Transferring Paid Event Registration

This feature is only available with the following products:

In some cases, a player or team registered for an event may need to cancel their registration, but instead of being refunded, they would rather transfer their registration and payment to another upcoming event.

If you collect payments for event registration, you can transfer a registration from one event to another. When doing so, the payment and player(s) will be moved to the destination event. If the event fees differ, you can refund, charge, or disregard the difference.

In this article, we will discuss how to transfer paid event registrations, player profile updates, and automated emails.

Transferring Paid Event Registrations:

To transfer paid registration for an event, follow these instructions:

  1. First, go to the source event (an event where the player or team is currently registered).

  2. Go to Event > Transaction History.

  3. Find the registration, select the "Actions" dropdown and select "Transfer Registration" (as shown below)

  4. You will then be presented with the transfer options (as shown below).

  5. Select the destination event. Destination events must meet the following criteria:

    1. Must be within the same season as the source event.

    2. Using the same Stripe account as the source event.

    3. Using the same registration type (e.g., member only, guest only, member/guest) as the source event.

  6. Select the registration option for the destination event. Registration options will be available if:

    1. The number of guests in the registration is greater than the minimum number of guests and lower than the maximum number of guests in the target registration option.

    2. The number of members in the registration is greater than the minimum number of members and lower than the maximum number of members in the target registration option.

  7. If the destination event has eligibility criteria, a warning message will be displayed if the player or team does not meet the criteria. You can choose to ignore the criteria and transfer anyway or cancel the attempted transfer.

  8. If the player or team purchased add-ons in the source event, you could select to transfer these add-ons if they are also available in the destination event. The add-ons will be matched by name or amount to the destination event (if possible).

  9. Select the transfer method. There are three scenarios:

    1. The source and destination amount is the same: There is no payment adjustment necessary, and you can click "Transfer" to complete the transfer.

    2. The destination amount is lower: You can select to automatically refund the difference or ignore the difference and transfer the registration.

    3. The destination amount is higher: In this case, you can:

      1. Transfer and ignore the difference,

      2. Transfer and automatically email an invoice to the player to pay the difference (invoice payment will go to the destination event), or

      3. If saving credit card information is enabled, you can automatically charge the player the difference using their credit card on file.

  10. After selecting the transfer method, click "Transfer."

Note: Registration transfers can only occur from the original event to a second event. If a player wants to transfer the registration to a third event, the registration must be refunded, and the player can sign up through registration in the third event.

Player Profile Updates:

The player(s) within the transferred registration will be removed from the original event roster and moved into the new event roster. Therefore, the player's participation history will only display the new event. Further, the transfer transaction will also be listed in the Transaction History.

Automated Emails for Transferring Paid Event Registration:

Automated emails can also be sent to the players when:

  • A player is transferred (without a refund, invoice, or automatic charge).

  • A player is transferred with a refund.

  • A player is transferred with an invoice.

  • A player is transferred with an automatic charge.

To view, enable/disable, and edit these automated emails, go to your Email Configuration.
