconnect it from the next TalkingPoints sync.
Wait for the next sync, then locate the school with an Action Needed status in the District Product.
Mark the school as Paused.
What happens:
Staff:
The school(s) will appear as "Paused" in the District Product.
Staff and teachers can still log in and access the last synced data, but updates from the SIS (like new students or staff) won’t come through.
Families: No change in experience. Families will still be able to send and receive messages from your TalkingPoints staff.
Option 2: Pause Sync, and Remove All Students & Staff from the School
Helpful if you want a clean slate and no access for staff and families during summer.
Partner Steps:
Remove staff and student assignments for the selected school(s) in the SIS.
Run a nightly sync to remove this data from TalkingPoints.
Use the bulk delete tool in the School Product to remove any manually added users.
Un-share the school from the nightly SIS sync.
Wait for the next TalkingPoints nightly sync and find the school with Action Needed status.
Mark the school as Paused.
Reshare the school in the sync when ready to reopen.
What happens:
Staff: District Admins will see an empty school marked "Active." All staff—SIS-rostered and manually added—will lose access unless they are linked to another school.
Families: SIS-rostered families won’t see messages from the school anymore. Manually added families will lose access if not connected to another school.
Option 3: Empty Class Rosters but Keep Syncs Active
Not recommended as a long-term solution, but useful during transitions.
Partner Steps:
Remove non-essential / non-returning staff and empty all class roster assignments in the SIS.
Remove graduating students and their contacts if needed.
Allow a TalkingPoints nightly sync to update your TalkingPoints data.
If you're using Clever and class sections are still enabled, class assignments will reappear after a new sync.
Hide Classes & Groups from the Family App using the settings in the District Product if needed.
What happens:
Staff: Teachers can still send direct messages, but class announcements aren’t recommended. They'll only see students they’re currently assigned to.
Families: Families linked to the school will still receive messages. Those removed won’t see messages from the school but, if they still belong to the district, will still get district-wide updates.
Recommendations:
Class announcements are not recommended since class rosters are empty.
Encourage teachers to set automatic replies while not monitoring communications.
Option 4: Remove a School Entirely from the District
Best for permanent closures or when a summer school won’t return.
Steps:
(Optional) Remove all staff and students from the SIS ahead of your institution's nightly sync.
Un-share the school from your institution's nightly sync to disconnect that school from the TalkingPoints nightly sync.
Mark the school as Frozen once it appears with an Action Needed status after the next sync.
Reach out to TalkingPoints to fully remove the school after a short waiting period.
What happens:
District Admins: Can still log in but will also see the warning when trying to access the teacher product.
Staff: A hard freeze is enacted. All staff accounts linked to the school are locked. They will see a warning screen if they try to log in.Data: All school data is locked and then removed. Message histories are deleted and cannot be restored after final scrubbing.
Important Notes:
Staff should download reports and messages before the freeze.
Consider using the Bulk Assign + Remove Roles feature to update staff assignments ahead of time.
If the school is re-shared before deletion in a partner's sync, access is restored immediately.
Option 5: Remove a Summer School During School Year, Then Restore Next Year
Recommended if the school will return next summer using the same Institution ID.
Steps:
Un-share the school from your institution's nightly sync.
Mark the school as Frozen once it appears with an Action Needed status after the next sync.
Let TalkingPoints remove the school and unlock any remaining accounts.
Reshare the exact same school in your SIS next year.
If the Institution ID matches, the school will automatically reattach.
What happens:
Staff: Accounts are locked during the freeze. School is removed.
Data: Messages and school data are removed but can be restored if the ID matches when the school is reshared.
Important Notes:
This process depends on using the same Institution ID. If IDs change (e.g., Clever resets or SIS integration changes), it may not reattach automatically.
Submit a Support Ticket if a reshared school does not reattach even though IDs match.
